Finance

Lead People’s Economy’s financial management and control, including:

Overview
The Operations and Systems Manager is a key role in the Operations Team and will focus on ensuring that our staff, all home-working and many based internationally, can engage positively with Global Dialogue’s operational systems and processes. The scope of the role covers IT and digital tools, digital security, data management, HR, insurance and travel, as well as the organisation’s equipment, and health and safety protocols.
Job Description
- Responsible for the maintenance and development of systems and processes that support Global Dialogue’s operations across a range of functions.
- Provide operational support to programme staff across the organisation as needs arise.
- Collaborate with Operations Team colleagues to improve cross-functional ways of working and play an active role in the development of projects that enhance Global Dialogue’s ‘offer’ to hosted programmes.
IT, Digital Security and Data Management
- Oversee Global Dialogue’s IT provision, managing the relationship with and acting as the main point of contact for our external IT support, as well as fielding programme requests and managing costs.
- Maintain an overview of Global Dialogue’s user accounts across SharePoint and other digital tools, ensuring pricing, licencing and permissions are effectively managed across all platforms.

Your role:
The Grantmaking Operations team sits within the Fund’s Operations department and is primarily focused on ensuring that resources are reaching frontline activist organizations. The team seeks to hire a Grants Specialist who will report to the Managers of Grantmaking Operations and manage the Fund’s most complex grantmaking programs.
The successful candidate will join a high-performing, enthusiastic grants management team, a deeply committed global staff, and an organization constantly learning and adapting to global contexts.
ESSENTIAL DUTIES OF THE POSITION:
Grantmaking
- Manage due diligence and enhanced grantmaking protocols for a highly complex and high-volume portfolio of grants spanning 50+ countries.
- Inform the development and implementation of grantmaking plans, ensuring they are robust and responsive to changing contexts and needs.
- Research compliance and financial regulation for various country contexts as needed and flag potential areas of risk to the Manager of Grantmaking Policy and Models.
- Identify and flag operational challenges that may have an impact on programmatic grantmaking ambitions, potential donor commitments or grantmaking advisory bodies.
- Coordinate with Program and Grantmaking Operations to ensure grants and grantee relationships are managed according to their risk level and operating context.
- Together with Program, Fundraising and Finance teams coordinate grant recommendation processes and timeline for grantmaking portfolios.
- Prepare and organize applicant materials and prospective grantee documents for all LEF cohorts.
- Manage incoming grant proposals and evaluate eligibility of prospective grantees in line with grantmaking due diligence protocols.

Database and Systems Administration

Job Summary
CAAS provide an ADHD and Autism Support Service for the 8 boroughs of NW London, from our base in Eastcote, with a team of Support Workers. Our work includes offering information, advice, and support to ADHD / autistic people, their families, and professionals in NW London, with the aim of improving quality of life and developing neurodiverse-aware communities. Some of the support is offered through one2one meetings, some of the support is provided through groups and courses which aim to increase understanding and awareness, and provide opportunities for peer support, and some of the support is offered through training and workshops to educate professionals and drive for accommodations to be made to services to allow greater access for our client group.
As Finance Manager you will report to and work closely with the Finance Director and have responsibility for the operational delivery of the finance, resource, monitoring, HR and contracting work streams within the charity. The role sits within the management group at CAAS, alongside the Youth, Adult and Family Service managers and the Client Programmes Director and manages the Finance and Monitoring Assistant and the Office Assistant.
The Finance Manager plays a crucial role in ensuring the infrastructure and operational delivery at the charity are effective for the more than 30 staff we employ, and the more than 11,000 instances of support we provide each year. Therefore, we are looking for a capable, calm, self-motivated, organised and hard-working accountant who is looking to move into a senior finance role, from any commercial, statutory or charitable background.
The role requires strong organisation skills, excellent communication skills, experience of management accounting and reporting, and an understanding of HR and payroll operations. Key Responsibilities
Financial Planning, Management and Reporting
· Prepare accurate, timely and well controlled and documented monthly and quarterly accounts. Share the outcomes of your reviews with the Finance Director, and ensure the accounts are reported in an meaningful way.
· Support in the preparation of Trustee reporting
· Support in the preparation and audit of the annual statutory accounts.
· Support with the annual budget and periodic reforecast processes to ensure the timely and appropriate provision of information to facilitate necessary adjustments to operational activity and appropriate decision making around cash investments.
· Ensure processes and procedures are carried out on a timely and effective basis to ensure financial policies and procedures are adhered to, and any control weaknesses mitigated and improvement plans in place

· Be accountable for operating effective controls and oversight regarding contracts with freelancers, volunteers or other suppliers
· Deliver all day-to-day finance and cash management operations, scheduling, tracking and fulfilling invoices and payments, providing accurate bookkeeping, approving payment runs and reconciled balance sheets, detailed records re credit card and other payment platforms, and generally work to use and improve the financial systems in place to ensure the charity’s overall stability and sustainability.
· Review and update funder schedule allocations, ensuring invoices raised on time and costs allocated correctly.
· Review and approve Customer and Supplier invoices, review of month end information from finance team. Creation and posting of month end journals, reviewing the month end accounts to budget and analysing any discrepancies.
· Supporting the Finance Director and CEO on adhoc reports or analysis
· As a member of the management group participate in cross team working meetings and management meetings, and build relationships with the other members of the management group such that you become an integral support resource to them as they deliver for our clients.
Resource & IT Management
· Hold responsibility for arranging and maintaining the charity IT and phone hardware and software
· Act as first line IT support for charity staff
· Hold the relationship with the external IT provider and liaise to ensure appropriate on and off boarding and security arrangements.
· Manage our internal personnel and H&S support programmes, such as our EAP provider, our training providers and our office maintenance systems.
· Maintain the charity asset register, and complete the necessary operational tasks to ensure the charity is appropriately resourced to provide effective infrastructure backdrop for our staff.
Monitoring Management, Reporting and Impact Evaluation
· Carry out the necessary regular reviews and support so that our CRM records are complete and accurate in respect of work performed, and prepare and distribute monthly, quarterly and annual monitoring reports internally.
· Prepare monitoring reports for funders on quarterly basis as and when required
· Ensure best practice in monitoring collection and evaluation, including managing GDPR processes, creating appropriate forms, and communicating deadlines and requirements to all staff.
· Operate as the internal first line of support for our CRM system and consequent monitoring reporting tools, to ensure they are accurate, regularly reviewed and procedures documented and continuously improved.
· Prepare impact and distance travelled statistics for our external communications, to support our fundraising efforts.
HR and Payroll Operations
· Deliver on the necessary onboarding and offboarding processes for staff, including complying with on our safer recruitment requirements, creating contracts and contract variation letters, supporting staff with timesheets and other records of work, carrying out pension operations and supporting with interview arrangements.

Director at Declassified UK
Established in 2019, Declassified UK is a small, growing media organisation that has quickly become known for ground-breaking, critical journalism challenging the British establishment on UK foreign policy issues.
The UK’s traditional media is increasingly acting as part of the establishment, failing to report independently on Britain’s policies around the world. By contrast, Declassified is independent and beholden to no-one, relying on the public and trusts & foundations for our finances, and drawing on a distinguished board and group of advisers.
We are seeking to appoint a new Director to succeed our co-founder Mark Curtis who will consolidate our reputation and take the organisation to its next level.
We will continue producing high quality written and visual journalism and seek to increase our political impact and reach bigger audiences, within the budgetary and capacity constraints that we have.
This is a unique, exciting opportunity for a person who is an excellent people manager and team player, who is skilled at organisational development and who can give strong support to our expert staff and our communications, fundraising and editorial needs.
The successful candidate must have considerable experience of working in the media, campaigns and/or not for profit sectors and be dedicated to our principles and mission.
KEY WORK AREAS
Organisational oversight
● ensure all aspects of the organisation’s work - including communications, fundraising, social media and editorial - function optimally, within the budgetary and capacity constraints.
● monitor progress towards strategic goals, plans and budgets.
Organisational development and innovation
● lead the organisation’s drive to best promote its mission and principles.
● work with the head of communications to increase our outreach to new audiences and our political impact, through new digital marketing nd public fundraising approaches.
Team Management
● inspire and lead an effective, motivated remote team, with a common sense of purpose, clear goals and division of responsibility, transparency, accountability, and effective internal coordination and communication.
● promote new recruitment when finances and strategy allow.
● ensure the organisation promotes optimal working practices and personnel policies.
● conduct regular one-to-ones with staff to provide support and ensure success.
Finances
● oversee the organisation’s finances, ensuring Declassified deploys its resources optimally, maintains an adequate cash flow, expands its revenue, and ensures its financial sustainability.
● after a transition, to be agreed in discussions, the Director may assume direct responsibility for administrating our finances, including paying staff and suppliers, doing quarterly and yearly accounts, recording invoices, and liaising with our accountants. This is presently done by other staff.
Fundraising
● work with relevant staff to drive trusts & foundations and public fundraising, helping to innovate our approaches towards existing and new public audiences.
● after a transition, to be agreed in discussions, the Director may assume direct responsibility for managing existing trusts & foundations and large personal funders, producing grant and budget reports and proposals, and seeking out new funders. This is presently done by other staff.
Communications
● work with relevant staff to maximise Declassified’s profile, for example by ensuring the optimisation of our website, newsletters and communications with supporters and non-supporters.
● work with relevant staff to produce our annual reports.
● field email queries from the public and external organisations.
Board and Advisers
● work with the Board to ensure Declassified’s governance structure best promotes its mission and principles.
● communicate clearly to the Board, delivering regular financial and strategy updates as per regular arranged meetings.
● maximise the contributions of Declassified’s Advisers to promote the organisation's mission.
Representation
● represent Declassified in external meetings and events, acting as an ambassador for the organisation’s mission and principles.
● promote Declassified to other like-minded organisations and individuals, developing contacts or partnerships such as with campaign groups, other journalists and MPs.
KEY SKILLS AND EXPERIENCES
Candidates should have several years experience working in media, campaigns or not-for profit organisations or similar, in several of the following areas:
● people management, including knowledge of human resources issues
● promoting organisational development and innovation
● working as a senior journalist or other media professional
● digital marketing, communications and use of social media
● managing budgets and finances
● working on UK foreign policy issues
● media and libel law
● fundraising towards the public and trusts & foundations
PERSON QUALITIES
● collaborative working style conducive to a small organisation
● highly organised and efficient, and good at strategic planning
● dedicated to champion our critical, outspoken and independent edge in foreign policy analysis and promote our principles
● ability to sometimes work under pressure and in the limelight
● aware of the UK media landscape and politics, with expert news judgement

REPORTING LINES
● the Director is accountable to the Board
● the Director will manage five staff: chief columnist, editor, head of communications, head of investigations and staff reporter
WORKING CONDITIONS
● All Declassified staff work from their home offices, with the opportunity of using a communal office in London subject to availability.
● We operate a four day working week, from Monday-Thursday.
● Salary of £65,000.
● We operate a pension scheme and flexible and generous terms and conditions for holiday allowance, compassionate leave, paternity/maternity leave etc, otherwise standard terms and conditions for work contracts, including a three months probationary period.
● The person must have the right to live and work in the UK.
