The Rape and Sexual Abuse Support Centre (South London) is looking for an experienced, passionate and professional HR Administrator.   
 

The successful candidate will play a vital role in recruitment, onboarding, payroll administration, and compliance while ensuring all HR processes run smoothly and effectively. 

Responsible to the People & Culture Manager you will be a key member of the People team at RASASC, working alongside our frontline services to ensure they have the support and working environment they need to be able to provide services to survivors. The successful candidate will have a strong track record of HR processes.

Role
 
You will be providing HR advice on operational services across the employee lifecycle, in line with HR policies and procedures.
 
Key Responsibilities
 

• To provide expert advice to line managers and staff on the application of policy and procedures and Employee Relations matters.
• To support line managers with a range of complex Employee Relations case management
• Look to develop, review and implement HR policies, procedures, guidance documents and templates while ensuring legal compliance and best practice.
• Provide information and give guidance on new and updated policies to line managers and staff
• To advise line managers on a range of change management issues, including non-renewal of fixed-term contract procedures, restructures, redeployment / redundancy procedures and TUPE transfers
• To assist the HR Business Partner with the delivery of HR related training, including managing your people series, probation and induction training,
• Liaise with the training team on any outcomes of ER cases
• To manage the performance of the Assistant HR Adviser and HR Administrator throughout the year via regular meetings and the annual appraisal process

The role

ROLE SUMMARY:

The People and Culture (P&C) Business Partner drives the P&C operational effectiveness in Country Offices, facilitates organisational development and change and provides a framework for best people’s practice and quality standards. The P&C Business Partner also supports the organization in developing and implementing initiatives that encourage diversity, promote equity, and support psychological and physical safety of the workforce.

International travel including security high risk countries up to 6 times a year and extended screen time will be required. 

 

WHAT YOU’LL DO:

Operational delivery (30%) 

• Provide advice and influence action on P&C global policies, and in collaboration with local P&C Specialists advice on local policies and employment law to staff and management based in Country Offices (COs). 
• Support the timely review of local policies and embed best practice, ensuring local needs and culture are reflected.
• Work with Chief People and Culture Office (CPCO), P&C Directors, the Talent Acquisition Specialist, the Safeguarding Specialist, Global Directors of Country Offices and Logistics Manager to identity and mitigate people related risks in COs and prevent and resolve issues. 

Quality Assurance (20%) 

• Drive efficiency and quality assurance  of P&C operational practices in COs by conducting assessments and P&C Audits, and work with P&C Specialists and Country Directors (CDs) to enhance the employee experience, ensure consistency, continuous improvement and enhance People’s capacity in country. 
• Support CDs to ensure compliance and manage P&C risks as per country risk register and audits’ actions. 
• Contribute to the data gathering, analysis and presentation of P&C reports, to enable decision making Identifies trends, propose actions for improvement and instigate implementation. 

Employee Relations and Employee Services (30%) 

• Monitor the whistleblowing line and ensure timely action is taken in all complaints received related to COs. 
• Oversee and work with P&C and COs management on the prevention and effective resolution of employee relations issues and adherence to disciplinary procedures. Responsible for maintaining confidential records. 
• Conduct investigations and liaise with legal firms and/or investigators to resolve ER cases. 
• Identify trends and areas of concerns based on data channels i.e. surveys and exit interviews and proposes actions. 

Diversity, Equity Inclusion and Accessibility (DEIA) (10%) 

• Embed DEIA approaches in policies and processes, to create a framework that welcomes and supports staff regardless of race, ethnicity, gender, age, religion, language, ability, status, and location. 
• Work with the Global Diversity, Equity, Inclusion and Accessibility Committee (GDEIAC) to communicate DEIA strategy and establish measurable goals to track progress.
• Source, develop and manage trainings and a forum of knowledge based on needs, including through the Learning Management System (LMS) and the DEIA Week.
• Analyse DEIA data to make recommendations and support implementation of agreed actions.

 

Safety and Safeguarding (10%) 

• From the P&C perspective, support adherence to safety, security and Safeguarding policies and procedures across the organisation.

Expertise (Certifications/Education, Professional Experience):

• Master’s degree in Human Resources Management, Business Administration, Org Behaviour or related field 
• Experience of working at HQ or regional level on an international development organization with representation in low, medium and high-income countries
• Experience in management of HR international operations with thorough knowledge and understanding of applicable local laws and donor requirements in a number of countries 
• Experience in delivering HR services through a business partner model 
• Experience advising and training P&C professionals, staff and management on employee relations issues and best people management practices

My renowned Arts sector client based in Central London are currently looking for an interim People Business Partner to cover maternity leave on a 12-month Fixed Term Contract starting at the end of May 2025. The overall responsibility of the People and Culture Administrator role is to support the smooth running of the Foundation’s People & Culture function. The role is responsible for the administration support to the People & Culture business area, specifically the business partnering team.  

The People & Culture Administrator will play a key role in handling people processes, employee records and provide general HR support, ensuring compliance with policies and procedures. The role will work collaboratively with the Talent Co-ordinator and People Operations Analyst to ensure the full spectrum of the People & Culture directorate is functioning effectively and efficiently. 

Key Responsibilities

People/HR Administration 

• Maintain and update employee records and HR databases, ensuring accuracy and confidentiality. 
• Liaise with the People Business Partners to prepare HR documents, such as contracts, carry out suitable checks (such as OH and DBS) and take up references. 
• Assist with People Operations Analyst with reporting, including tracking key metrics such as absence, turnover, and compliance. 
• Support the administration of People policies, procedures, and processes. 
• Handle general People/HR queries from employees, utilising suitable technology to track, escalate and close off queries. 
• Produce and send HR related letters and correspondence as required. 
• Develop and oversee an adequate, effective, and efficient electronic filing system for storing employee information 
• Support the People Business Partners in managing individual review cycles, sending reminders to managers when reviews are due and signposting staff and Line Managers to further support and guidance.  
• Working with the People Business Partners, collectively manage the 360 feedback surveys for end of year reviews.  
• Ensure reviews are completed on time and closed off on the relevant HR Information systems.  
• Work with the CPO, Head of People & Culture and Internal Communications Manager to develop People related content, for dissemination via Staff Gatherings, Foundation Hub, staff emails and system alerts. 
• Publish and maintain content on the Foundation intranet. 

Payroll & Benefits Administration 

• Assist the People Operations Analyst with payroll processing, ensuring timely and accurate submission of employee data. 
• Maintain records for employee benefits such as pensions, health insurance, and other schemes. 
• Support the administration of annual leave and absence tracking. 

Employee Relations & Compliance 

• Ensure compliance with employment laws, company policies, and GDPR regulations. 
• Assist in handling employee relations matters by supporting documentation and meetings. 
• Maintain and update People policies and procedures as required. 
• Support HR projects, including assisting the People Operations Analyst in delivering employee engagement initiatives etc.
