About the role:

We're looking for someone with the values, skills and knowledge to lead our learning and development function for a fixed period that will include project, budget, team and people management, developing new programmes of learning, commissioning training, developing an annual training plan and developing current systems and processes.

JOB PURPOSE

The Grant Management and Finance Advisor role is based in the Finance Team and works closely with the Resource Mobilisation and Programme teams. The role contributes to the effectiveness and impact of our work by supporting the sound financial, grant management, and administrative practices across Start Network. The post holder will ensure that the financial and administrative systems and procedures for the programmes and budgets are of high quality and compliant with donor and legal requirements.

JOB PURPOSE

This role is based in the Finance Team and works closely with the Resource Mobilisation and Programme teams. The role contributes to the effectiveness and impact of our work by supporting the sound financial, grant management, and administrative practices across Start Network. The post holder will ensure that the financial and administrative systems and procedures for the programmes and budgets are of high quality and compliant with donor and legal requirements.

KEY ACCOUNTABILITIES

GRANT MANAGEMENT & REPORTING

The role will be responsible for the end-to-end grant management cycle for a number of large and / or complex grants from institutional and corporate funders. This includes the following accountabilities:

• Work with fundraising and programme teams to manage the smooth running of donor preliminary assessments, start up and close out processes

• Support grant monitoring calls working with Programmes, Resources Mobilisation and Operations functions.

• Support the development of specific subaward grant processes where appropriate. Manage sub-grants to member and non-member organisations from contracting to reporting, recording, compliance, and managing financial risk as appropriate.

• Manage donor financial reporting, set up systems and process to ensure reporting is compliant, timely and accurate.

• Compile donor financial reports and payment requests ensuring accuracy with Start Network financial systems and work with finance team to develop a consistent process for reconciliation of donor financial reports.

• Support in advising Resource Mobilisation, Finance, Programmes, and Operations teams on best practices in grant management processes as required.

• Review and provide advice on donor agreements to ensure feasibility from an operations perspective.

  GRANT ADMINISTRATION AND TRAINING

• Support on grant tracking processes, establishing and managing a grant management tracker and calendar. Work closely with the resource mobilisation team to maintain trackers and to communicate key dates.

• Support for financial reporting and grant management training for Start Network peers and members.

  FINANCIAL AND BUDGET MANAGEMENT

• Manage complex grant budgets, ensuring all stakeholders are accurately informed and  grants are drawn down appropriately

• Support on the development of grant management procedures

• Develop processes to ensure smooth payment to grantees. Work with the Finance team to support implementation of these processes.

• Support preparation of team specific and project budgets as required for presentation to prospective donors and or governance committees

• Support on development of grant specific management reports to inform financial decision making.

• Meet regularly with budget holders for financial monitoring of grants, to advise on and take decisions on reallocation of funds where required.

• Monitor income and fund transfers from donors and where relevant- grant custodians.

• Work with the resource mobilisation teams to support donor-related internal and external audit requirements

• Working with the finance team, support on development of processes to ensure consistency of  grant financial management (ICR, FX rates, salary postings)

• Support  on monitoring of financial risk related to exposure on sub-grant agreements. Support with preparation of policies and papers to be presented to the FAC and R&C committees.

• Support and advise from a grant management perspective on wider finance team initiatives.

PERSON PROFILE

QUALIFICATIONS, EXPERIENCE AND TECHNICAL SKILLS

• Working knowledge of institutional and international donors, grant management, compliance and audit processes

• Proven ability to develop and manage complex budgets, and to draft high quality financial reports for colleagues and donors

• Knowledge of and ability to work with financial systems, and experience of setting up and implementing administrative and financial processes

• Demonstrable experience of managing multiple deadlines requiring attention to detail.

• Experience of capacity building of colleagues and or partner organisations

• Experience of building relationships across diverse teams and geographies

• Excellent communication skills in English; ability to communicate complex technical issues information to a range of audiences

About the role

The Bookkeeper manages essential financial duties, such as recording financial transactions and allocating income and expenditure to relevant funds, projects and cost centres; processing VAT returns; managing auto-enrolment, etc. The role is central to the business and general administration of the organisation.

Main Duties and Responsibilities

You will be responsible for completing all aspects of the day-to-day financial administration of the organisation in an accurate and timely manner.

The organisation uses Sage Accounts 50 (Nominal, Sales/Purchase Ledgers, Stock and Charities modules) and Microsoft Office software packages.

Key Responsibilities

• Plan, organise and manage own workload to ensure the organisation’s finance recording and payment processes are achieved in an accurately and timely manner

• Process sales/purchase invoices, payments/receipts and banking

• Recording and monitoring of petty cash

• Reconcile bank/petty cash/credit card/Paypal/stock/fixed assets accounts on a monthly basis

• Manage Debtor and Creditor accounts and ensure that outstanding accounts are settled in a timely manner

Responsibilities

• Financial Strategy, Planning and Analysis: Develop and maintain financial models, cash flow and forecasts to support strategic business planning and decision-making.
   
• Budget Management: Oversee and lead on the annual international budgeting and planning process (involving all ProVeg entities and departments). Administer and review all international financial plans and budgets; maintain all program budgets.
   
• Financial Reporting: Prepare and present monthly (P&L and balance sheets) management reports, quarterly variance reports, annual financial reports, donor-specific or grant reports, and other income generation reports to the Global CEO, and Senior Leadership Team.
   
• Audit and Compliance: Coordinate and manage financial audits, ensuring compliance with accounting principles and regulatory requirements. 
   
• Financial Risk & Compliance Management: Seek out methods and practices to minimise financial risk, leverage financial opportunities, and ensure financial compliance with charity laws and other guidelines. Remain up-to-date on best practices in non-profit finance, and relevant laws regarding non-profit operation. 
   
• Finance Operations and governance: Oversee and improve internal financial policies and procedures such as implementation of central finance software, donations and grants tracking, ensuring value for money by applying internal auditing principles, and advising/supporting country directors and finance managers as well as organisations joining the ProVeg global network.

Qualifications

• Relevant accounting qualification preferred, though candidates qualified by experience will be considered. Bachelor’s degree in finance, accounting, or related field desirable; graduate degree or CPA preferred.

• Minimum of 2-3 years of experience in a similar role, ideally in the non-profit sector. Experience of implementing and maintaining strong financial controls.

• Strong financial acumen and analytical skills, with a track record of strategic financial planning and analysis.

• Proficiency in financial modelling, forecasting, budgeting, and finance operations.

• Excellent data skills, including Google Workspace, with advanced proficiency in Google Sheets and QuickBooks, Xero, or other accounting software. Desirable: experience of implementing new accounting software.

• Calm and professional attitude, high level of integrity, accuracy, and a strong sense for due diligence.

• Experience consolidating multiple entities, ideally including different currencies.

• Collaborative attitude, solution-focused, and supportive of international colleagues (particularly Country Directors & Country Finance Managers, International Department Heads and International Operations team).

• Excellent communication skills in English; additional language skills, such as German, preferred.

Job Title: Training Services Officer

Reports to: Head of Services

Salary: £28,000 - £33,000 (Full Time Equivalent)

Hours: 21 per week

Purpose of the role

To support Lifelites’ Services team in designing, developing and delivering the multi-channel Lifelites Learning programme. Assisting the Lifelites trainer to deliver training for staff across children’s palliative care in person, online and through e-learning. Lifelites Learning complements the provision of Lifelites technology packages, increases confidence and skills of staff and provides high quality, accessible learning resources to maximise the impact of assistive technology.

The role will also provide vital support and resilience to Lifelites technology provision Lifelites 25, our exciting expansion programme, which will take Lifelites’ services to the wider children’s palliative care sector.

Main duties and responsibilities

Training Development

- To support the Lifelites trainer with the design and development of Lifelites’ high quality installation and ongoing learning and development programmes

- To assist in producing bespoke training itineraries, handouts and user guides for installation and ongoing training sessions aligned to Lifelites technology installation schedule

- To support the development and implementation of Lifelites e-learning platform, including course modules and interactive learning

- To assist in creating and publishing simple, intuitive and accessible user guides on Lifelites’ Learning Hub

- To work with the Head of Services, Trainer and Lifelites technology service provider to identify and evaluate new assistive technology solutions suitable for implementation within children’s palliative care settings

Delivery

- To support the delivery of Lifelites face to face and online training sessions

- To deliver ad hoc face to face training, super user and showcase training sessions for Lifelites staff and other partners as required

- To deliver training for new services supported through the Lifelites 25 Programme.

Co-ordination and monitoring

- To work with the Trainer to respond to queries and training requests and schedule installation and ongoing training sessions for children’s palliative care partners

- To capture and record training monitoring data, contributing to internal and external communications, evaluation and reporting processes

- To represent Lifelites within children’s palliative care settings and forums, providing feedback for Lifelites’ staff on emerging issues as required

General

Job Purpose: 

This is an exciting opportunity to work on the continuous development and delivery of a specialist service working in partnership with Central Northwest London NHS Foundation Trust, providing enhanced support to women with mental and physical health needs preparing to leave prison and resettle back in to the community. This project takes a trauma-informed, person-centred approach to support and works together with partner agencies to provide a bridge from prison to the community.

This post provides operational management of this project across the three women’s prisons in Surrey – HMP Bronzefield, HMP Send and HMP Downview and a community service delivery area of London and the South-East of England, ensuring quality standards are consistently met, staff are effectively managed, partnerships are maintained and contract KPI’s are delivered.

· Playing a pivotal role in providing operational and strategic leadership in the financial management of SCIE

· Leading the Finance Team on all aspects of SCIE’s day-to-day financial operations to ensure financial health, long-term sustainability and compliance with polices, charity legislation and other relevant financial standards

· Leading on the process of preparing and setting budgets, financial forecasting and reporting, liaising closely with the Director of Finance and Corporate Resources and budget holders as appropriate

· Lead on the timely preparation and production of the monthly management accounts, ensuring income and expenditure is recognised accurately with appropriate, supporting audit documentation in place

· Lead on the critical undertaking of required financial due diligence approval checks against the raising of our client sales invoices, monthly payroll submissions, fortnightly BACS runs, cash flow management and bank reconciliations

· Leading on SCIE’s annual external audit, including the preparation of our statutory accounts, ensuring compliance with all relevant charity legislation, regulations and financial reporting standards

What we are looking for:

· Achievement of a recognised, fully qualified professional Accountancy qualification (for example, ACA, ACCA, CIMA or equivalent) 

· A dynamic and experienced individual, with proven experience in a senior financial management role, ideally within the charity sector

· Proficient in preparing, analysing and presenting financial statements (income statement, balance sheet and cashflow statement).

· Excellent communication and interpersonal skills, including the ability to explain financial processes to non-financial staff.

· Strategic thinker with a proactive approach to problem-solving and decision-making

· Proven IT skills, including a high-level proficiency in Microsoft Office packages, with a strong knowledge of Excel’s functions and formulas

· Proficient in financial management software and tools

About You

We are searching for an accomplished financial professional leader, who can lead our Finance Team, delivering improvements that promote growth in both the team and the College growth.

Your previous experience should demonstrate your ability to prepare management accounts, leading to the submission of successfully audited annual accounts.

To deliver in this role you will need to be proficient in using a ledger (we use SUN) and MS Excel, have strong communication skills and a good understanding of charitable regulatory frameworks. If that is you, we'd love to hear from you!

About the Role

As the leader of our Finance Team, you'll oversee a variety of responsibilities including statutory reporting compliance, accounts payable, accounts receivable, and internal reporting. Your focus will extend to fostering strong business partnerships and engaging stakeholders to unlock insights and enhance operational efficiency.

Your role will be instrumental in safeguarding the College's assets and ensuring the responsible utilisation of financial resources as directed by our Board of Trustees. Join us in delivering a financial service that supports our College's mission and vision.

Duties include, but are not limited to:

• Oversee the annual financial cycle of work to manage and prepare the annual budget, monthly management accounts and consolidated statutory financial accounts.
• Prepare financial report papers for the Finance and Resources Board (F&RB), Board of Trustees (BoT), management and external auditors as required.
• Assist and advise the College’s directors, service heads, other budget holders and Trustees on financial matters.
• Oversee the management of the Finance Team, including direct line management of two-line reports, providing direction, support and constructive feedback to your line reports and the wider team.
• Be the finance team budget holder, complying with College financial regulations when expending your delegated budget.
• Be the product owner for the College accounting software and internet based financial services, ensuring access to these systems is controlled.
