As we continue to grow and expand our operation, we are seeking a dedicated and experienced Chief Financial & Operating Officer (CFOO) to join our senior leadership team.
The Role
We are looking for a seasoned and qualified financial & operational leader to play a pivotal role in shaping and delivering our financial strategy, ensuring strong governance and compliance, and supporting our mission to create lasting change for vulnerable households.
The CFOO will report to the CEO and work closely with them and the Board of Trustees, overseeing financial & internal operations, advising on strategic financial matters, and safeguarding our resources for maximum impact In addition to the financial aspect of the role, the CFOO will support the CEO with the day to day operational running of the trust, overseeing HR, Admin, Compliance and IT functions. This role also includes leadership responsibilities for a small internal dedicated team and oversight of external contractors and consultants.
The role is home based with some travel to meetings, including overnight stays within the UK as required.
Key Responsibilities
- Lead and develop the Trust's financial strategy, aligned with our mission and long-term goals.
- Oversee governance, risk, and compliance processes, ensuring that all regulatory and ethical standards are upheld.
- Present clear, insightful financial reports and analysis to the Board of Trustees, supporting informed decision-making.
- Develop and oversee the internal systems and processes within the Trust, fostering a culture of accuracy, integrity, and accountability.
- Work closely with the CEO and senior management team, providing guidance on financial sustainability and risk management.
- Proactively identify and manage financial risks, ensuring resources are deployed effectively and responsibly.
About You
- A qualified Chartered Accountant
- An Experienced Financial Strategist with a proven track record in strategic finance within a charitable organisation, foundation, trust or relevant setting.
- Experience of overseeing both Financial and non-financial internal functions, processes and systems.
- Risk-Aware and Analytical: Skilled at assessing and mitigating risks, with a highly analytical approach to financial & wider risk management.
- Skilled Communicator: Exceptional ability to communicate financial & wider insights clearly and effectively to stakeholders at all levels, including presenting to the Board of Trustees.
- Governance and Compliance Expert: Strong knowledge of governance, compliance, and risk management in the charitable sector.
- A Strong and Supportive Leader: Leadership experience with a small team, fostering a culture of excellence and collaboration.
- Diplomacy & Commercial Acumen

1. Financial Management
- Be responsible for and run the organisation’s bookkeeping and financial management processes including invoices, expenses and bank payments.

Personal Specification
The ideal candidate will be able to demonstrate many of the following skills and attributes:
Essential:
- A relevant professional accountancy qualification (AAT, CIMA, ACA, ACCA) with some experience of working independently or with minimal supervision, preferably in the charity sector.
- At least 3 years’ relevant professional experience in a similar administrative, financial or management role.
- Experience of using accounting software and managing the financial administration of an organisation including paying and issuing invoices, reconciling bank accounts, and running payroll.
- Experience and confidence in producing and managing an organisational cashflow, budgets and management accounts.
- Experience of preparing and submitting VAT returns.
- Experience of creating and reviewing HR policies and procedures.
- Excellent communication skills
- As part of a small team you will also need the ability to turn your hand to a variety of tasks.

Desirable:
- Background, interest and experience in environmental policy, and the UK’s relationship with the EU and the rest of Europe.

This is a Full-Time Contract from 10th March 2025 to 10th April 2026 to cover a staff member on Maternity Leave. The position is office based; however, we operate a hybrid working model and you will be expected to work 3 days a week in the office.
Position Summary/ Objective
To ensure the smooth functioning of the IFAW UK office, responsibilities include the delivery of core office services and facilities, processing mail and deliveries, providing HR and Finance support, welcoming visitors and other general office duties as reasonably assigned. The operations, administration, and office Coordinator works to ensure that IFAW meets fire, safety, and security obligations.
Role and Responsibilities
Office Facilities and Administrative Support:
- Ensure that the office is a professional, safe, and organised environment, maintaining office contracts and relationships with contractors.
- Liaise with building management on matters affecting the office facilities - service charges, utilities, building services – attending tenant meetings as required. Liaise with the Director of Finance and Operations UK on matters relating to the office lease arrangements.
- Oversee office security – ensure secure access to the office by staff, visitors, and contractors, issuing office fobs and managing their safe-keeping.
- Maintain office stationery and kitchen supplies. Ensure that all parts of the office are kept neat, tidy, and orderly and ensure confidential waste is removed appropriately.
- Induct new staff on the office protocols incorporating health and safety, fire, and security, to include visitors, temporary staff, and volunteers. Keep key policies and procedural documents up to-date and visible, and keep staff informed of provisions and changes.
- As Fire Warden, take lead responsibility to ensure that fire evacuation procedures are effective; maintain the Fire Logbook, fire equipment, fire alarm and fire doors. Conduct statutory checks on fire and electrical equipment. Ensure appropriate numbers of and training of Fire Marshals.
- Work with Director of Finance and Operations UK to evaluate appropriate office insurance to ensure adequate and appropriate cover.
- Undertake key projects to maintain the effective operation of the office and other duties as consistent with the post as requested.
Incoming and Outgoing Mail:
- Receive and process all incoming mail. Frank and dispatch all outgoing mail, ensuring it is sent in a cost-effective manner in accordance with procedures.
- Ensure that key staff members are kept fully trained on the franking machine and DHL/Courier services and that cover is put in place for days when the operations, administration, and office Coordinator is out of the office.
Miscellaneous:
- Work with the Director of Finance and Operations UK to maintain the UK HR records in accordance with legal requirements. Ensure all leave records are kept up to date and correct. Draft new staff contracts.
- Assist with UK recruitment ads and induct new staff members.
- Manage IFAW’s Travel Management Company and assist staff with booking travel and accommodation in accordance with the IFAW travel policy.
- Help with Board and Management visits and meetings in the UK.
- Manage the UK accounts invoicing inbox, processing office invoices and forwarding invoices to the correct departments.
- Process and deposit the weekly banking.
- Assist with other administrative or operational tasks as requested by the Director of Finance and Operations UK.

The Operations Officer will form part of the Jigsaw4u Front of House team. They will be responsible for all HR administration, including staff training and staff wellbeing and communications. In addition they will lead on office maintenance issues, and support the delivery of operational projects.
Jigsaw4u is proud of its 26+ year history providing specialist wellbeing support services for children, young people and families across South West London.
The Operations Officer is a new role for the charity and will bring vital support to the Operational and HR functions of Jigsaw4u, to ensure smooth administration of these areas so staff are enabled to continue delivering services of the highest quality to our service users.

Responsibilities:
Overall, the role involves ensuring smooth daily operations and charity compliance, managing office administration, supporting team productivity and wellbeing, and liaising with external stakeholders and suppliers.
Finance and Fundraising:

Ensure financial compliance and oversee bookkeeping, invoicing, and grant payments.

Support budgeting, financial reporting, and planning with the Director.

Monitor charity management accounts, project income, and expenditure.

Manage year-end accounts, filing with the Charity Commission, and Company House.

Write funding applications and reports, maintain funder relationships, and ensure grant reporting deadlines are met.

Ensure provisional figures are submitted to various funders and entities

Write narrative report to go alongside financial report for year end accounts
Board and Senior Management Team:

Support the Director in preparing Board papers

Support SMT meetings and assist the Board with reminders and actions
- Update the Risk Register every 6 months according to updates agreed at Board meetings
HR and Policy:

Lead on HR activities, annual leave, TOIL, pensions, and contract administration.

Oversee payroll, recruitment, staff wellbeing, and compliance with employment law.

Manage temporary staff and freelancers, and update HR policies as needed.

Lead on the annual team training programme and supporting team with individual
training ambitions

Support all staff with wellbeing needs and help address issues with individual wellbeing.

Organise team training, away days, and foster a positive team culture.

Ensure staff adherence to policies (e.g., annual leave, sickness, TOIL) and promote
inclusive work practices.

Support with Risk Assessments and Safeguarding assessments and help respond to safeguarding concerns or incidents

Support with Activity Planning

Support with any placements/internships
- Organise annual DBS checks for all staff
IT:

Manage all IT systems used by the team of staff and freelancers, including Slack and Google Workspace.

Oversee CA website management including updates and resolving issues as needed with the web developers

Communicate any server or IT issues promptly with the team

Encourage best practice for cyber security to all team members and work with staff to resolve any cyber security issues that arise Compliance and Governance:

Ensure legal and regulatory compliance, including Charity Law, Data Protection, Health & Safety and Employment Law, and support implementation of relevant policy with the Board and Senior Management Team.
Office Management:

Manage office logistics, filing, GDPR compliance, and health and safety.

Ensure safeguarding protocols are in place, reporting issues to the landlord/Building Manager as needed

Manage insurance renewal and any issues with insurance throughout the year, including
additional insurance premiums / cover and any claims
Required Experience:

Proven experience in an operations or administrative management role within a charity, arts, or non-profit organisation.

Strong financial literacy and experience managing budgets.

Excellent attention to detail: Highly organised with a focus on accuracy, best practice and compliance.

Knowledge of HR processes, including recruitment, payroll, and fostering positive work culture

Ability to handle sensitive and confidential staff and organisational information

Excellent organisational and project/task management skills.

Strong written and verbal communication skills.

Highly literate in IT: experienced with Word, Excel, Google Workspace, Slack, and other organisational software.
