We are looking for a full-time administrator to support the smooth running of the Education and Training Department. Duties include general office administration such as diary management, preparing and circulating reports ahead of meetings, taking minutes and supporting the department with various education and outreach activities. This post also provides administrative support to the Director of Education and Training. There will be a requirement to occasionally work in the evenings and at weekends.
What we need:
We need an experienced administrator with effective communications skills, a high standard of IT literacy and excellent attention to detail. You should have proven experience of minute taking and financial reconciliation. Previous experience of working in a membership organisation is desirable.

The Local Programmes Team develops and manages programmes that work in a particular place, to give people experiencing financial insecurity control over decisions that affect their finances. Westway Trust is seeking a highly experienced and professional Senior HR Manager to join our vibrant, friendly team of three on a 2-year fixed-term contract to deliver a strong, credible, and reliable service across all aspects of our HR function in support of the range of activities undertaken by the organisation. Key responsibilities of the role include but not limited to:
- Provide high quality support to the Head of Governance and HR on aspects of the Trust’s HR function and on the provision of accurate, timely and relevant updates and reports as required by the Executive Team.
- Ensure effective up-to-date HR policies and relevant other policies that meet the needs of the Trust and its staff are in place, reviewing them on an agreed schedule in line with the Trust’s Policy Matrix and updating as required. Identify any gaps in the suite of HR policies and develop new policies to fill that gap. Overall maintenance of the Policy Matrix.
- Lead on the Trust’s EDI policy, ensuring that the policy is implemented in a practical way throughout the organisation and in all our activities. Ensure the HR-related recommendations of the Tutu Foundation review into institutional racism at the Trust are progressed to a conclusion.
- Support the Head of Governance and HR in delivering the actions that support preparations for the next Investors in People (IiP) external assessment in late 2024. Ensure the Trust’s HR policies and practices remain consistent with the IiP standard.
- Work proactively with the HR Business Partner on the running of staff recruitment and selection processes, including sitting as the HR representative on the interview panel for more senior roles.
Essential Experience, Skills and Attributes
- Substantial experience of working in HR operations and of developing and reviewing appropriate HR policies and procedures in a charity or similar setting.
- Sound understanding of employment law and a willingness to keep up-to-date with relevant legislative changes.
- A passion for EDI and an ability to be creative and engaging in communications around this subject.
- Strong organisational skills and an understanding of the importance of discretion and confidentiality.
- Excellent written and oral communication skills, including evidence of ability to adapt to a variety of cultural settings.
- A team player, with excellent interpersonal skills and an ability to earn quickly the trust and confidence of staff and other stakeholders.
Desirable Experience, Skills and Attributes:
- A good knowledge/understanding of the local area and community or demonstrable willingness to learn quickly.
- Experience of change management.

Qualification:
- Hold a formally recognised professional HR qualification (CIPD or equivalent), or be studying towards this.

Job Purpose
This is a critical role, sitting at the heart of hyh, the purpose of which is to provide high quality administrative support to the CEO, coordinate and administer the leadership and governance of the organisation and oversee the smooth running of the office.
Administration and Support for the CEO
- Be a step ahead at all times in providing executive support to the CEO including: diary organisation, making appointments, responding to invitations, dealing with correspondence, and liaising with external partners and arranging travel.
- Conduct research, prepare papers and briefings, produce PowerPoint presentations.
- Project support for organisation wide projects.
Leadership and governance support
- Plan and coordinate the efficient running of leadership and governance meeting cycles, including scheduling meetings, booking venues, circulating documents, collating reports, minute taking, maintaining action logs, arranging refreshments etc. This includes the Board of Trustees and two sub-committees (Governance and Finance), Senior Leadership Team (SLT) and Leadership Team (LT).
- Provide high level admin support to other members of the SLT as required (Head of Services, Head of Fundraising & Communications, Finance Manager).
- Coordination and administration of internal staff meetings and communications, including monthly Team Briefings and bi-annual Organisation Days.
- Provide on-going support to Trustees, including responsibility for their induction and on-going training
- Maintain and update trustee records and registers, including Charity Commission and Companies House registrations.
- Manage our policies and procedures and oversee the annual cycle of policy reviews.
Office management
- Oversee the smooth and efficient running of the office, ensuring that it is a great working environment for staff where supplies never run out, the office is clean and tidy, and all staff have the furniture and equipment they need.
- Coordinate a small team of office/admin volunteers to provide excellent support to the wider hyh team.
- Build and maintain service and supplier contracts and relationships, including our landlord, telephones, broadband, lone working devices, phones, printers and cleaning.
- Be the main contact for our IT managed services provider and act as the internal contact point for any IT queries.
Organisational support
- Support the SLT with our day to day health and safety compliance including administering Health and Safety Committee meetings, carrying out workstation assessments and conducting regular H&S checks and annual PAT testing.
- Support the SLT with our data protection including administering GDPR Committee meetings, managing the relationship with our external Data Protection consultant and acting as the internal point of contact.
- Provide staff induction and on-boarding in relation to the office, IT and equipment.
Skills and experience:
- Significant experience as a senior Executive Assistant at CEO level.
- Significant levels of office management experience.
- Strong administrative background, ideally with experience working in the non-profit sector but not essential
- Experience managing and overseeing contracts, ensuring the service providers are excellent value for money.
- Experience acting as secretariat to boards of trustees or similar governance bodies.
- Experience managing people in paid or voluntary roles.
- Excellent communicator in formal and informal communications, both verbally and in writing, to all stakeholders

Working Well Trust is a mental health, learning disability and neurodiverse and employment focused charity in London. All of our projects share the aim of improving the lives of people with mental health support needs, or who have learning disabilities and/or who are neurodiverse through training and employment.
This new role of HR Manager will be working with our team to support their employment and wellbeing, as well as providing the key structure and systems to enable the Trust to deliver to our clients and funders. Crisis is the national charity for homeless people. We know that homelessness is not inevitable. We know that together we can end it.
Crisis Skylight Oxford is in the Old Fire Station in the centre of the city. It offers one to one coaching support from a team of coaches who can work with people around their housing needs and anything else that will support them to end their homelessness such as mental health and well-being, finances or finding employment. Alongside the coaching we offer practical, creative, and vocational workshops and accredited learning opportunities. The Old Fire Station building also accommodates a range of flexible arts spaces which are run by an independent arts company.
Salary: £29,505 per annum
Contract: 5-month fixed term contract – September 2024 to January 2025

About the role: We are seeking to recruit a Counselling Services Coordinator to provide administrative support to our Counselling Services Manager and assist in the smooth running of our counselling programme. You will deal with referrals and carry out clinical counselling assessments in person and online to ensure that BCWA is the correct counselling service for the client. You will liaise with our trainee counsellors and allocate clients to the counsellors based on suitability. You will manage our counselling waiting lists and ensure clients are kept informed. You will ensure confidentiality and data security is maintained in relation to service user’s details, case records and supervision notes. As the Proposal Writer and Grant Specialist, your role will be central in securing income from high value donors (worth £100K+ per annum), that fund some of our most critical work. This will involve developing and writing high quality proposals, concept notes and reports in line with our organisational priorities. As part of our internally-focussed Strategic Funding Team you will work closely with colleagues across our federation to ensure we are presenting the highest priority and most strategic work to our donors. This will involve setting up new projects, establishing log frames, monitoring and evaluation frameworks and grant management, reporting schedules, and keeping donor-facing account managers informed on progress.
In this role, you will have the opportunity to improve team practices, support the design and roll out of templates and training, and embed grant management systems. You will also be responsible for encouraging standardisation across teams in AAUK, managing requests and communications to colleagues in Federation Member countries, and ensuring donor communications systems and processes are up to date. Other responsibilities include sharing best practices, writing compelling human interest stories, managing a personal portfolio of restricted grants, and delivering capacity building workshops. Role Overview
You’ll be leading the Challenge Events team in the delivery of the charities third party event portfolio including the likes of the TCS London Marathon, London Landmarks Half Marathon and The Royal Parks Half Marathon. You’ll work across the wider Fundraising and Marcomms teams, and with external stakeholders and event organisers to lead a team to market and manage a diverse portfolio of third party sporting events across running, cycling, walking, trekking and other disciplines. You will work towards ambitious growth targets and provide an exceptional supporter experience to the 3,500+ supporters the team manage annually. This is a 1 year fixed term contract.

This is a newly created role with the purpose of maintaining a culture of compliance across the charity whilst ensuring we adhere to all relevant regulations and laws.
Together with the Governance Manager, you will be the key point of contact for compliance, providing advice and support to the team and ensuring we have procedures and controls in place across all areas of the charity. This will include training to ensure the team is skilled and acting consistently, as well as identifying opportunities for improvement and implementing appropriate solutions.
Key Responsibilities
- Promote a culture of compliance and be a point of contact for all compliance and data protection queries, providing accurate advice to ensure compliance with regulations.
- Develop and maintain robust procedures and structures that give the charity the ability to fulfil our regulatory requirements.
- Ensure the charity is aware of, and is reacting to, any fundraising, data protection and other compliance regulation changes, by understanding wider implications.

Role Purpose
