We are looking for someone with the skills and experience of an operational role in a small dynamic and growing organisation to join our team. This is an important role working closely with our CEO to help our charity achieve its ambitious growth plans. The role is part time working 3 days per week which can be worked flexibily.
You will undertake a range of operational and financial activities. JOB SUMMARY
To support the CEO and assist the PKD Charity to deliver its organisational operations effectively and continue to provide first-class services to our community.
YOUR RESPONSIBILITIES
- Manage project grants and contracts and liaise with the charity’s accountants to ensure income and expenditure are tracked correctly.
- Manage regular financial activities including gift aid claims, lottery returns, expense checking and bank reconciliations.
- Manage policies and procedures, including periodic reviews and updating.
- Help update and maintain records on our CRM, in line with current legislation.
- Produce reports for the CEO as required.
- Participate in annual and 3-year strategy and business planning.
- Help plan new projects.
- Propose systems and tools to improve operational effectiveness and efficiency.
- Support staff operationally as and when required, eg occasional venue/catering booking.

Founded in 2000, we’re the first and only UK charity solely dedicated to improving the lives of an estimated 70,000 individuals and their families affected by polycystic kidney disease (PKD) in the UK.
PKD is a range of life-threatening inherited conditions that can cause kidney failure and affect other organs in the body such as the liver, brain, heart and bowels. Most people with PKD live with an uncertain prognosis, intermittent pain and infections, and then have to undergo life-saving dialysis or transplant in their 50s. A few babies have a rare form of PKD which results in death during pregnancy or shortly after birth; surviving children often have to have either a kidney or liver transplant before the age of 10.

About the Role
Reporting to our Operations Manager in the Investment Team this role plays an important part in supporting SIBs Investment Team in delivering funding programmes (grants and loans) to charities and social enterprises. As a member of the operations team the role will contribute to the efficient and effective running of the Investment Team.
The role holder will support the day-to-day delivery of funding programmes, including dealing with initial enquiries from our customers, providing support to our Relationship Managers (internal and external) throughout the customer journey, and providing administrative support to the team.
We are looking for someone who is eager to learn, organised, and has good attention to detail, excellent customer service skills and a desire to support our customers throughout their customer journey. We require someone who is able to manage a varied workload, and keen to contribute to the delivery of our funding programmes.
Key responsibilities
1. Manage relevant email inboxes and respond to enquiries using guidance notes and signposting queries where relevant.
2. Generate, check, validate and send offer documents to customers.
3. Carry out subsidy and due diligence checks and maintain accurate records.
4. Work with the Operations and Relationship Managers to check and authorise payment requests, ensuring all conditions have been satisfied (grants team only).
5. Set up customer monitoring records, send monitoring requests, complete monitoring records and close grant/ loan cases (as required).
6. Carry out audit sampling of grant/ loan cases (as required).
7. Respond to requests for information and produce regular management information reports for the team.
8. Prepare, review and format reports and papers, including for Grant Panels and Senior Management Team.
9. Be responsible for the minutes of Grant Committees, recording decisions taken, pursue actions and report on matters arising (grants team only).
10. Keep customer Salesforce details (e.g. contact details) and SharePoint files and folders (e.g. bank details, signatories, end of grant report tracking) up to date and accurate (as required).
11. Keep fund Salesforce (e.g. reports) and SharePoint files and folders (e.g. fund information, guidance docs) up to date and accurate.
12. Maintain administrative systems to support the on-going efficient and effective running of the team and ensure they are reviewed and updated if needed.
13. Provide administrative and other support to members of the team.
14. Support the operations team with the setup of new funds and the update of established fund policies, procedures and templates (as required).
15. Provide cover for the Operations Manager and the other Investment Team Assistant when they are on leave, and to provide cover for other operations team tasks as required.
16. Ensure that all work factors in customer needs and where possible improves the experience for them.
17. Work within the organisation's values, principles and processes to achieve operational excellence.

Role: Project Manager (Learning and Skills)
Organisation type: Professional Body/Charitable Organisation
Salary/day rate: £260 - £400 day rate (depending on number of days)
Working arrangements: Part time - 2/3 days per week (flexible, can spread days over week)

Context of the role:
- Support the organisation's future long-term strategy to make physics accessible to all by addressing skills shortages.
- Work within the Skills team to meet current and future needs in physics-powered sectors.
- Provide project leadership cover for the Skills team leader, driving strategic projects.
- Collaborative and build strong working relationships with internal teams across the UK and Ireland and external stakeholders at senior levels.
- Lead the delivery of a major project focusing on skills challenges in semiconductors, quantum technologies, and photonics.
- Champion initiatives that promote reskilling, upskilling, and inclusivity in the workforce.
- Influence networks and build consensus to encourage partnerships for impactful outcomes.
- Enhance internal expertise and influence in the physics community to drive meaningful change.
Key Responsibilities:
- Collaboratively scope and manage projects that contribute to achieving our skills objectives.
- Align and support skills-focused work across organisation's departments in Wales, Scotland, Northern Ireland, and Ireland, ensuring consistency and synergies.
- Allocate funds and manage budgets for projects and activities.
- Identify and build relationships with key partners to enhance project impact.
- Work effectively within the organisation's matrixed team, shaping priorities and developing integrated plans across related programs.
- Lead and oversee core skills projects, managing delivery risks, milestones, and impacts.
- Support coordination of skills-related activities across national and regional teams in England.
- Manage major national activities and relationships with skills stakeholders and partners.
The successful candidate:
- Strategic thinker with the ability to identify opportunities in a complex stakeholder and policy environment.
- Decision-making and project activities based on solid evidence.
- Inspiring leader and excellent project manager, able to promote cooperation and achieve collective goals.

Knowledge or understanding of physics-powered sectors is a plus but not essential and/or knowledge or experience in the membership/charity/education sector or organisation of a similar nature.
