As HR Business Partner, you will play a strategic role, acting as a partner to the senior leadership to enable us to deliver as effectively as possible to people with ME. Many of our 35 colleagues have direct experience of ME and, as an ME organisation, we work hard to ensure that we provide reasonable adjustments and support to enable them to make the valuable contributions they do. You will work closely with the Management Team to drive this work. You will need to develop a deep understanding of the organisation and our work, build strong, effective relationships with our colleagues and bring expertise to the various HR functions and strategic business support areas.
 

Key Duties

People & Culture Strategy

• Work with the senior leadership to deliver the People and Culture and the Equity, Diversity and Inclusion Plans that enables the delivery of organisational goals
• Drive consistency of the implementation of the Plans
• Work with the senior leadership to review data, analyse trends, providing data-driven solutions/decisions to support cultural development. Use ongoing analysis to test the effectiveness of People and Culture interventions and processes within the organisation
• With senior leadership, manage talent and succession planning

Human Resource Management

• Provide first point of contact HR advice and support to colleagues and line managers, ensuring all instances are recorded appropriately
• Manage the compliant use of, and be first point of contact for, colleague queries on the HR IT System (currently BreatheHR)
• Support HR investigations and line managers with grievances, disciplinaries and other similar matters, recording meeting minutes and agreeing next steps.
• Liaise with the Federation of Small Businesses (FSB; provides insurance and employment legal advice) on complex HR cases that require external input, either on behalf of or alongside relevant line manager(s)
• Oversee all HR policies and procedures, being guided by relevant internal data and industry best practice, and ensuring they are regularly reviewed
• Complete all required administrative tasks for new starters and colleagues leaving the organisation
• Processing and managing of maternity, paternity, and adoption in line with policies and best practice
• Running of monthly HR reports, to include sickness auditing and dissemination of relevant data to CEO and line managers, if required
• Scope, plan and book/deliver appropriate training across the organisation and for individual employees where necessary
• Managing the recruitment lifecycle, which is to include advertising of vacancies, screening of applicants, interview diary management, referencing and document checks, onboarding coordination
• Manage and administer all changes to contractual terms and conditions with appropriate paperwork disseminated to relevant parties

Purpose

The HR Administrator role is an excellent opportunity for someone with HR or admin experience, who is interested in starting/progressing an HR career and looking to gain experience in a friendly but busy small HR team. The role provides a day-to-day HR admin service to employees and HR admin support to the part time HR team (two HR Business Partners and the Head of People & Development). The HR Administrator will be involved in using an HR and payroll system, ADP, and have an important role in the employee lifecycle processes e.g., DBS checks, recruitment, onboarding, compliance, payroll, appraisals, and have day-to-day responsibility for the HR and Recruitment Outlook mailboxes.

Main Responsibilities

Working in the HR team, reporting to a HR Business Partner, your main responsibilities will cover:

Contribute towards the achievement of CUK and its strategic objectives

• Provide high standards of HR admin support to Citizens UK stakeholders.

• Play an important role in introducing new and improving existing HR processes for a better HR service delivery and employee experience.

• Be proactive in supporting the HR team in various streams of work to achieve the HR Business Plan.

Achieve work targets effectively

• New Starter Onboarding Process: creating documents for HRBP approval (offer letters and contracts), ensuring all starter paperwork is returned, requesting and tracking the return of references, right to work checks, and setting up new starter compliance training.

• Leavers: leading on leaver admin process, ensuring it is completed in timely manner.

• Recruitment: becoming an expert user of Applied, our applicant tracking system.  Advertising jobs (on Applied and external jobsites), arranging interviews and supporting colleagues with recruitment queries.

• Invoicing and Credit Card Reconciliation: processing invoices on Finance system, Kissflow and the monthly credit card reconciliation for HR transactions.  

• Payroll - accurately updating and maintaining ADP, the HR & Payroll database. Uploading documents, running reports. Supporting HRBPs with payroll queries.

• Regularly updating and auditing other HR data to ensure information is up to date (e.g., pensions data, new starter training, wellbeing data).

• Employment checks: maintaining the DBS list and processing DBS checks for existing and new staff.

• SharePoint: maintaining HR Self Service folder, ensuring documents are up to date.

• Appraisals: ensuring appraisal forms are logged and uploaded to ADP.

• Probation: Managing the probation period process

• Minute taking at HR/relevant meetings and sharing with colleagues.

• Supporting the team with ad hoc tasks as required and undertaking any task that may be requested from time to time that may be consistent with the nature and scope of this post.

Learning and expertise

Develop and manage relationships across the organisation and externally

Communications

• Day to day responsibility for the HR and Recruitment Outlook inboxes, responding to routine queries and forwarding queries to HR colleagues.

• First point of contact for recruitment queries from candidates, forwarding them to the appropriate HR colleague or hiring panel as necessary.

Knowledge Management

• Understanding, handling, and managing data GDPR compliantly and keeping up to date with new legislation.

Generate income and resources

• Taking responsibility for the careful use and stewardship of Citizens UK’s resources.

• Using admin systems to track income/ resources accurately e.g., HR credit card cost tracker.

Stakeholder relationship management

The Right Candidate

• 6 years+ experience in a generalist HR role, including at least 3 years in a Manager/Lead HR Advisor level role.
• Chartered Member of the CIPD; Masters or equivalent qualification in HR.

About you

The Head of HR & Operations role is a key position within a Youth Zone, you’ll wear lots of different hats, leading and managing the back-office functions, overseeing monthly payroll administration to serving as the secretariat for the Board of Trustees.  It’s up to you to ensure the team deliver the best possible service to the thousands of young people who rely on them.

About You

We’re looking for an experienced and professional operational manager with HR expertise, who is passionate about making a positive difference in young people’s lives and thrives in a fast-paced, varied environment.

You will have experience of:

• General HR functions, including HR practices, procedures and policies.
• Basic accounts work and/or payroll
• Working in a senior administrative roles within a busy office environment
• Operational management & line management responsibility for a large, varied staff team
• Managing budgets
• Providing support at Board or Chief Executive level
• Working with external stakeholders and partners, e.g. contracts, service agreements, commissioning

About the Organisation

This is a brand-new locally run youth charity, set to provide thousands of young people with the opportunity to have fun, make new friends, try something new and feel safe. With community centric values and located in the heart of Preston, it will be an inspiring place for young people aged 8 – 19, and up to 25 for those with additional needs, to enjoy their leisure. The building is due to be completed in 2025.

About the role

As a People & Culture Partner, you'll play a key role in providing day-to-day support to our people managers and driving organisational initiatives. You’ll be both a trusted advisor and a champion of our culture, offering insights through meaningful conversations and data analysis. From managing employee relations to leading HR system improvements, your work will enable us to support even more children in need.

Key Responsibilities:

• Provide knowledgeable, personable support to people managers, offering guidance on employee relations, absence management, and HR policies.
• Act as the in-house expert on our HR systems, ensuring accurate data management and reporting.
• Champion organisational initiatives, such as wellbeing and diversity, equity, inclusion, and belonging strategies.
• Build strong, collaborative relationships with managers to support effective team leadership.
• Promote Compassion’s Christian ethos, fostering an environment where faith is nurtured and lived out in our work.

The successful candidate will be:

• A heart for Compassion’s mission to release children from poverty in Jesus' name.
• At least 3-5 years of HR/People & Culture experience, including a strong grasp of UK employment law.
• Exceptional communication skills, able to explain complex concepts clearly and coach managers effectively.
• Strong analytical abilities, using data to inform decisions and drive organisational improvement.
• The ablility to juggle multiple priorities with ease, be flexible and adaptable.
• A CIPD Level 5 (or equivalent) qualification.
• There’s an occupational requirement for the holder of this role to be a practising Christian, in order to promote Compassion’s ethos and help others to experience, explore and express the faith-based motivation of our work. Office-based
