About the role 
Central London based.  Whilst hybrid working (currently two days a week office based for FTE) is offered, the post holder will be required to be in the office more frequently at some points in the year to deal with seasonal administrative tasks.

The working hours for this role are 21 hours a week with flexibility to work the hours over 3 to 5 days as long as they include Monday and Tuesday. 

As our Services & Grants Administrator, you will provide administrative support to the Services and Grants team, allocating incoming enquiries, coordinating weekly grant payments and other administrative tasks as required.  You will administer a small regular grant programme and identify clients who would benefit from further in-depth support whilst ensuring excellent customer service. 

You will also manage enquiries in the email inbox as well as distribution of web-based enquiries to the Services and Grants team within one working day of receipt.

About the role:

We are looking for a Digital Marketing Officer to support our Marketing Lead in the delivery of all elements of marketing communications to meet the needs and objectives of internal clients in the Hospice. You’ll have experience in creating and updating engaging and effective website content using WordPress (or similar), managing website projects, and reporting on website performance using Google Analytics.

You will take responsibility for the delivery of engaging integrated marketing campaigns across the Hospice’s divisions, and generate awareness and income through innovative, focused and cost effective online and offline marketing campaigns. Training and Education Lead

We are looking for two Training and Education Leads to work for an exciting organisation, one permanent and one parental cover (6 months).

Position: Training and Education Lead (two positions)

About the role:

We have two events-based roles to support our training and development courses. These courses are delivered either face-to-face or hybrid and are often delivered by a team of the organisation’s members. We use tools such as WebEx, MS Teams and Slido to support the delivery. There is an agreed schedule for the rest of 2024 for our public (open) training plus some bespoke, in-house training to be agreed upon with clients. There will also be additional in-house training to be secured for the remainder of 2024 and the first part of 2025.

The role holders will work within our professional development team, headed up by the director of professional development. They will report directly to the director and work alongside other team members to deliver an effective apprenticeship programme.

Our working pattern is hybrid, with attendance in the office expected for three days per week, including every Wednesday. You may also be expected to attend events across the UK and overseas.

Key responsibilities include:

• Support the course working parties including the production of agendas and minutes
• Create booking pages via iMIS and make them live when approved.
• Manage bookings and respond to queries.
• Prepare and distribute course information, delegate packs, learning materials and handbooks as required.
• Organise and attend volunteer Working Party meetings as required.
• Negotiate contracts, attend site visits where needed and finalise contracts.

As Trusts and Foundations Officer you will be Baobab’s key fundraiser and a self-starter with experience of working in a small or medium sized charity. You will be responsible for carrying out a successful program of fundraising from small, medium and large charitable trusts and foundations to an agreed annual fundraising target. You will also assist in delivering Baobab’s individual major donor programme, helping to set up and deliver communications and events related to this income stream. You will work closely with our operations team to gain an overview of all aspects of Baobab’s work. Job Title:  Finance Officer

Principal Location:London, hybrid with a minimum of 3 and an expectation of 4 days in the office per week.

Our projects focus on a combination of education, child protection and livelihood support to address the social, economic and structural issues that underpin today’s education crisis. We partner with local organisations and communities to deliver our locally rooted programmes, using evidence to drive learning and the refinement and scale up of programmes to create maximum impact for the most children at the lowest cost. Part 1:  Role Purpose:

This role is a key member of the busy HQ finance function. Although the role is primarily focused on the HQ finances, the role operates within the context of Street Child as a global charity and so also has interaction with the global finance team. The role offers the chance to work across a number of finance functions, and some of the subsidiary charities. It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role.

Part 2:  Key Responsibilities:

1) (40%) Deliver all functions related to Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly.  Following up on how to code any income which is not allocated to a source.
• Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements. 
• Raising donor invoices and requests for payments, and issuing donor receipts.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

2) (20%) Lead the Accounts Payable process

• Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
• Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
• Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
• Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Managing at least two payment runs a week and additional runs as required; ensuring that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set.
• Once the payment is made, allocating the payment against the invoices in the Finance system.
• Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
• Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Fully deliver the set up all payroll payments in time for the monthly pay day.  This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
• Any other responsibilities relating to Accounts Payable.

3) (40%) Month end reporting and reconciliation and subsidiary accounts

• Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
• Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
• Carry out monthly revaluations of bank accounts.
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
• Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
• Compile information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.
• Audit: support with the year end audit and provision of supporting information to auditors.

You will:

-Provide direct advocacy support to children and young people with disabilities, in and on the edges of the care system. You will hold a caseload, and be committed to championing the rights of these young people, working with a broad range of other stakeholders and agencies to do so.

-Support with developing the quality of services and projects delivered by Coram Voice to children and young people. This includes under Coram Voice’s Disability Outreach Project. It is an exciting time to join this project, which has recently expanded to include educational advocacy in addition to social care focused advocacy.

-You will support in the promotion of good practice across both Coram Voice and external organisations, building equitable and inclusive practice across the sector for children and young people with disabilities.

Our advocates will have relevant experience with children and young people, and may hold a suitable Advocacy Qualification. Are you our new Event Support Officer?

Right now, we are searching for an Event Support Officer on a fixed-term, part time contract. As the Event Support Officer, you will play a vital role in coordinating and organising the Africa National Committee Regional Meeting in October 2024; an international event bringing together staff and volunteers from up to 50 countries, to represent UWC national committees, schools and colleges. The meeting is an important opportunity to build the UWC community, share learnings and best practices, celebrate our achievements and enable collaboration and understanding amongst stakeholder groups.

Working closely with a team of staff and volunteers on the Regional Meeting Planning Committee, the Event Support Officer will liaise directly with flight providers, caterers and hotels to support meeting delegates with their itineraries and preparation for the event. You will keep a database of attendees and providers from the outset tracking information, reporting as necessary and using your negotiation and communication skills as needed.

About the role

As a charitable organisation, our members are essential to sustaining the future of the Library and achieving our new five-year strategy.

We have an exciting opportunity for an experienced and self-motivated membership marketer with excellent communication and copywriting skills to help improve member engagement and retention and grow membership at the Library.

Reporting to the Head of Marketing and Communications, you will join a small and busy team in the Membership department. You will implement compelling member-facing marketing communications, activities and campaigns across digital and print platforms that engage member audiences and drive retention rates and growth in line with the retention plan and the Library’s strategic goals.

Supporting the Head of Marketing and Communications, you will work with an external producer and colleagues across the organisation to deliver The London Library Magazine three times a year. About you

Passionate about creating engaging copy for different audiences and channels, you will have a good level of experience with e-communications, e-software, data reporting and CRMs. You will have a background in membership marketing, ideally within an arts/cultural or charity organisation, and experience in implementing marketing retention campaigns to meet set targets. You will also have experience assisting with the delivery of events and be available to work at Library events as needed.
