The Finance and Operations Officer will provide general support to the Head of Finance and Operations across the following areas: 

Office Management

• Managing day-to-day relationship with landlord

• Ensuring office meets all health & safety requirements

• Managing purchases of stationery and office equipment 

• Booking meeting rooms

• Organising catering for internal meetings 

• Supporting with new office search and move to new premises

• Liaising with utility, cleaning and security providers in new premises if required

Human Resources

• Liaising with the external HR providers regarding employee documents

• Maintaining  employee personnel records ensuring that all annual leave and sick leave is recorded correctly

• Assisting in the recruitment of new posts

• Onboarding and welcoming new employees, including ensuring newcomers have the necessary IT and office equipment and access to the required IT systems 

• Coordinate annual staff surveys and collate responses

Operations

• Assisting the CEO and the wider team with administrative tasks

• Liaising with our external IT providers to ensuring all IT equipment is functioning and replaced when required

• Organising away days and other large meetings 

• Reviewing/renewing supplier contracts annually (including insurance provider)

Governance

• Organising Trustee meetings 

• Attending and taking notes at specific meetings (e.g. Trustee, Advisory Board, team away days)

• Updating the Charity Commission for changes in Trustees and submission of annual returns 

• Ensuring all policy documents are up to date and reviewed within the correct time frame 

Finance

• Processing invoices and expenses and coordinating twice monthly payment runs

• Reconciliation of the monthly corporate card bills

• Keeping the fixed asset register up-to-date

• Bank account administration 

• Collation of information for the auditors

We are looking for someone who can demonstrate the following skills and experiences: 

Essential

• Reliable, trustworthy and discreet

• Excellent organisational skills

• Confident user of Microsoft or Google packages, in particular excel spreadsheets or google sheets, Word or google docs

• Good written and verbal communication skills

• Good numeracy skills 

Desirable

• Previous experience as personal assistant or office manager

• Demonstrable interest in mental health and other key issues on which the charity works

• Previous bookkeeping experience including use of accounting software 

• Comfortable using IT systems generally (e.g. online banking, web-based platforms)

Terms and Conditions

• Location: Money and Mental Health’s central London office for at least 2 days per week with option for home working the rest of the time. The office is wheelchair accessible.

• Hours: 3 to 4 days (22.5 to 30 hours) a week. The charity has a flexible working policy with core hours of 10am - 3pm and remaining contracted hours distributed throughout the week flexibly. We are open to discussing other flexible arrangements, such as accommodating school runs.

• Holidays: 28 days p.a. (including 3 days of annual leave between Christmas and New Year when the office is closed) plus bank holidays, adjusted for the part-time nature of this post and therefore calculated on a pro rata basis.

About the Role

This role will lead on the day-to-day operation of the accounts receivable, credit control, accounts payable and cash management functions.  You will be required to work closely with the financial controller and other members of the Finance Team to ensure that processing in these areas is complete, accurate and compliant, and supports the timely preparation of management accounts. You will also work with colleagues from across the organisation and key external stakeholders to ensure that income is received, cash is held and monitored following the Charity’s internal financial controls, and all legal and regulatory requirements are complied with.

There will be a need to exercise good leadership and management skills and be able to prioritise and delegate effectively to the Finance Assistants.

Key responsibilities include:

• Lead the day to day operations of the sales ledger function
• Responsible for ensuring invoices are raised on time and in line with agreements with funders
• Responsible for the collection and recording of all non-rental income, in accordance with the charity’s income and internal controls policies
• Main point of contact for queries regarding non-rental income sales invoices
• Monitor all cash transactions and ensure they are recorded on the Finance system on a timely basis
• To lead on the day to day operations of the purchase ledger function
• To manage the preparation of the weekly payment run, ensuring that all due items are included
• Review nominal ledger activity and post journals for on a timely basis to ensure ledger information is accurate and complete in line with month end timetable
• Responsible for the accurate preparation of month end reconciliations for allocated balance sheet codes including Fixed Assets, bank accounts, debtors, accrued and deferred income

About You

You will need to have the following skills and experience:

· Part-qualified accountant or extensive and demonstrable experience in a variety of financial roles

· Experience in the preparation of accounts to trial balance stage

· Credit control experience

· Excellent IT skills, and an ability to identify opportunities for efficiencies through automation.

· Ability to use initiative, make sound decisions and prioritise effectively to ensure that outcomes are met

· A sound knowledge of and commitment to the implementation of financial controls to protect organisational resources

· Commitment to working in a manner, which promotes diversity and equality ensuring that everyone is treated with respect and dignity and no one, suffers from discrimination

The successful candidate will initially be employed by the Movement for Reform Judaism, working closely with Liberal Judaism as a partner organisation. 

A qualified accountant (CIMA, ACA, ACCA), who is a strong multi-tasker, you will have a proven track record of leading a team and working in partnership with colleagues.  This senior role will be responsible for finance and risk for MRJ and LJ, as well as providing accounts, budgets, overseeing audits for 3 other related charities, with an overall combined turnover of £10m.

Using your wealth of experience, excellent financial analysis and management expertise, you be responsible for the timely delivery of management and financial accounts together with the identification and mitigation of risk. You will be both hands-on and will oversee the finance department. 

You will be a key member of the senior team working to bring MRJ and LJ together, responsible for ensuring a smooth and seamless financial transition.  Working closely with colleagues and lay leaders, you will develop and implement key strategies within your area for the newly formed organisation.

You will have excellent interpersonal skills and the ability to develop long-lasting working relationships with colleagues, trustees and stakeholders.  You must be confident to participate and present at Board meetings.

We are looking for a new team member to join us in late November for a period of handover with the current Finance and Operations Officer, and then to support the Director of Operations during our colleague’s maternity leave. 

Key focus areas will be finance and bookkeeping using Xero software, HR support, basic IT management and charity and company administration.

This role provides the chance for an experienced Xero user to develop a greater understanding and knowledge of charity and company management across finance, HR, IT, operations, office management and administration in a friendly and supportive environment, with personal and professional development at its heart.

Key Responsibilities

Financial Management

• Bookkeeping via Xero 

  • Reconciliations

  • Preparing bills and invoices

  • Manual journals

  • Monthly reporting 

  • Audit field work support

• Department budgets (managed via google sheets)

• Recording income and expenditure

• Recording restricted and unrestricted fundraising income

About you

Experience:

• Proven experience and high level competency on Xero accounting software and Excel/Google Sheets (Essential);

• Demonstrated success in supporting colleagues within an operations team (Essential);

Lead a small team raising the resources and engaging with audiences to support the delivery of wide ranging services helping refugees, asylum seekers and vulnerable migrants to settle and thrive locally. You will deliver income and support by managing your own small team and collaborating with the rest of the organisation to tell stories, share information, build understanding and deliver the income needed to run the organisation. The manager will have proven all round experience and a track record of delivering income from multiple and varied sources. They will need to work from the Oxford office at least two days a week to build relations with other teams. Beyond that location and working hours are flexible.

The Opportunity

We are seeking a Partnerships Manager to join our team.  This is an exciting opportunity to join our Business Development Team and make a significant contribution to delivery of the charity’s high quality services to children and young people, providing them with opportunities and inspiration to enable them to achieve their potential, create a positive future for themselves and open doors to their success.

If you are self-motivated, enthusiastic and confident with experience in successfully securing, managing and developing partnerships from initial prospect research through to contracting and ongoing management, then this role is for you. Working alongside the Director of Business Development and Partnerships, you will support and contribute to the charity’s business development strategy with responsibility for managing activity including raising funds for Inspire from a range of sources including corporate partnerships, community fundraising, trusts and foundations.

Key responsibilities of the role include:

1. Writing and submitting applications for new funding to statutory bodies, trusts, foundations and corporates.

2. Researching funding opportunities, competitors and market trends.

3. Developing and maintaining an annual calendar of community fundraising activities.

4. Identifying new business development opportunities and developing a pipeline of opportunities and proposals.

5. Management and growth of Inspire's entry to mid-level corporate partnerships.

6. Working with delivery team colleagues to ensure funders’ reports are completed on time and to a high standard.

 This is a new role at the DEC and developed as a key part of the DEC’s 2024-2029 strategy. The DEC has a wide range of established relationships with trusts and foundations, many of which give 6- and 7-figure sums to DEC appeals. The Trusts & Foundations Manager will be responsible for providing excellent stewardship to our portfolio of trusts and foundations. In addition, the role will also be responsible for cultivating new relationships for the DEC through thorough research, and through the prospect development cycle, to raise money for DEC appeals. In addition to appeal fundraising, the Trusts & Foundations Manager will be responsible for delivering on a new core cost fundraising strategy, in close partnership with the Head of Philanthropy & Partnerships.

Demonstrable, transferable trusts and foundations experience and knowledge, (preferably within the humanitarian & charity sector), will hold you in good stead for this exciting new role.

Key responsibilities include:

 

Strategic Development: Develop and manage the trusts and foundations portfolio and create compelling proposals for future appeals and core costs income. Showcase new ideas and innovative approaches for growing and developing a pipeline of new prospects. Develop engaging stewardship plans.  

Administrative Compliance: Lead and manage, robust and professional grant management, ensuring systems and processes are fit for purpose, streamlined and accessible. Remain compliant with grant terms and conditions, ensuring you are clearly communicating the unique contours of the DEC model whilst providing comprehensive and inspiring impact reporting.

Relationship Management: Maintain regular contact and collaboration with internal teams to collate a high-quality suite of communication materials and stewardship plans specific to a trust and foundation audience. Proactively reach out and build long-lasting relationships with funders to reach ambitious fundraising targets.

Monitoring and Evaluation: Monitor, measure and evaluate progress against the DEC’s strategic goals and funds raised from trusts and foundations. Prepare regular reports for senior management and trustees on the development, progress and future strategic actions for trusts and foundations at the DEC.

Overall purpose

Reporting to the Director of Finance and Operations initially, the role holder will have technical leadership and overall responsibility for managing the Data and Innovation team. This team helps Breaking Barriers maximise the value of its data, by conducting analysis and managing the CRM (Salesforce) and related software.

The team works across all areas of the organisation to improve processes, unlock efficiencies through automation and generate insights from data. They ensure that data is utilised to inform any innovations or refinements to our services.

The successful candidate will be an entrepreneurial manager with a high level of data literacy. We are looking for someone strategic, highly organised and a strong people and team manager. They will be confident at communicating data in a variety of ways to a large range of audiences, identifying key take-aways and the broader implications of the findings on our clients and programming. They will also be able to train others in key data analysis and communication skills.
