About this job:
As Systems Accountant, you’ll:
- lead on the development and enhancement of Unit 4 ERPx, functioning as system administration and SUPER-user,
- work closely with various internal stakeholders (particularly the IT team) to ensure integration between existing systems and Unit 4 ERPx, building strong relationships with leaders to ensure the system meets requirements,

Westway Trust is a community-guided organisation located in North Kensington which runs an adult learning programme of accredited and non-accredited provision across a range of subjects. We aim to enable people to progress in work, in learning and in life. Our learners come from a variety of backgrounds and have different prior experiences of learning.
We are seeking an enthusiastic and experienced ESOL Tutor to design and deliver high quality learner-centered teaching and assessment experiences to our adult learners from pre-entry level up to level 1, whilst supporting the Adult and Community Learning Manager to achieve the Trust’s strategic objectives.
This is a sessional term-time role. Working hours will be discussed and agreed at the interview stage.
Key responsibilities of the role include:
Teaching
- Plan, prepare and deliver high-quality teaching and learning sessions, workshops, and tutorials in line with the curriculum requirements and the needs of individual learners, ensuring learning objectives are met.
- Assess learners’ abilities and identify areas for improvement, tailoring teaching and learning methods and resources accordingly.
- Develop and deliver consistently engaging and interactive sessions, utilising a variety of teaching techniques and materials to enhance learners’ understanding and engagement with the subject/topic.
- Set and mark assignments, tests, and examinations, providing constructive feedback to learners to support their learning and improvement.

Administration

Knowledge, Skills and Experience:
Essential
- Proven successful track record of planning and delivering high quality teaching of accredited and non-accredited provision in a relevant subject and at appropriate level(s).

- Experience of devising course outlines and schemes of work.
- Experience of assessing and recording progress, both in accredited and non-accredited learning and supporting learners.

Desirable
- Understanding of the RARPA (Recognising and Recording Progress and Achievement in non-accredited learning) system.

Purpose of Role:
Reporting to the Supporter Care Manager, you will deliver excellent customer care to supporters and potential supporters of Operation Smile UK. As an integral part of the Supporter Care team, you will successfully support the Individual Giving programme and wider fundraising activities, providing support to ever increasing income and supporter stewardship for the delivery of increasing levels of unrestricted income for Operation Smile UK.
Key Responsibilities:
- Be the first point of contact for existing supporters and new supporters who respond to our fundraising activities by phone, email, letter or in person, letter, or email delivering outstanding supporter care
- Liaise with supporters in timely communication via email, phone, and mail with excellent customer care
- Priority is to answer incoming phone calls and escalate any difficult situations/complaints to Supporter Care Manager
- Support processing incoming phone and postal donations
- Assist with banking and processing incoming/outgoing post
- Be responsible for thanking our supporters including by letter, email and phone, despatch of information and fundraising materials
- Enter and maintain accurate records on our Database
- Maintain and assist with all types of donation processing administration and Database record amendments/records being kept up to date this will include Gift Aid status and contact consent requests
- Assist with cancelling and amending all types of regular gifts and sending out appropriate letters
- Manage removal process and consent process
- Assist with sending out problem payment letters
- Assist with handling material requests and recording actions on Database
- Assist with any third-party agency supporter care requests
- Maintain sensitive information and records with appropriate confidentiality

Skills and Experience Required:
Essential:

We are looking for a dynamic individual to take on the day-to-day administration of BVSC. This is a key role at BVSC – a varied, interesting, creative role that requires a solid background in IT, database management, website maintenance, administration and supporting a large team.
Key Duties:
- Reviewing, refining and managing our database and website
- Ensuring the Community Directory is up to date, ‘live’ and reviewed regularly, with organisations supported to update and amend their own directory entries
- Providing administrative support to the CEO and HR & Governance Manager in their day to day work
- Supporting the Office Manager with induction and provide general support to the staff team with IT
- Being a key member of the social media and communications team
- Managing room bookings, events and CEO diary
- Supporting the Office Manager to manage the office service contracts
Planning Reviewing and Organising
- Overseeing the day-to-day BVSC administrative processes which include booking rooms, diary management, receiving phone calls, managing a general email inbox, updating our website and database, helping problem solve if occasional IT issues occur.
- Processing and recording Community Lottery applications.
- Team members are responsible for their own administration; however you will provide admin support to the organisation eg booking training courses, managing room bookings, offering support to staff that are facilitating Teams meetings/training events.
- Maintaining levels of stationery and office supplies as appropriate.
- Ensure all electronic and paper record systems which contain sensitive or person identifiable records are stored in compliance with the Data Protection Action and our Information Governance standards.
- To actively plan, support, and administer BVSC’s networks, internal and public meetings – taking minutes when required.
- To review current electronic filing systems, keeping folders organised, up to date and using archive appropriately.
- To be a key member of the communications team that manage the BVSC Twitter, Facebook and Instagram accounts keeping them current and relevant by scheduling content created by the team.

Communication
- Respond to general enquiries, answer the BVSC phone and being the first point of contact in the office, ensure delegation of this responsibility in your absence

Research, Support & Development
- The post holder will help produce regular impact reports for senior staff
- Contribute comprehensively to the annual workplan, updating and completing actions as they arise

Person Specification
Essential
- Experienced office administrator with excellent interpersonal and communication skills
- The ability to work as part of a team and provide efficient and professional administrative support to other office members
- Excellent working knowledge of Microsoft 365 suite including Word, Excel, Outlook, and a range of 365 apps e.g. Teams, Forms, SharePoint – these are used daily
- Excellent IT skills and experience of maintenance and input to CRM database systems
- Experience of working within a framework of confidentiality and with access to sensitive personal data
- Knowledge of website management and maintenance (WordPress and Drupal)
- Experience of using various design, communication, or project planning platforms e.g. Canva, Sway
