We are looking for someone to join our team as HR Operations Manager. The HR Operations Manager will play a crucial role in supporting the employee lifecycle and employee experience here at Battersea, developing and aligning HR practices with Battersea’s strategic objectives. 

The role ensures the efficient and customer focused functioning of the department’s daily operations, with oversight of the resourcing team and leading on policy review and development, the continuous improvement of people processes, HR compliance, and budgeting and contract management. It will also lead to the development, coordination and delivery of key projects which enable the delivery of our People Strategy.

The ideal candidate will be Level 7 CIPD qualified (or equivalent through experience), with experience in a HR management role, successfully leading, managing, motivating, and developing a high performance team.

• Ensuring that all requests and 1st & 2nd level queries (phone, email and in-person) are responded to promptly and effectively including providing tours of the Centre to prospective members.

• Training and managing volunteers supporting the front office, Front Office Assistants, ensuring they are aware of their responsibilities and performing to a high standard
• Responsible to making sure members renew on time and membership renewal is up to date.
• Responsible for maintaining all notice boards in the Centre and keeping them up to date with correct posters and announcements.
• Receive and help with various deliveries ensuring everything is received properly and is kept in its correct place.
• Maintaining the activities list, class and clubs registers and the login/out ledger and visitors log for all members, visitors and volunteers.
• Making sure the relevant Health and Safety requirements and other obligations are being met and correctly observed
• Reporting any maintenance issues quickly and clearly to the Community Manager
• Overseeing and ensuring that all administrative processes are carried out in line with the Centre’s policy
• Opening the Centre in the mornings and possibly closing in the afternoon.
• Reconciling money received on a daily basis reporting this to the General Centre Manager
• You might be required to attend/support events out of working hours including weekends. You will receive time off in lieu for any hours you work over your contractual hours

What you need to have?

• Excellent knowledge and understanding of IT systems including MS Office (Word, Excel and PowerPoint).
• Strong organisational skills & ability to multi-task
• Experience of working in a similar role and environment
• Able to demonstrate your ability to provide high quality customer service
• Good numeracy and literacy skills and an eye for detail and accuracy
• Self-motivated and able to work under pressure and on your own initiative without ongoing direct supervision

Trusts and Foundations Manager

The Trusts and Foundations Manager with be responsible for the ongoing management of the current successful high-value portfolio ranging from £2m commitments to £100k grants. In addition to ensuring the current portfolio is expertly stewarded with the aim of renewing and uplifting existing funders, the role will also be responsible for expanding the portfolio, focusing on both the national programme and the individual pathfinders projects in the longer term.

The Trusts and Foundations Manager with not have any direct line management reports in order to focus their time on fundraising but will work closely with The Manager will take a relationship-based approach to our funding partnership, working directly with grantors to create impactful propositions and proposals to support Thrive at Five’s strategic priorities. The successful applicant will develop and manage a detailed prospect pipeline managed through our database, to ensure we make the very best of opportunities, in addition to new partnerships being identified and scoped.

The role will involve collaboration and coordination across the organization, both to keep abreast of the latest information for grantors, but also to bring key stakeholders and experts into discussions and partnerships as and when necessary to further develop and strengthen relationships. colleagues, providing coaching, support and advice on the lower-level trust portfolio on a regular basis.

Hybrid (1-2 days per week in our London office and the rest of the week working from home – with occasional national travel to our local sites) 

Our preference is a 5 day a week, 35 hours per week role. However, we will consider excellent candidates who are available 4 days a week.

Key Responsibilities

Strategy and Planning

• Work with the Head of Fundraising to further develop the long-term fundraising strategy working to maximise multi-year partnerships from like-minded funders
• Manage the annual planning processes for Trusts and Foundations, prioritising meaningful engagement and stewardship opportunities for new and existing funders
• Work closely with the Director of Finance on the annual budget and monthly forecasts

Portfolio Management

• Manage the existing portfolio of c. 25 active multi-year grants ranging from £100k-£2m, providing excellent and timely reporting in addition to creative and impactful ongoing stewardship. The existing funders’ interests will be split across our national programme and regional pathfinders (currently Stoke-on-Trent and Redcar and Cleveland, with discussions underway in Middlesborough and Scotland).
• Regularly communicate with those in the portfolio on a 1:1 basis, working with senior stakeholders directly as and when necessary to maximise opportunities including Trustees, Advisory Board Members, Senior Leadership Team (‘SLT’) and the CEO
• Organise and attend programme visits to pathfinder locations as and when necessary to strengthen partnerships with grantors, long term in addition to regular face to face funder meetings
• Support the delivery of cultivation and stewardship events for prospects, funders and connectors, cross the country

Prospect Research and Pipeline Management

• Manage a portfolio of c.30 warm and cold prospects, to create bespoke cultivation opportunities, engage in fact-finding discussions, and submit detailed concept notes and proposals as relationships develop. The aim is for the existing portfolio of active funders to double over the next two years through a rigorous prospect engagement programme
• Focus on constant movement and momentum within the trusts and foundations pipeline, continuously researching new prospects, and network mapping contacts across the organisations to explore new avenues of support for both the national programme and the pathfinder projects
• Proactively engage with the grant making community with a shared interested in early years development by attending sector specific events and opportunities, and in addition to those focused on pathfinder areas such as Scottish grantmakers or those focused on the Northwest of England.

Processes and Systems

• Champion data excellence across fundraising by utilising the Raiser Edge database, ensuring it is the up-to-date centralised data management system for all prospects, funders, events and communications
• Provide regular reports to the Head of Fundraising and SLT on movement within the grants pipeline including chances of success
• Support the management of the lower-level grants portfolio, taking a coaching approach and sharing your expertise widely
• Work with the Head of Fundraising to ensure the team are confident in all fundraising processes and procedures including grant acceptance policy, due diligence policy, prospect research process, data protection policy and GDPR requirements

About the role

From local and national support services to green spaces, sports clubs, museums and the arts, voluntary organisations and volunteers are a vital part of communities across the country. The Senior Practical Support Officer role is key to the delivery of NCVO’s support for small charities. You will be a key part of a small team, with a focus on managing and responding to enquiries that come in via phone and email to our Small Charity Helpdesk. We receive 400 – 500 enquiries a month about setting up and running a charity, with a particular focus on volunteering and governance.

Alongside the helpdesk you will also work with colleagues across NCVO on the production, and curation of content for our website and with internal and external stakeholders to produce sector leading practical webinars.

You will have a particular focus on volunteering, working with multiple stakeholders on a range of cross-organisational initiatives to ensure we develop and share best practice on involving volunteers.

Your good working knowledge of the voluntary sector, understanding of the specific needs of small charities and sharp focus on delivering excellent customer service will help us to effectively respond to the needs of the sector.

Your role

We’re looking for an experienced social media professional who has the expertise to lead the delivery of the RNLI’s social media strategy and approaches across both paid and organic, advising and supporting a wide range of stakeholders at all levels of an organisation in order to help save lives at sea.

As Senior Social Media Manager, key responsibilities include:

• Overseeing the delivery of paid and organic content, as well as community management, across our channels

Our Head of Children, Young People and Families leads the work of our Children, Young People and Families (CYPF) service and the Building Young Brixton (BYB) Partnership, and is a key part of the Senior Leadership team at High Trees, helping us achieve our ambitions across the board.

We are a co-produced mental health charity working across Camden and Islington. We support people with mental health conditions into training, volunteering, and employment opportunities. People can access our services via our Clubhouse, where they can share their skills and expertise with others and support the running of the charity.  Alternatively, they can receive support out in the community from one of our employment specialists based within primary and secondary care. 

As well as Recovery support, our clubhouse provides a dedicated employment support Information, Advice and Guidance service to Islington residents with mental health needs from our community base in North Road. The IAG team provides employment support to assist clients find employment, remain in work or return to work.  This takes the form of personalised support based on an individual action plan detailing the client’s agreed employment goals and actions.

OVERALL AIM

Working in collaboration with the Hillside Clubhouse Recovery project, the Employment Advisor team utilises the structured activity programme to help residents build confidence and transferable skills in a supportive setting. EAs work one-to-one with a caseload of around 40-50 people referred through various routeways including self-referrals, providing information, advice and guidance to empower clients to make better decisions about their career options and working lives, as well as signpost clients to other relevant support agencies, as appropriate.

This role would suit someone with a background in employment support, psychology, counselling, human resources, recruitment, or a desire to transfer their skills into the mental health support sector.

Principal Location: Hybrid working. In-person at least once per week at the centre, London Kings Cross, and remotely.

ABOUT THE JOB

Job Purpose 

We are looking for a passionate and driven individual to join our tight knit team and make a real impact. A key member of the finance team, working closely with and supporting the Finance Manager, in a welcoming and supportive environment with opportunities to learn and grow on the job.

The role offers the chance to work across several finance functions, including management accounting, supporting year end audit, Accounts Payable and Accounts Receivable and so it provides a great opportunity to experience the full breadth of finance work in a charity across all functions in a varied and interesting role.

Key Responsibilities

Day-to-day finance processes

• Assume responsibility for managing the finance inbox; answering queries from colleagues; students, commercial customers, and suppliers.
• Ensure supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist the operations and administration teams as and when required, including with the preparation of internal reports.
• Other ad hoc support to the finance team as may be required including administrative duties.

Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system on a weekly basis.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

Accounts Payable process

• Work with the bookkeeper to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Whilst the bookkeeper is responsible for making all payments, the Assistant Finance Manager has a key role in liaising with the bookkeeper and the Finance Manager, to jointly ensure that all invoices are paid on time.
• Providing cover and setting up payments when the Finance Manager is not available.
• Determine most efficient payment platform to process international payments and ensure these are recorded in the finance system at the correct conversion rate.
• Work closely with the bookkeeper to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure and that all supporting documentation for all transactions are uploaded.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Assist with the set up all payroll payments in time for the monthly pay day. This involves ensuring correct amount (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.

Budgeting, management accounting and forecasting

• Assist the Finance Manager and CEO with the preparation of the annual budget, quarterly management accounts and forecast.

Year End Audit

• Assist the Finance Manager with answering queries form auditors and completing balance sheet reconciliations.

Systems and Processes

At the Gestalt Centre we’re in the process of updating and embedding new systems and processes and this role will assist that work. For example, we have recently implemented new educational management and room booking systems and this role will be involved in supporting the integration of the finance and education management software.

PERSON SPECIFICATION

Education / Qualifications

Essential:

• 5 GCSE at Grade C or above including English and Maths.
• Post-GCSE qualification such as A-Level or T-level or Degree educated.
• AAT qualified, or part qualified CIMA/ACCA accountancy qualification.

 Experience and Knowledge

Essential:

• Sound understanding of double entry book-keeping including month end adjustments.
• IT Literate with strong Excel skills.
• Familiar with using Teams.
• Experience of working in a similar role.
• Experience of using databases.

Desirable:

• Experience using QuickBooks or any other cloud-based accounting system.
• Charity or third sector experience
• Knowledge of charity accounting and the Charity SORP.

We are looking for someone to provide business partnering support to all directorates, offering first level advice to directors, strategic leads, and colleagues on general HR matters including employee relations and anything pertaining to the employee lifecycle. Working closely with the People & Wellbeing Business Partner – Operations Lead and covering for each other as needed, this role will lead on all equity and inclusion projects and initiatives within the People team, as well as organisational and individual learning.

The People & Wellbeing Business Partner – Equity & Learning Lead is also involved in producing and analysing data to inform and feed into the People strategy. They will work with the internal stakeholders on developing and delivering interventions to improve communication with, and engagement of, staff and support wellbeing of colleagues. Are you highly organised, resourceful, and passionate about making a difference? The Baobab Centre is seeking an Operations and Admin Assistant to support our vital work with young asylum seekers and refugees.

In this varied role, you’ll work closely with the Operations Manager and admin team to ensure the smooth running of our Centre by managing administrative tasks, assisting with IT and communications, and supporting operations and fundraising initiatives. You’ll also play a part in amplifying the voices of our community through social media and helping with community engagement activites.

If you’re a motivated individual with strong administrative and IT skills, a commitment to human rights, and an interest in supporting vulnerable young people, we’d love to hear from you.

This role is for 3 days per week depending on your preference. Working on Wednesdays is essential to provide reception cover.

Mental Health:  All of the young people Baobab supports suffer significant mental health and developmental difficulties and many function in an unstable and more immature way than their chronological age. Due to their experiences it takes time to gain trust from the young people in our community. As a core member of our team, you will understand the impact of specific human rights abuses on the development of children and young people in exile and their individual experiences of loss, trauma and grief on their mental health and well-being.

It often takes a significant amount of time to understand Baobab’s model of working, which aims for rehabilitation and justice through attending to both the internal and external world of each young. • Provide administrative and logistical support.
