Overall Duties of the xxx will include:

• Manage inbound and outbound post daily using the virtual systems in place
• Respond to telephone calls and allocate these to staff as appropriate.
• Administratively deal with the foster care training
• Liaise with the Duty Social Worker, Placement Officer and Area Manager re. Requesting and chasing children and young people outstanding looked after paper-work.
• Compile and produce weekly Newsletters/briefings for foster carers.
• Support the Children Resource Worker in producing quarterly children and young people Newsletters.
• Take panel minutes in the absence of the Admin Manager and Senior Admin Officer.
• Carry out any other task that the Admin Manager, Area Manager or any other Social Worker requires.

The Administration Officer should be based within a reasonable travel distance of the Merseysdide / Wirral area and will be required to travel to face-to-face meetings at least once a month and on other occasions for training and team wellbeing events.

 Job purpose 

You will be responsible for managing the financial transactions of the organisation. Working closely with the Finance Manager to ensure all financial systems are implemented effectively while ensuring data integrity and compliance with accounting standards. In addition, you will assist the Finance Manager in maintaining a functional and safe office environment in accordance with employment and health and safety laws. 

 Key duties:

 Financial:

 Accounts Payable

• Manage the day-to-day accounts payable activity to support the organisation's short-term obligations owed to its creditors or suppliers, including but not limited to: 
• Utilise cloud-based software to manage supplier invoice activity.
• Dealing with external creditor and supplier queries. 
• Assisting the Finance Manager with supplier contract renewals.
• Manage and reconcile expense activity across all business cards utilising cloud-based software where appropriate. 
• Resolve accounting discrepancies.

Account Receivable

• Manage the day-to-day accounts receivable activity between the organisation and its clients, customers, and donors, including but not limited to: 
• Process all incoming post and utilise the CRM database to record any fundraising income.
• Ensure cheques are deposited weekly in accordance with finance policy and procedures.
• Ensure accurate billing for goods or services, not including those related to healthcare.
• Reconcile incoming payments against all invoices. 

 Month End and Period End

• Assist the Finance Manager in the preparation of accurate monthly, quarterly, and yearly accounts by performing activities including but not limited to: 
• Auditing and correcting where necessary the accounting allocation of transactional detail in accounting software. 
• Monitor and audit aged debtors and creditors- correcting errors, reconciling unallocated payments, and chasing missing invoices where needed. 
• Utilise the CRM database to calculate and submit the monthly gift aid return and perform the journal entry into accounting software.

 Payroll Administration

• Collate salary transactional data from payroll reports, update payroll apportionment sheet and prepare journal for entry into accounting software.

 Participate in Finance Audits

• Maintain records at a level which meets the needs of external auditors. Assist the Finance Manager in the preparation of document evidence and be on hand to assist during the field week section of the external audit.

 Office Duties

• Assist the Finance Manager in various office duties including but not limited to: 
• Monitoring office supply levels and replenish where necessary.
• Maintaining the organisation's small asset register.

This post will provide high-quality support to the technology and operations of the organisation, to ensure the smooth running of the main site and enable YAA to meet and deliver on its core objectives and obligations. About this job

In this role you will be providing emotional support and information to people affected by multiple sclerosis (MS) that empowers them to; live to their full potential, take an active role in their treatment and secure the care and support they need. As part of the helpline team you will also contribute to the overall implementation of the teams objectives and successfully embedding new services.

Our helpline is open 9am – 7pm and therefore this role includes working a shift pattern of 9-5, 10-6, 11-7 or as the service demands.

Please note this is a fixed term 12-months maternity cover contract. This role is full time, part-time hours (28 hours +) will be considered.

The role

This role is varied, providing an opportunity to learn and understand many aspects of the Trust’s work and ecosystem. The role will be responsible for:

· Contribute to the Global Programming portfolio, supporting to deliver keystone Alumni events such as reunions, UK and global Alumni events, and supporting constituencies with less activity, ensuring a proactive calendar of Alumni activities

· Support with general administration as requested, particularly regarding the Global Alumni Advisory Board (GAAB) and Lifelong Fellowship and Impact Committee (LFIC) including coordinating meetings, drafting meeting agendas and minutes, printing or sending of presentations, collating of information for reporting, following up on action items and other communication materials as appropriate

· Monitor the Alumni mailbox and ensure a timely reply to all queries and requests directed to them (including connecting Alumni who are looking for other Scholars). Provide appropriate responses to a varied range of enquiries from community members by email, phone, post and in person. Tactfully and diplomatically recognise and quickly resolve any potential issues raised

The Role
