Fundraising and Membership Officer

Twins Trust are delighted to be recruiting a Fundraising and Membership Officer. This role is a great opportunity to support an ambitious team in delivering their regular giving programme, and supporter journeys for both donors and members.

This role will support the Head of Development and Insights and Data manager in ensuring that regular giving and membership administration runs smoothly from the perspective of both external and internal stakeholders.

Main duties and responsibilities

Supporter journeys: To provide excellent customer services to Twins Trust’s supporters; develop and implement efficient and effective supporter journeys using our CRM; and find ways to engage new and existing supporters.

Database and donation management: Be the first point of contact for donors/members; Acknowledge and process all donations including Direct Debits processed twice monthly, liaising with the Finance team to reconcile income.

Data management and systems: Ensure that records are accurate and kept up to date on our CRM database, Microsoft Dynamics; capture and analyse data to help inform decisions about donor stewardship.

General Administration: Respond to queries from our supporters; prepare fundraising materials; and, provide support to the wider fundraising team.

The Role 

JLGB are recruiting a Finance & Fundraising Coordinator who will play a vital role in helping the charity achieve its financial, fundraising and organisational objectives. Supporting the Director of Operations & Finance, the role is essential for the smooth running of the charity’s finances, collaborating with teams across JLGB, as well as volunteers and external suppliers. With some support from JLGB’s administration team, you will be undertaking all financial transactions including payment runs, bank and income reconciliations. Managing our donor database, ensuring that Gift Aid is collected regularly. The position will be suitable for someone who has experience in these areas and is flexible, reliable, highly numerate and interested in working to support young people to reach their potential. 

Responsibilities will include:

• Processing and reconciling various financial administrative tasks, including petty cash and incoming card payments (via stripe and other card processors) 

• Providing effective financial administrative support to all JLGB programmes and functions 

• Providing support to the Finance Director and assisting with management accounts 

• Preparing expenditure reports for the senior leadership team, finance sub-committee, Trustee Board, funders and stakeholders 

• Validating and processing weekly expenses 

• Ensuring that Gift Aid is collected on a regular basis 

• Managing our Donor Database 

• Supporting with Income generation and fundraising events. 

• Supporting the delivery of the year-end financial reporting 

• Ensuring that financial documents are filed 

• Supporting audit processes to demonstrate compliance

Person specification

• A relevant finance qualification eg AAT, ACCA, CIMA or currently working towards one 

• Experience using QuickBooks or similar accounting and reporting systems and advanced excel.

About:

This rewarding post oversees the exciting research portfolio of the Psoriasis Association.  You will join at an exciting time with involvement in the updating of the Research Strategy.  The Psoriasis Association is a busy charity who alongside promoting and funding research, offers authoritative, reliable, quality information, advice and support for people whose lives are affected by psoriasis, in addition to raising awareness of psoriasis. 

We are a small but high performing team that is trusted and respected in our research community and the wider dermatology community we work within. 

You will oversee all aspects of the research grant award and monitoring process, including managing our panels of lay and peer reviewers, and work alongside the communications department to promote and highlight the research supported and funded by the Psoriasis Association.

Principal Roles:

• Manage the processing of new grant applications, ensuring that the charity continues to attract high quality proposals and achieve high standards in their assessment.  The work required as part of this process includes guidance for applicants, collating all reviewer feedback, undertaking quantitative and qualitative analysis of scores and feedback to inform discussion at the meetings of the Medical and Research Committee.

• Manage the monitoring of ongoing grants.

• Oversee annual Researchfish impact data gathering for all relevant grants and report on findings.

• Work alongside the Communications Department to promote the research funded by the Psoriasis Association.

Key Duties

We are now looking for our next hire - an experienced Operations Manager - to help us support our ambitious plans.

ABOUT THE ROLE:

This newly created role will be responsible for defining, shaping and implementing key processes and systems related to programme management, and overall business operations including finance. These processes will enable us to streamline our business and support the needs of our companies programmes and funding requirements.

In addition, this role will be responsible for overseeing our facilities management and internal operations to ensure we are compliant and have H&S at the heart of everything we do.

What you will be responsible for:

• Be responsible for all aspects of the management, development and maintenance of SCA Port Hope building, site and its external premises. 

• Ensure statutory inspections and routine checks on health and safety and security are scheduled, undertaken, accurately recorded and, where appropriate, and reported in a timely fashion. This includes fire and security alarm systems and equipment, any others that are relevant. 

• Liaise with relevant authorities in the management of the site and buildings eg the Environment Agency, Birmingham City Council etc as required. 

• Manage the provision of services eg insurance and utilities, working with the Executive Director to undertake due diligence and secure competitive quotes. 

• Oversee the company’s compliance with all legislative and contractual requirements. 

• Commission and manage relationships with all contractors working within the buildings and external premises, including maintenance as required.

• Plan the delivery of all capital works to the building with the production manager (funding pending) 

• Act as a key-holder and be on call should issues occur out of hours. 

• Ensure procedures and processes are followed to protect the security of the buildings and site. 

• Work with the freelance staff to ensure they have the appropriate training on Health and Safety, First Aid, Manual handling etc. 

• Prepare required reports and recommendations for Team, Board and funders as required. 

• Manage operational contracts such as refuse collection, etc.

• Lead on the organisation’s Health and Safety Strategy, including provision of adequate first aid and fire safety. 

• Oversee and ensure implementation and communication of site and operational risk assessments.

• Ensure compliance with all legal obligations and licensing requirements including: Public Entertainment, Health and Safety, PAT testing etc. 

• Take a lead on SCA environmental responsibility, ensuring SCA seeks to reduce its carbon footprint and we operate as efficiently as possible, including waste disposal, disposal of used areosols, recycling schemes and reporting of such to funders. 

• Advance planning of production schedules in conjunction with the Studio Assistant to ensure that events can be set up in good time.

• Ability to support a variety of configurations of our multi-purpose space with some basic technical knowledge.  Specialist training will be provided.  This will include audio visual display equipment, basic sound systems, setting up multi party Zooms, seating and desk configuration.

ABOUT YOU:

• Experience of managing the maintenance and operation of buildings. 

• Knowledge of safety and workplace legislation and experience of managing and delivering a policy and activity eg risk assessment writing and review. 

• Experience of setting and managing budgets and financial projections to ensure best use of resources through prioritisation and planning. 

• Strong organisational skills, with the ability to prioritise workload. 

• Self-motivated, practical and flexible with a positive outlook and can-do attitude. 

• IT literate, with experience in using Microsoft Excel, Word and Outlook. 

• Interest and/or experience in technical delivery 

• Willingness to be part of an on-call rota, and to work flexible hours including some evenings, weekends and Bank Holidays.

Job Purpose

This is a critical role, sitting at the heart of hyh, the purpose of which is to provide high quality administrative support to the CEO, coordinate and administer the leadership and governance of the organisation and oversee the smooth running of the office.

Administration and Support for the CEO

• Be a step ahead at all times in providing executive support to the CEO including: diary organisation, making appointments, responding to invitations, dealing with correspondence, and liaising with external partners and arranging travel.
• Conduct research, prepare papers and briefings, produce PowerPoint presentations.
• Project support for organisation wide projects.

Leadership and governance support

• Plan and coordinate the efficient running of leadership and governance meeting cycles, including scheduling meetings, booking venues, circulating documents, collating reports, minute taking, maintaining action logs, arranging refreshments etc. This includes the Board of Trustees and two sub-committees (Governance and Finance), Senior Leadership Team (SLT) and Leadership Team (LT).
• Provide high level admin support to other members of the SLT as required (Head of Services, Head of Fundraising & Communications, Finance Manager).
• Coordination and administration of internal staff meetings and communications, including monthly Team Briefings and bi-annual Organisation Days.
• Provide on-going support to Trustees, including responsibility for their induction and on-going training
• Maintain and update trustee records and registers, including Charity Commission and Companies House registrations.
• Manage our policies and procedures and oversee the annual cycle of policy reviews.

Office management

• Oversee the smooth and efficient running of the office, ensuring that it is a great working environment for staff where supplies never run out, the office is clean and tidy, and all staff have the furniture and equipment they need.
• Coordinate a small team of office/admin volunteers to provide excellent support to the wider hyh team.
• Build and maintain service and supplier contracts and relationships, including our landlord, telephones, broadband, lone working devices, phones, printers and cleaning.
• Be the main contact for our IT managed services provider and act as the internal contact point for any  IT queries.

Organisational support

• Support the SLT with our day to day health and safety compliance including administering Health and Safety Committee meetings, carrying out workstation assessments and conducting regular H&S checks and annual PAT testing.
• Support the SLT with our data protection including administering GDPR Committee meetings, managing the relationship with our external Data Protection consultant and acting as the internal point of contact.
• Provide staff induction and on-boarding in relation to the office, IT and equipment.

Skills and experience: 

• Significant experience as a senior Executive Assistant at CEO level.
• Significant levels of office management experience.
• Strong administrative background, ideally with experience working in the non-profit sector but not essential
• Experience managing and overseeing contracts, ensuring the service providers are excellent value for money.
• Experience acting as secretariat to boards of trustees or similar governance bodies.
• Experience managing people in paid or voluntary roles.
• Excellent communicator in formal and informal communications, both verbally and in writing, to all stakeholders
• Excellent interpersonal skills with the ability to build rapport and communicate sensitively

About the Role:

We are seeking a dedicated Safeguarding Outreach Worker to join our multidisciplinary Family Safeguarding Team. This role involves working collaboratively with families to ensure the safety and well-being of children within their homes.

Key Responsibilities:

• Take a whole-family approach to child protection to keep children safely at home.
• Publicise support available to those at risk of domestic abuse.
• Work with the Family Safeguarding Team to develop services for perpetrators and victims of domestic abuse.
• Empower and support victims and survivors to make positive choices and address the impact of abuse.
• Contribute to family plans through team discussions, managing and evaluating risks.
• Keep accurate records and update relevant workbooks, ensuring confidentiality and data protection.
• Provide advocacy, information, emotional, and practical support to those affected by domestic abuse, focusing on keeping victims and their children safe.
• Offer one-to-one services including safety planning, risk assessments, and support for victims and survivors.
• Provide parenting and family support, working with service users to identify their needs.
• Support victims in creating realistic safety plans, prioritising children's safety.
• Assess risks and needs using an evidence-based risk identification checklist.
• Provide proactive service through individual safety planning.
• Ensure children receive one-to-one services, including safety planning and risk assessments.
• Provide 1:1 support to help children come to terms with their experiences of domestic abuse.
• Work with alleged perpetrators to engage them in behaviour change programs.
• Collaborate with local agencies, including probation and mental health services, to manage risks.
• Establish and evaluate a "Caring Dads" Group to teach positive parenting skills.

Partnership and Community Response:

• Provide feedback to other agencies on client difficulties accessing services.
• Work with local agencies to develop a community response to domestic abuse.
• Attend multi-agency forums as appropriate.

Safeguarding and Compliance:

• Ensure client welfare according to safeguarding policies and procedures.
• Stay up-to-date and compliant with all organizational policies, procedures, and professional codes of conduct.
• Understand the legal framework relating to the protection of children and ensure records are kept securely.
• Escalate ongoing safeguarding or risk management concerns to management.

As Business Administrator you will coordinate and complete the administration for all aspects of the employee lifecycle, specifically:

• 2+ years’ experience in previous HR or administration role.

• Experience of HRIS management software, iTrent or similar. 

• Knowledge of employment law, regulatory compliance and HR best practices.

• Excellent communication, interpersonal and problem-solving skills.

• Capable of task prioritisation, ability to manage multiple projects simultaneously and meet deadlines. 

• Aptitude for working with systems. 

• Comfortable with complexity and ambiguity. 

• Excellent customer service skills, ability to work with a range of stakeholders to achieve desired outcomes. 

• Strong written and verbal communication skills.

Your International Finance Manager Day to day will include:

• Overseeing the implementation and ongoing review of financial policies, practices, processes, and systems.
• Leading the production of budgets, quarterly management accounts, and consolidated year-end statutory accounts.

• Providing comprehensive financial support to staff and budget holders on budgeting and reporting.

Job Purpose:

To plan and deliver engagement and research for Healthwatch Wakefield’s core and project work. To understand the experiences and concerns of people using health and social care services in Wakefield and represent this feedback to service providers and commissioners. Main Duties and Responsibilities:

Engagement:

• Work closely with the Healthwatch Wakefield Engagement Officer to put together engagement plans for specific projects and core healthwatch work
• Conduct engagement in public spaces appropriate to project needs, such as community centres, health venues, and libraries.
• Manage a program of outreach sessions, identifying and arranging visits to organisations and community groups.
• Employ innovative engagement methods and involve volunteers in outreach activities.
• Follow up on information requests and signpost effectively, ensuring high-quality information standards.

Research:

• Work with the Healthwatch Wakefield Research and Engagement Project Officer to support the design of research collection methods, both quantitative and qualitative.
• Provide support and advice for other staff and volunteers conducting research.

Data and Intelligence Analysis:

• Support the Healthwatch Wakefield Research and Engagement Project Officer to analyse data to produce a range of high-quality research outputs, including reports and presentations for various audiences.
• Input engagement data into databases as required by the organisation
