About the Role
We are now recruiting for an experienced Director of Operations to play a crucial role in guiding our driven and committed team as we shift our culture and infrastructure, upholding our vision, mission, principles, and values.
The post holder will work with colleagues to develop, implement and review Hibiscus’s strategy and plans, particularly as they impact our operating and finance models. They will be responsible for developing and monitoring the annual business plan, reporting progress and providing reliable structural, financial and people management. They will support the CEO in building and instilling a sense of unity and purpose into the work of the organisation, and represent the operational work to the Board. They will be responsible for the efficient running of operations and central functions, conducting risk assessments, monitoring performance and reviewing procedures, with a particular focus on overseeing the effective financial management of the organisation.
The successful candidate will be responsible for financial planning and producing financial budgets for the organisation, alongside monitoring projects from start to finish, preparing costings for funding applications, agreeing contracts and grant terms, monitoring deliverables and co-ordinating timely reporting. They will oversee the production of quarterly management accounts and yearly finance audits, and communicate the financial landscape of the organisation to the Senior Leadership Team (SLT) and Board. The Director of Operations will play a key role in risk and compliance, with a focus on data, safeguarding, policies and procedures, and legal and statutory requirements. They will work to increase the effectiveness of our operations, whilst supporting and contributing to the fundraising efforts of the organisation. A key element of the role will be to work to integrate our workplace culture into HR processes and procedures, modelling a fair and open management approach that ensures trusted relationships are embedded throughout the organisation.

About you

The successful candidate will have significant experience of strategic financial planning and managing organisational finances. The successful candidate will be able to demonstrate a strong understanding of safeguarding, health and safety, data protection, Charity Commission and Companies House requirements, alongside other major compliance areas. This will include demonstrable skills around change management and a strong understanding of risk management. PURPOSE OF THE POST
The Assistant Director for POPS core business is pivotal to ensuring the efficient, effective and legally compliant management of POPS’ head office functions and organisational infrastructure. GENERAL

Key responsibilities include shaping our approach to talent management, and developing our recruitment and retention strategies, including embedding EDI into all aspects of the management and development of people to ensure we are able to attract, engage and retain a diverse and inclusive workforce. CLPE is based in our beautiful Grade 2 listed building in Southwark. Our Centre houses an amazing collection of 25,000 children’s books as well as being a training and event centre for teachers, publishers and everyone else who works with children’s literature and cares about children’s literacy. Summary of key duties:
Executive Assistance:
· Schedule, organise and minute meetings as required for Leadership Team members, ensuring all necessary arrangements are considered.

· Support Trustee recruitment processes through the creation of application packs, scheduling recruitment process, managing applications and interviews, scheduling induction activities and creating digital and hard copy induction packs.
Human Resources Administration:
· Support the development and delivery of effective HR processes for the Trust, in conjunction with the COO.
· Support recruitment of both employees and Trustees through placement of adverts and issuing of relevant communications during the recruitment process in a timely manner, and liaising with the recruiting manager to ensure the process is planned and delivered in a supportive and accessible manner.
· Oversee and manage the administration of the IRIS HR system.
· Ensure reports relating to people management are available and issued to People Managers on a regular basis.
Use of Overton House:
· Establish, and keep under review, the policy and process for the booking of spaces at Overton House to external users.
· Oversee bookings by partner organisations, ensuring all appropriate agreements and guidance are in place for external users and that bookings and visitors are well managed.
· Liaise with the Marketing & Communications Team to ensure that appropriate communications about available space and booking processes are in place.
· Oversee the receiving of external visitors to Overton House, ensuring a welcoming and accessible environment for all.
