Job Title: Finance Officer 

 Job Description 

 Job purpose 

You will be responsible for managing the financial transactions of the organisation. Working closely with the Finance Manager to ensure all financial systems are implemented effectively while ensuring data integrity and compliance with accounting standards. In addition, you will assist the Finance Manager in maintaining a functional and safe office environment in accordance with employment and health and safety laws. 

 Key duties:

 Financial:

 Accounts Payable

• Manage the day-to-day accounts payable activity to support the organisation's short-term obligations owed to its creditors or suppliers, including but not limited to: 
• Utilise cloud-based software to manage supplier invoice activity.
• Dealing with external creditor and supplier queries. 
• Assisting the Finance Manager with supplier contract renewals.
• Manage and reconcile expense activity across all business cards utilising cloud-based software where appropriate. 
• Resolve accounting discrepancies.

Account Receivable

• Manage the day-to-day accounts receivable activity between the organisation and its clients, customers, and donors, including but not limited to: 
• Process all incoming post and utilise the CRM database to record any fundraising income.
• Ensure cheques are deposited weekly in accordance with finance policy and procedures.
• Ensure accurate billing for goods or services, not including those related to healthcare.
• Reconcile incoming payments against all invoices. 

 Month End and Period End

• Assist the Finance Manager in the preparation of accurate monthly, quarterly, and yearly accounts by performing activities including but not limited to: 
• Auditing and correcting where necessary the accounting allocation of transactional detail in accounting software. 
• Monitor and audit aged debtors and creditors- correcting errors, reconciling unallocated payments, and chasing missing invoices where needed. 
• Utilise the CRM database to calculate and submit the monthly gift aid return and perform the journal entry into accounting software.

 Payroll Administration

• Collate salary transactional data from payroll reports, update payroll apportionment sheet and prepare journal for entry into accounting software.

 Participate in Finance Audits

• Maintain records at a level which meets the needs of external auditors. Assist the Finance Manager in the preparation of document evidence and be on hand to assist during the field week section of the external audit.

 Office Duties

• Assist the Finance Manager in various office duties including but not limited to: 
• Monitoring office supply levels and replenish where necessary.
• Maintaining the organisation's small asset register.

• To maintain a high level of confidentiality at all times throughout all duties and responsibilities 
• Attend and contribute constructively to meetings as required. 
• Positively promote the work and activities of Action for M.E. at all times.

Legacy Officer

Location:  London

Hiring range: 34,000-40,000 GBP per year

Make a lasting impact on animals through careful legacy administration.

We are seeking a dedicated and detail-oriented Legacy Officer to join our team. You would be responsible for your share of the legacy administration cases in the UK, ensuring that gifts left to IFAW in Wills are handled efficiently, sensitively, and in accordance with legal and organisational standards. You would report to the Global Legacy Administration Manager on a day-to-day basis. Your work will directly support IFAW’s mission by maximising income from legacies to fund our animal welfare and conservation efforts.

Role and Responsibilities

· Managing a caseload of legacy gifts: This includes pecuniary, residuary and life interest legacies, ensuring IFAW receives its full entitlement in a timely manner. This may include a small selection of contentious cases.

· Working closely with solicitors, executors, and beneficiaries: You’ll provide accurate and sensitive support throughout the probate process, building trust and ensuring a smooth experience for all parties involved.

· Maintaining meticulous records and reports: You’ll ensure accurate financial and contact records are kept, reports are generated on time, and compliance with all legal and regulatory requirements is met.

· Providing recommendations for action: You’ll provide your suggestions to move forward any legacy case where action needs to be sanctioned by management or Trustees, or where there may be a risk to the charity's reputation.

· Assisting with monthly/annual reconciliation and audit: This includes following our financial rules to make appropriate accruals, adjustments, and provide audit-ready case files.

· Liasing with other teams within IFAW: When appropriate, you’ll work collaboratively with other teams, such as Finance, Donor Relations or the Legal team, to ensure a seamless process for legacy gifts, and to promote the legacy team’s recognition and standing in the organisation through internal engagement.

· Staying up to date on relevant legislation and best practices: You’ll be a member of the ILM and regularly keep abreast of changes in the world on legacy case management, to ensure IFAW’s legacy administration remains efficient and compliant.

Qualifications and Education Requirements

· At least 1 year of experience in legacy administration or estate management: You’ll have a strong understanding of probate laws, Wills, trust, and estate administration. Experience of using FirstClass is desirable.

· Achieved or willing to work towards certification: You have or will work towards gaining the ILM’s Certificate in Charity Legacy Administration (CiCLA).

Overall Purpose

To work and lead on setting clear standards for high quality gathering, recording, monitoring and use of data collected via our grant’s programmes and initiative, accessing this data to inform donor grant reports, infographic data sharing, donor reports and network reporting in an accurate and transparent way. Responsibilities

To lead on the accurate recording, management, and accessibility of data gathered through the Foundations programmes and initiatives via our Salesforce CRM system and future platforms, including potential Social Value and Social Return on Investment models.

Support the grants team in recording and maintaining accurate data, ensuring records are complete, up-to-date, and compliant. Conduct routine system checks and regular data cleansing as required.

Support monitoring received from grantees, helping extract key data and learning, checked by Head of Impact.

Provide support to Head of Impact with Salesforce CRM training to internal teams to enhance data usage and impact measurement.

Collect, analyse, and present relevant data on a quarterly basis to support donor reporting.

Produce data driven reports aligned with the Donor Care Plan, ensuring accuracy in evaluation, impact measurement, and End of Grant reporting (quality checked by Head of Impact).

Develop and submit annual data reports for platforms such as 360 Giving, FREA (Funders for Race Equalities Alliance), IVAR and other partnership platforms aligned to BLCF work including UK Community Foundation Quality Assurance.

Provide insights and key learnings that demonstrate the effectiveness of grantmaking, inform strategic decisions, and highlight return on investment.
 

Relationship Management

Regularly connect and engage with wider Community Foundation network to ensure BLCF’s data systems remain fit for purpose and aligned with sector best practices.

Participate in cross-foundation learning initiatives to stay updated on trends in data-driven grantmaking and impact measurement.

Work with the Head of Business Development to provide insights from donor trends and grant impact data, supporting fundraising and partnership strategies.

Representing the Organisation

Maintain a strong understanding of community and charity sector issues to inform BLCF’s data strategy and grantmaking approach. Ensure relevant insights are shared across the team.

Develop and maintain an appropriate network of contacts within the grantmaking sector across BLCF’s geographic reach.

Serve as a BLCF ambassador, promoting the Foundations values and impact through data storytelling and sector engagement.

Be an ambassador for the work of the Foundation by demonstrating its values in the delivery of its work.
