The Association of Directors of Public Health (ADPH) is looking for a new permanent, full-time Project Administrator.

The successful candidate will across the ADPH team to support the development and delivery of successful work programmes and provide high quality administration for projects, events and programme business as usual across the whole team. 

Candidates must be comfortable working independently in an administrative role and have experience of successful remote working.

ADPH is a Charity and Company Limited by guarantee and is the representative body for Directors of Public Health (DPH) in the UK. 

It seeks to improve and protect the health of the population through collating and presenting the views of DsPH; advising on public health policy and legislation at a local, regional, national and international level; facilitating a support network for DsPH; and providing opportunities for DsPH to develop professional practice. 

The Association has a rich heritage, its origins dating back more than 160 years. It is a collaborative organisation working in partnership with others to maximise the voice for public health.

This is an exciting opportunity for an experienced fundraising professional to join International Alert’s Global Fundraising Team.

As part of the team, you will help us access the right funding to deliver impactful peacebuilding programmes around the world. You’ll work with our programme teams on strategy and planning, building donor relationships and creating compelling proposals. Alongside this, you’ll join a team helping to build the systems and tools to create a strong global platform for fundraising across the organisation.

We are looking for an excellent candidate with fluency in both French and English (written and spoken), with a proven ability to: secure grants from institutional funders for peacebuilding, development and/ or humanitarian programmes; proactively build donor relationships and identify funding opportunities; provide support to country and global teams to develop successful proposals; develop programme budgets with full cost recovery; build and manage global commercial tender and framework opportunities; and contribute to internal communications, fundraising systems and pipeline management.

In return, you will have the opportunity to support our teams in working with those affected by conflict around the world, designing and funding programmes that address the root causes of conflict and build the conditions for peaceful societies. Role duties and responsibilities:

Identifying funding opportunities

• Proactively seek information on potential donor opportunities, and help colleagues adapt their programming ideas to suit particular donor interests. Undertake targeted horizon scanning and networking to identify upcoming global funding opportunities.
• In coordination with Global Fundraising team colleagues, proactively build relationships with donor headquarters and potential INGO and other consortium partners.
• Keep up to date on new rules and ways of working in the grant and commercial contracting sector, and share important intel with colleagues.
• Collaborate with relevant colleagues to sharpen Alert’s offer, and ensure Alert has up-to-date capacity statements in all relevant areas.
• Support colleagues to ensure the CRM and the organisational pipeline are kept up to date with all new relevant information.

Support to country and global programme teams

• In line with resource allocation decisions led by the Head of Fundraising, provide support to country hubs and global programmes teams to design and secure high quality peacebuilding programmes, including mapping, research, identifying and engaging directly with donors, writing proposals and designing appropriate budgets, and supporting country hubs to undertake all of these tasks.
• Provide donor-specific guidance to support strategic go/no go decision making, effective targeting and tailoring of bids and ensure donor compliance.
• Support country hubs and global programme teams to ensure submission of full cost recovery budgets, including advising on adequate personnel resourcing of activities, and country and global shared cost recovery.
• Provide training and learning opportunities for colleagues on specific aspects of fundraising, including specific donor requirements for grants, commercial contracts and full cost recovery budget design.

Bid, framework and consortium coordination

• Coordinate the bid development process for global grant funding or global commercial tender opportunities including programme delivery contracts, framework bids and consultancies.
• Provide written inputs to proposals and tender documents and gather relevant information including CVs and documents to demonstrate compliance.
• Work closely with finance colleagues to ensure quality financial/commercial proposals in line with donor, organisational and legal requirements.
• Where required, act as coordinator for any framework agreements, ensuring all key stakeholders have timely access to information and facilitating quality tender submissions, and any other framework requirements, including monitoring, reporting, donor and consortium liaison, contracting, developing capacity statements.
• Monitor and share draw down opportunities, facilitating go/no-go processes and ensuring compliance with agreed timeframes.

Organisational contributions

• Contribute to internal communications and knowledge management, ensuring these are adopted by country hubs, and participate in organisation-wide events and discussions.
• Occasionally supervise volunteers and procure and monitor the work of consultants as required.
• Undertake any other tasks commensurate with the role, as required by the Head of Fundraising.

Surviving Economic Abuse (SEA) is the only UK charity dedicated to raising awareness of economic abuse and transforming responses to it. Our vision is a world in which all women and girls are economically equal and live their lives free of abuse and exploitation.

Economic abuse is a form of coercive and controlling behaviour: 95% of women who experience domestic abuse will experience economic abuse. It limits their choices and ability to access safety. 

We work in partnership to ensure women have access to and control over their own economic resources. We focus on four strategic priorities: public education and awareness-raising; transforming professional responses; ensuring systems do not inadvertently facilitate economic abuse; and influencing policy.

Our work is led by victim-survivors of economic abuse (Experts by Experience). Their lived experience and knowledge shapes everything we do. We are always learning, and we share our expertise via a national working group and an international network of practitioners, researchers and policymakers.

Founded in 2017, we are purposeful and agile in approach. We led the successful call to recognise and define economic abuse within the UK Parliament’s Domestic Abuse Bill. This has created a framework and momentum for change. Our aim now is to ensure that policy and practice recognises economic abuse so that victim-survivors are supported to achieve economic justice and abusers are held accountable for their behaviour.

About the Compass Project

The Compass Project Coordinator will work as part of an exciting new partnership between Surviving Economic Abuse (SEA), Living Without Abuse (LWA) and RISE (Refuge, Information, Support & Education). The Compass Project seeks to develop best practice responses to economic abuse within the coordinated community response by working with local professionals to help them understand and respond to economic abuse.

About the Compass Project Coordinator role

The Compass Project Coordinator will work to:

• Act as a point of contact for stakeholders across the Project areas (Brighton & Hove, Leicester, Rutland and Leicestershire), coordinating stakeholder engagement and access to training and resources. 
• Work closely with the Interim Women’s Sector Manager to coordinate and implement the Compass Project in pilot sites.

The Compass Project Coordinator will:

1. Collaborate with Compass Project Partners to:

• Support the coordination of training and dissemination of resources to professionals across the two pilot sites.
• Identify and engage with local lived experience groups and women with experience of economic abuse, ensuring inclusion of women from minoritised groups, to inform and guide our work.
• Develop and maintain key working relationships and partnerships with various stakeholders and partners across the two local sites including the facilitation of links with money and debt advice services, and local financial services.
• Support the collection of qualitative and quantitative data from the network for the purpose of project and external evaluation.

2. Facilitating access to economic abuse training and resources:

• Develop and deliver tailored training sessions on economic abuse to enable frontline workers to recognise and respond to economic abuse.
• Work with Compass Project Partners to integrate relevant economic abuse content into existing resources.
•  Implement data collection processes to support the evaluation of the project.
• Ensure effective communication with the project group and coordination of activities across the two pilot sites. Promote and facilitate SEA’s established routes to support for survivors and professionals.
• Attend local VAWG/DA Network meetings in a consultative capacity as an expert for economic abuse.
• Work with the communications teams across project partners to effectively promote the project.
• Facilitate referrals for women to the Domestic and Financial Abuse Team at Lloyds Banking Group and other banks/building societies we have direct links into.

3. General Duties and Responsibilities

• As part of the Specialist Team at SEA, manage the info@ email account on a designated day.
•  Represent SEA in training and presentation requests.
• Contribute to evaluation reports and presentations as required for the Compass Project.
• To contribute to the promotion of SEA and its work and uphold its behaviours and values.

Person specification

We are looking for a domestic abuse and/or frontline community professional with an interest in developing expertise around economic abuse. In order to apply, you should have the following skills and experience:

Essential knowledge/skills/experience

• Knowledge and experience of supporting and working with victim-survivors of domestic abuse. Frontline experience of working with victim-survivors would be an advantage.
• An understanding of the coordinated community response to domestic abuse and commitment to all aspects of partnership working to improve the response.
•  A strong and demonstrable interest in economic abuse.
• Experience of developing and delivering training face to face and online.
• Strong communication and engagement skills.
• Experience of safeguarding and managing risk.

Key duties and responsibilities

The post holder will:

3. With a range of tools, help build a strong and up to date pipeline of appropriate funders for the wider team by identifying and qualifying new prospects.

4. Manage the thanking process for unsolicited gifts and donations, ensuring personalised, timely and sensitive communication with funders.

5. Work closely with Income and Operations, Finance and CRM and Data teams to ensure all donations are processed in a timely and accurate way, have correct income codes, resolve income queries, transfers and discrepancies and ensure that the team receives timely reports in the appropriate format.

6. Input into annual and quarterly phasing of income: setting ambitious financial ask targets for donors and prospects in your caseload, carefully monitoring and reporting on progress of income, assessing risk to the budget to inform current and future financial years, and working to mitigate any loss of income.

7. Where required, help with ad-hoc prospect research and due diligence requests, completing and refreshing research profiles, using external resources and databases.

8. Provide support on stewardship event activities including coordination of guest lists, writing guest profiles, recording invites and activity on the database.

9. Support and coordinate team communications, including writing and reviewing copy for impact reports, newsletters, thank you letters and annual review mailings.

10. Ensure Mind's database has accurate and up to date records which adhere to Data Protection requirements and produce reports as required to help senior officers and managers analyse pipeline movement and income projection.

11. Undertake the accurate recording and maintenance of donor records on the database (Microsoft Dynamics), and other systems, adhering to business rules and protocols, Data Protection and Fundraising Regulations.

12. Stay informed of Philanthropy trends across the sector, actively participating in fundraising networking groups and bringing ideas to inform Mind's philanthropy activity.

13. Develop and maintain relationships with key internal contacts across departments such as External Relations, Mind Cymru and local Minds as appropriate.

We're hiring a specialist women’s refuge, Service Manager. Someone who really cares about the rights of women and their children to join our new service in West London. JOB DESCRIPTION  

INCOME GENERATION 

• Support the Director of Fundraising, Marketing & Communications on the implementation of the fundraising strategy, in line with changing landscape with a core focus on corporate partnerships, trusts and foundations, company giving and general appeals; 

• Collaborate on ideas for creative sponsorship and funding opportunities in line with our strategic ambitions and develop and submit high quality and compelling funding proposals and tender documents to unlock funding;  

• Work with key stakeholders, including our Policy and Programme delivery teams to scope and develop exciting new project proposals; 

• Develop and grow the pipeline, identifying opportunities for funding from a range of sources, primarily corporate partners but also engaging, trusts & foundations and statutory sources. 

• Maintain an effective database of contacts and stakeholders. 

  PARTNERSHIPS MANAGEMENT 

• Support the management of existing donor relationships through working closely with the Director of Programmes & Partnerships and Programme Management Teams across the organisation; 

• Ensure all funding and sponsorship terms and conditions are acknowledged, recorded and completed in a timely fashion; 

• Accurately maintain and update records and databases, ensuring compliance with internal policies and procedures as well as any legal requirements; 

• Work with the Programmes Team to contribute to high-quality donor stewardship for existing and new partners, through timely communication, gift acknowledgement, and tailored stewardship plans. 

STRATEGIC SUPPORT

• Maintain knowledge and understanding of the UK fundraising scene in order to input into the development and evolution of the organisation's fundraising strategy. 

• Work collaboratively with the Fundraising & Partnerships Manager (Trusts & Foundations) to cover work, and ensure mutual learning and professional development 

• Provide relevant and timely information to the Director of Fundraising, Marketing & Communications for the purposes of reporting to the board.

INTRODUCTION

St George’s Hospital Charity oversees over 220 Special Purpose Funds (SPFs) with a total value of over £4.5m. These funds hold donor-gifted and community-fundraised income, each with a specific purpose to support a particular ward, department, area of research or group of staff or patients. Every SPF has designated Fund Advisers, who are St George’s University Hospitals NHS Foundation Trust (the Trust) and/or St George’s University staff members with delegated authority to review and authorise expenditure approvals and applications for funding. There are over 500 Fund Advisers who need effective stewardship as significant stakeholders. 

ROLE PURPOSE

To manage the finance function of the charity and provide excellent finance support for the Senior Executive which will include:

• Maintaining a robust financial control framework and providing high quality timely financial management information to ensure effective decision making.
• Preparing annual financial statements and supporting an efficient external audit process.
• Supporting the annual budget setting and quarterly forecasting processes
• Leading on continuous finance process improvement and finance training for SGHC staff. MAIN

DUTIES & RESPONSIBILITIES

1. Staff management

1.1. Carry out all line management duties in line with organisational policy and procedure, including:

• Diversity and inclusion - encouraging an inclusive environment.
• Recruiting and inducting good quality staff
• Proactively addressing performance, conduct or other employee relations issues.
• Support and coach your direct report to ensure objectives and development goals are achieved.

2. Management of Income and Payments Processing Operations

2.1. Responsible for ensuring that all fundraising and investment income is accurately recorded in the finance system.

2.2. Ensure the reconciliation of all income data from the bank against Raiser’s Edge (CRM system) to ensure data is accurate and complete and then recorded in the finance system once reconciled.

2.3. Manage an efficient and effective Accounts Payable function, ensuring that the work performed by the Senior Finance Assistant is at the required standard.

2.4. Lead on all communications with internal stakeholders, including Trust finance and Special Purpose Fund Advisers, to resolve any issues arising and produce monitoring reports on a regular basis.

3. Transactional accounting and fund management

3.1. Ensure systems are in place to identify and correctly record restricted donations, so that these are properly monitored and utilised.

4. Financial Control Framework

4.1. In consultation with the Director of Finance & Operations, ensure that appropriate controls, processes and procedures are in place, regularly reviewed and assessed for operational effectiveness.

4.2. Review and update Finance Procedures and effectively communicate these to staff, arranging training where necessary, within the Finance Department and across the Charity.

4.3. Ensure effective maintenance of the balance sheet, including regular key control account reconciliations (bank and other).

4.4. Monitoring of balances with the Trust, ensuring these are promptly settled, with discrepancies investigated and resolved.

5. Management Reporting

5.1. Delivery of timely and accurate monthly management accounts for the Charity, including enhancing the production process and communication of timetables.

5.2. Co-ordinate the production of narrative reports to support review by the Director of Finance & Operations.

6. Financial reporting and audit

6.1. Lead the Finance team in the production of financial statements which are fully compliant with the Charity SORP to meet required audit and Board approval deadlines.

6.2. Lead the relationship with external auditors and all arrangements surrounding the annual audit fieldwork.

7. Budgeting and Forecasting

7.1. Assist the Director of Finance & Operations in the production of annual budgets, working closely with budget holders within the Charity to ensure completed in accordance with agreed timescales.

7.2. Lead on the quarterly re-forecast process, producing relevant analyses to understand and monitor key changes.

8. Banking and Investments

8.1. Work alongside the Director of Finance & Operations to maintain a strong relationship with the Charity’s banking and investment managers and take the lead on the day to day administration of the banking arrangements.

8.2. Ensure that bank mandates are up to date.

9. Systems and Data

9.1. Finance system

• Liaise with Application’s Supplier and Trust Systems support team in the maintenance and development of the finance system, ensuring essential maintenance are carried out as necessary to prevent cyber fraud and maintain data integrity.
• Provide support to the Finance team for the accounting functionality within the finance accounting application and its integrated systems.

9.2. System maintenance and training

• Support the Director of Finance and Operations with managing user access, permissions and privileges on the finance system, ensuring that any changes to staff are reflected immediately.
• Ensure all new staff are trained on the Finance System and that current staff receive updates as necessary. Any other duties commensurate with the post as requested by the Director of Finance & Operations
