The office manager is essential in maintaining the efficient functioning of an organisation by overseeing administrative tasks and supporting various departments.

Key responsibilities include

• To manage facilities and service contracts covering the operation of the office accommodation
• Maintenance and upkeep of the office.
• To manage procurement for office facilities and service contracts
• To ensure the security and safety of the offices and colleagues at all times
• To develop and maintain effective and legally compliant health & safety procedures, which are tested where appropriate

You will be required to ensure that HR records for all staff are appropriately and securely maintained and assist with the administration of the HR Management system. Being required to manage facilities within the office, ensuring all equipment and supplies are in order, and provide administrative support to achieve this and key projects to ensure that the office runs efficiently and effectively. Their role is dynamic, often requiring you to adapt to new responsibilities as directed by the Head of HR to meet strategic objectives.

The primary goal is to ensure that the office runs smoothly and efficiently by organising and coordinating project activities, resources, and timelines.

Salary – £26,000 - £31,000 per annum dependent on experience

Working hours – Normal office hours are 9am to 5pm Monday to Friday. We are open to flexible working patterns subject to the objectives and outcomes of the role being met. About the role

Neglected tropical diseases (NTDs) are a significant public health issue in Mali, including Trachoma, Lymphatic Filariasis, Onchocerciasis, Schistosomiasis, and soil-transmitted helminths. These diseases, linked to poverty and poor hygiene, cause serious morbidity and social discrimination, hindering socio-economic development. The Finance Assistant will support the implementation of WHO guidelines for NTD elimination and control, contributing to strategic plans and ensuring compliance with local regulations. The role involves managing financial records, logistics, and IT equipment, as well as supporting grant management and collaboration between finance and programme teams. Additionally, the Finance Assistant will help implement HR policies and ensure statutory compliance.

Responsibilities

• Ensure good collaboration with partners (INGOs, MoH, and Regional Health Directorates).
• Ensure routine data collection into organisational templates.
• Participate in key meetings and keep technical notes of each.
• Support national programmes in the finalisation of various reports and their archiving.
• Support national NTD programmes to implement activities according to required standards.
• Plan and play an active role in the supervision and monitoring of project activities.
• Submit reports of field activities as well as success stories.
• Support the writing of first drafts of Annual Project Reports (APRs).
• Follow up on the Due Diligence process by ensuring all required documents are in place.
• Properly archive all project documents (concept notes, full proposals, log frames, APRs, etc.).
• Work with the Programme Manager to ensure requested information and documents are uploaded into the Programme Portal.
• Participate in the elaboration of annual operational plans.
• Participate in the implementation of Programme Cycle Management (PCM) and Quality Standard Assessment Tool (QSAT) recommendations.
• Support data collection for the development of concept notes for new projects.

The ideal Project Officer is a detail-oriented professional with a strong background in project and programme management, including planning, monitoring, and evaluation. They excel in collaborating with partners, supporting national NTD programmes, and ensuring compliance with organisational standards and local regulations. With experience in data collection, report writing, and archiving, they contribute to the successful execution of projects. Their ability to manage logistics, supplies, and IT equipment, along with their proficiency in financial management and grant support, makes them a key asset. Proficiency in English is essential, and speaking French would be desirable.

POSITION SUMMARY:

Performs Accounts Payable function; processes transactions in the accounting system and maintains accounts payable files for vendors. Primary point of contact for questions and assistance regarding entry and payment of invoices.

Essential duties and responsibilities:

• Subject matter expert on Unit 4 ERP System Vendor Master File and accounts payable, provide support to other Internews staff also entering invoices.
• Prepare and enter multi-currency invoices for all payment methods (Barclays wire Transfers, ACH, check, FX, Western Union, etc.), including review for proper coding and approvals.
• Review and research open payables to resolve outstanding issues prior to payment.
• Process recurring remittances according to corporate schedule, including payment of invoices entered by others.
• Processing payments and Provide payment confirmations to appropriate parties as necessary.
• Maintain AP vendor master records in accounting system.
• Organize and maintain A/P files.
• Research vendor payment history in response to queries from Internews staff and others.
• Cross trained as backup staff to other department functions, including PSC payment processing and expense reimbursements and AP mailbox cover.
• Support of commitment accounting and purchase order monitoring
• Maintain Asset Register incl Additions and Disposal, Monthly Depreciation calculation and posting the journals into the accounting system.

About the Role

We are recruiting a new Business Development Manager (BDM) to join our team. This is a mid-senior level position in the organisation, reporting to the Deputy Head of Business Development. The successful candidate will be responsible for the sustainable growth of our Equal Education (EE) and Green Economies and Infrastructure (GEI) Portfolios working closely with technical portfolio leads. We are seeking candidates with significant experience in a business development or sales role, ideally within the international development sector.

Remuneration Package:

This role is Band D with a salary range of £43,000 - £55,000. Salary upon appointment will be commensurate with experience and in line with team members in equivalent roles.

MAIN DUTIES AND RESPONSIBILITIES

This is a Business Development Manager role (please see person specification below) within a cutting edge and growing international social development organisation. As a Business Development manager, you will identify and win new opportunities for the company. You will ensure and facilitate efficient bid development processes working closely with technical team colleagues, as well as finance, HR and programmes teams, to produce high-quality bids in a timely manner.

 

Business Development – Portfolio Management

· BD Lead on specific technical portfolios, acting as a liaison between the BD team and the technical team to proactively identify, track and win work in that technical area.

· Maintain accurate reporting of all sales activity.

· Manage a pipeline of opportunities.

· Attend donor market meetings (e.g. Early Market Engagement meetings) for relevant bids, engage in donor consultation and network with others as appropriate.

· Convene decision makers to make swift and informed decisions whether to bid or not.

· Lead on pre-positioning work to identify partners, team members and develop our approach (in collaboration with other colleagues) for new opportunities.

· Negotiate consortium roles on bids and develop a teaming agreement to reflect that.

· Lead on our response (with input from relevant colleagues) to direct approaches from clients to provide consultancy and research services.

· Regularly meet existing partners/clients to develop and maintain relationships and to proactively identify opportunities for further joint working.

· Develop relationships with potential new partners and clients.

· Play an active role in building and maintaining relationships with SDDirect’s Associates and network of consultants.

· Own and develop marketing materials that showcase portfolio work.

Bid Production

· Lead on and be responsible for technical and commercial proposal development (including budget), working closely with colleagues from our technical, project management and finance teams. For large bids, the technical and commercial roles may be performed by two people, though the technical lead will retain responsibility for the whole process.

· Produce job descriptions/terms of reference for specific roles on new programmes.

· Use company resources and networks as well as own contacts to identify and contract consultants.

· Agree and document all terms in-line with BD process.

· Ensure compliance requirements for each bid are in place, e.g. data protection, due diligence etc.

· Capture and share learning from tenders under areas of responsibility.

· Review contracts for work won against the contract checklist.

· Deliver handover to the Programmes Team for seamless mobilisation.

Communications

· Contribute to internal action to strengthen SDDirect as an organisation through participation in meetings, working groups and other fora.

System and Process 

· Support the continuous improvement of BD Team performance.

· Actively participate in development of the BD Team annual workplan and objectives, taking a lead on agreed sections.

· Actively contribute to the development of BD Team systems and processes, proactively improving them where necessary.

· Record own time as required on Kimble, SDDirect’s time management system.
