Job Title: Finance Officer 

 Job Description 

 Job purpose 

You will be responsible for managing the financial transactions of the organisation. Working closely with the Finance Manager to ensure all financial systems are implemented effectively while ensuring data integrity and compliance with accounting standards. In addition, you will assist the Finance Manager in maintaining a functional and safe office environment in accordance with employment and health and safety laws. 

 Key duties:

 Financial:

 Accounts Payable

• Manage the day-to-day accounts payable activity to support the organisation's short-term obligations owed to its creditors or suppliers, including but not limited to: 
• Utilise cloud-based software to manage supplier invoice activity.
• Dealing with external creditor and supplier queries. 
• Assisting the Finance Manager with supplier contract renewals.
• Manage and reconcile expense activity across all business cards utilising cloud-based software where appropriate. 
• Resolve accounting discrepancies.

Account Receivable

• Manage the day-to-day accounts receivable activity between the organisation and its clients, customers, and donors, including but not limited to: 
• Process all incoming post and utilise the CRM database to record any fundraising income.
• Ensure cheques are deposited weekly in accordance with finance policy and procedures.
• Ensure accurate billing for goods or services, not including those related to healthcare.
• Reconcile incoming payments against all invoices. 

 Month End and Period End

• Assist the Finance Manager in the preparation of accurate monthly, quarterly, and yearly accounts by performing activities including but not limited to: 
• Auditing and correcting where necessary the accounting allocation of transactional detail in accounting software. 
• Monitor and audit aged debtors and creditors- correcting errors, reconciling unallocated payments, and chasing missing invoices where needed. 
• Utilise the CRM database to calculate and submit the monthly gift aid return and perform the journal entry into accounting software.

 Payroll Administration

• Collate salary transactional data from payroll reports, update payroll apportionment sheet and prepare journal for entry into accounting software.

 Participate in Finance Audits

• Maintain records at a level which meets the needs of external auditors. Assist the Finance Manager in the preparation of document evidence and be on hand to assist during the field week section of the external audit.

 Office Duties

• Assist the Finance Manager in various office duties including but not limited to: 
• Monitoring office supply levels and replenish where necessary.
• Maintaining the organisation's small asset register.

• To maintain a high level of confidentiality at all times throughout all duties and responsibilities 
• Attend and contribute constructively to meetings as required. 
• Positively promote the work and activities of Action for M.E. at all times.
• Keep up-to-date with best practice and comply with relevant legislation and regulatory requirements, working within the organisation’s policies and procedures and ensure that good practice is observed.

The Diocese of Winchester and the Diocese of Portsmouth are partnering exclusively with Robertson Bell to recruit a Finance Officer on a permanent, full-time basis. The Diocese of Winchester (WDBF) and the Diocese of Portsmouth (PDBF) support the Ministry in, and the mission of, Church of England parishes in Winchester and Portsmouth and surrounding areas.

Reporting into the Heads of Finance for both dioceses, you will play a key role in operational cashflow management, financial reconciliations, and process improvement. Working across two charities within each diocese, as well as supporting additional connected organisations, this role offers a unique opportunity to enhance financial operations within a complex and impactful environment.

In this Finance Officer role, you will:

• Prepare and review monthly and quarterly balance sheet reconciliations for all diocesan entities, ensuring transactions are accurate and properly recorded.
• Complete quarterly investment reconciliations, updating the investment register and processing revaluations as needed.
• Manage the school’s ledger, overseeing payments, fund transfers, and project accounting reconciliations.
• Collect the Common Mission Fund via direct debit, reconcile payments weekly, report figures to the National Church, and support monthly reporting.
• Assist with year-end preparations, ensuring timely and accurate statutory accounts and audit support for all entities.
• Monitor daily cash flow across diocesan entities, transferring funds as needed and overseeing Barclaycard and NatWest credit card accounts.
• Act as system administrator for accounting and banking platforms, supporting users, resolving queries, and assisting the finance team.

Your role will involve preparing briefing notes for Trustees, managing estate and trust account reconciliations, and ensuring that taxes, including Capital Gains, Income, and Inheritance Tax, are handled correctly, safeguarding Guide Dogs’ interests. You’ll also protect Guide Dogs’ position when property or land is involved, securing necessary valuations to achieve the best possible value. Additionally, you will stay up to date with changes in probate, tax, and trust law, ensuring your approach is always in line with the latest regulations and practices.

The Communications Manager is responsible for developing and implementing effective professional internal and external communications strategies for the Diocese to support the Diocesan Bishop and senior leaders as part of the Mission of the Church. You will lead and manage a small, dedicated communications team of two direct reports: Creative and Digital Communications Officer and Webmaster.

As Communications Manager you will oversee the Diocese’s media relations including proactive engagement with journalists and responding to press inquiries. Produce high-quality written and visual content, including newsletters, social media posts, and annual reports. Manage and enhance the Diocese’s digital presence, including website and intranet development. Support key diocesan campaigns and initiatives to increase engagement and giving. This role ensures consistency and professionalism in all communications, to promote the Diocesan vision of bringing people closer to Jesus Christ through his Church.

1. Main Duties

Communications Strategy

• Design, develop, and implement the Diocese’s Communications Strategy which is fully aligned with the Diocese ten-year Mission plan.
• Research and identify appropriate methods and channels including secular and religious media to raise the Diocese’s profile and in turn that of the Catholic church.
• Collaborate with partners, such as the Bishops Conference of England and Wales to help shape and influence public policy aligned with Diocesan objectives.

 External Communications

• Proactively identify opportunities for promoting positive news about the work of the diocese and enabling the Diocesan Bishop to contribute to thought leadership and public debate on relevant policies.
• Drafting material appropriate for publication.
• Arranging video to support key diocesan publications such as Bishops Pastoral Letters.
• Build and develop the Diocese’s links with press and media to support strategic objectives.
• Act as the point of contact for sensitive news, advising the Bishop and senior staff about media handling.
• Act as the Diocesan spokesperson when required, providing a positive and supportive representation of the Catholic Church and the Diocese.
• Develop and implement a Crisis Communications Plan, crafting media statements and briefing senior colleagues on media lines to take.

• Manage communication channels such as the intranet, regular newsletters, and staff briefings to ensure alignment with Diocesan values and goals.

Website and Digital Presence

• Oversee the ongoing improvements in the functionality of the Diocesan website, ensuring it is engaging, user-friendly, up to date and supports the Bishop’s vision.
• Introduce interactive and video content to enhance user experience.
• Support parishes in developing and maintaining their local websites.

 Support to Key Departments

• Collaborate with key departments to design and implement tailored communication strategies. For example, Safeguarding.
• Provide tools, templates, and guidance to ensure consistent and effective messaging across departments.
• Act as ‘brand champion’, developing, overseeing and implementing brand guidelines to professionalise and standardise all external communications output, whether it emanates from within or outside the Communications department.
• Build and maintain strong positive working relationships across the DSAS and wider Diocese to support the successful delivery of the communications strategy'

Meeting Attendance and Reporting

• Attend meetings of the Finance Audit and Risk Committee and any other meetings required, to provide briefings, regular written reports and seek approvals as needed from the Board of Trustees about Communication related matters.
• Support the work of Multidisciplinary meetings that may be called form time to time to deal with extraordinary events.
• Attend in person meetings in parishes across the Diocese where sensitive matters indicate that an in-person meeting is preferable.

Communications Manager - Person Specification

Legacy Officer

We are seeking a dedicated and detail-oriented Legacy Officer to join our team. You would be responsible for your share of the legacy administration cases in the UK, ensuring that gifts left to IFAW in Wills are handled efficiently, sensitively, and in accordance with legal and organisational standards. You would report to the Global Legacy Administration Manager on a day-to-day basis. Your work will directly support IFAW’s mission by maximising income from legacies to fund our animal welfare and conservation efforts.

Role and Responsibilities

· Managing a caseload of legacy gifts: This includes pecuniary, residuary and life interest legacies, ensuring IFAW receives its full entitlement in a timely manner. This may include a small selection of contentious cases.

· Working closely with solicitors, executors, and beneficiaries: You’ll provide accurate and sensitive support throughout the probate process, building trust and ensuring a smooth experience for all parties involved.

· Maintaining meticulous records and reports: You’ll ensure accurate financial and contact records are kept, reports are generated on time, and compliance with all legal and regulatory requirements is met.

· Providing recommendations for action: You’ll provide your suggestions to move forward any legacy case where action needs to be sanctioned by management or Trustees, or where there may be a risk to the charity's reputation.

· Assisting with monthly/annual reconciliation and audit: This includes following our financial rules to make appropriate accruals, adjustments, and provide audit-ready case files.

· Liasing with other teams within IFAW: When appropriate, you’ll work collaboratively with other teams, such as Finance, Donor Relations or the Legal team, to ensure a seamless process for legacy gifts, and to promote the legacy team’s recognition and standing in the organisation through internal engagement.

· Staying up to date on relevant legislation and best practices: You’ll be a member of the ILM and regularly keep abreast of changes in the world on legacy case management, to ensure IFAW’s legacy administration remains efficient and compliant.

Qualifications and Education Requirements

· At least 1 year of experience in legacy administration or estate management: You’ll have a strong understanding of probate laws, Wills, trust, and estate administration. Experience of using FirstClass is desirable.

· Achieved or willing to work towards certification: You have or will work towards gaining the ILM’s Certificate in Charity Legacy Administration (CiCLA).

Overall Purpose

To work and lead on setting clear standards for high quality gathering, recording, monitoring and use of data collected via our grant’s programmes and initiative, accessing this data to inform donor grant reports, infographic data sharing, donor reports and network reporting in an accurate and transparent way. Reporting to the Head of Impact you will be technically proficient in monitoring data use of the CRM systems. Responsibilities

To lead on the accurate recording, management, and accessibility of data gathered through the Foundations programmes and initiatives via our Salesforce CRM system and future platforms, including potential Social Value and Social Return on Investment models.

Support the grants team in recording and maintaining accurate data, ensuring records are complete, up-to-date, and compliant. Conduct routine system checks and regular data cleansing as required.

Support monitoring received from grantees, helping extract key data and learning, checked by Head of Impact.

Provide support to Head of Impact with Salesforce CRM training to internal teams to enhance data usage and impact measurement.

Performance Management

Collect, analyse, and present relevant data on a quarterly basis to support donor reporting.
