Job Description: Fellowship Programme Assistant – Active Fellows
Line Manager: Team Leader (Active Fellows)
Objective: The programme assistant provides individualised support to Fellows and facilitates placements/extensions.
Experience: Bachelors’ degree or comparable experience
Duration: For an initial period of 12 months, subject to review.
Hours: Full-time. Eight hours each day Monday – Friday, with flexible working by arrangement around core hours of 10am – 4pm.
Location: Hybrid working - in London office in Elephant and Castle SE1 (2/3 set days per week) and working from home on the remaining days.
Start: 27 January or shortly thereafter.
Salary: £30,910.

Organisational Background
The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.
Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.
Cara Objectives ‘To assist academics who have been, or are, or are at risk of being, subject to discrimination, persecution, suffering or violence on account of race, religion, nationality, membership of a particular social group, or political opinion, to relieve needs among them and their dependants and ensure that their specialist knowledge and abilities can continue to be used for the benefit of the public.’

This is a critical time to join our dedicated and friendly Fellowship Programme team as we expand our capacity to support at-risk academics from the Middle East, Myanmar, Afghanistan, Ukraine and Russia and many other countries.
Fellowship Programme Assistant Role & Responsibilities
Casework
- Provide support for a caseload of at-risk academics (Cara Fellows) carrying out research placements at UK or international universities
- Assess Fellows’ suitability for academic placements/extensions
- Assess, arrange or signpost additional support for Fellows
- Develop relationships with universities and other partner organisations
- Secure fee waivers, bursaries & in-kind support from universities, research institutes and other funding bodies.
- Provide logistical support for visa processes, travel, etc.
- Write and send official documents to Fellows
- Request relevant invoices and produce documentation needed to make payments
- Attend weekly case meetings with the team
Administration
- Provide support to the drafting of reports to funders
- Present and collect data
- Ensure Fellows have submitted their quarterly reports
- Ensure safekeeping of confidential information
- Maintain excellent detailed records of correspondence, documents, and activities
Managerial Support
- Contributing to Fellowship Programme policy changes and decision-making
- Provide advice and guidance to colleagues
Responsibilities also include related activities that might arise in relation to the Fellowship Programme
as required by the Executive Director or Deputy Director/Fellowship Programme Manager.

Purpose of the post:
This exciting role links our 300+ organisations that receive food from us, known as our Community Food Members (CFMs) and our thriving operation. As Membership Co-ordinator, you’ll work across the charity with the Membership and Warehouse Teams, and our large and diverse team of volunteers to support our Community Food Members that receive surplus food from FareShare South West (FSSW) delivering a smooth service to CFM’s, and efficient operations within FSSW each week.
Working closely with the membership account managers across the region, you’ll act as a champion for our members, ensuring the service is delivered to a high standard and, communicating with the rest of the team, ensure a high level of satisfaction and retention through customer service. You will support and improve the effective integration of Membership and Operations, to ensure that our operation continues to run smoothly. You’ll be based mainly at the Central Bristol Office with occasional travel to the Plymouth Warehouse and visiting our community members across the South West.
Key Responsibilities
Member Support
· Lead on liaising directly with members on onboarding, offboarding, queries, complaints, seasonal schedules and general account administration.
· Lead on resolving daily queries and issues from our existing members (e.g. food issues, product recalls, etc.)
· Use the Charity’s Customer Relationship Management (CRM) system to manage engagement with members.
· Food Allocation Writing – supporting/working with/covering the Membership Account Managers/ CFM Support Officer, writing allocations for Members/Routes.
· Coordinate changes and updates to the Delivery Schedules according to seasonal demand and feedback from members – including member food profiles, contact details, addresses, delivery instructions.
· Supporting the Membership Managers in the execution of special membership events, targeted campaigns and projects (i.e. Holiday Activity Fund (HAF)).
Membership and Internal Stakeholder Integration
· Liaise between the Membership Team and other internal stakeholders, to keep up to date with membership developments, including any requests for a change to service.
· Support core functions with key developments to membership service e.g. Bulk Pallet deliveries, development of ‘Surplus Surplus’ initiatives, events, frozen food.
· Coordinating with members and Head of Compliance to ensure high levels of compliance within the membership function.
· Work with the Warehouse Team on developing and implementing operational improvements to increase efficiency and the quality of service provision.
· Engage with the Fundraising and Communications Teams to provide key data on membership.
Compliance and Health & Safety
· Operate according to the FareShare Food Safety Manual.
· Undertake relevant training in Food Hygiene and Health & Safety as required.
· Maintain up to date health and safety documentation for all CFM’s.
· Conduct in person visits of members to carry out kitchen and compliance checks.
General
· Be willing to receive and engage positively with any visitors to the warehouse.

· Uphold high quality customer care and standards of conduct when dealing with all stakeholders and the general public.
· Ensure the security of the FSSW Regional Centre and all assets located within it, including food, and maintained at all times.

Age UK's Telephone Friendship Service is recruiting for 3 Friendship Coordinator's to join our growing team!
Loneliness is a major issue that is now widely recognised in society today, particularly amongst older people. By scheduling weekly calls from our trained volunteers, Age UK's National Telephone Friendship Service provides older people with a chance to make a new friend from the comfort of their home.
As a Friendship Coordinator, you will play a vital role in coordinating and supporting the thousands of matches between our members and volunteers across the UK. Whether you are answering emails and calls, ensuring safeguarding measures are upheld or supporting members and volunteers through the onboarding processes, you will be helping to ensure this much needed service reaches those who need it most, in a safe and efficient manner.
Utilising your excellent customer service skills, you will be the first port of call to support our volunteers and older members - so you'll need to be comfortable spending a lot of time on the phone and communicating by email. You'll also need to be passionate about supporting older people and have a good understanding of older people's needs.
This role can either be based at our office in Blackpool, or in Ashburton Devon. We offer a hybrid model of home and office based-working, so you will need to be within a reasonable distance of either the Blackpool or Devon office and be willing to travel there regularly.
You will work a 35-hour working week, 5 days out of 7 with start and end times between 8am and 6pm. It will include weekend and bank holiday shifts, which will be arranged on a rota basis.

This is a full-time, permanent position, requiring five days per week in their London office.
Reporting to the General Manager, the Executive and Governance Coordinator will manage the CEOs' complex diaries, balancing competing priorities to maximise the efficiency of their time. Acting as the first point of contact for the Executive Office, the postholder will play a key role in maintaining strong relationships internally and externally. Additionally, the Coordinator will oversee governance administration, ensuring that board and subcommittee meetings are effectively scheduled, and producing concise, timely minutes.
To succeed in this role, you will have substantial experience in executive-level support and governance administration. You will excel in building and maintaining relationships with senior internal and external stakeholders. Outstanding written and verbal communication skills are essential, including the ability to draft high-level stakeholder communications on behalf of an executive team. You will also bring a proactive and flexible approach, thriving in a fast-paced environment. While a background in the arts or charity sector would be advantageous, it is not essential.

The Governance Officer & Executive Support role will provide a high level of support to our Board of Trustees and Senior Leadership team for governance services related to finance, estates and facilities across the charity. This includes planning, managing and attending meetings of SLT and Board of Trustees to record actions, risks etc when required. You will provide personalised support for, and advice to SLT and non-executives, enabling them to fulfil their roles with MAW effectively, as well as be responsible for manging the fulfilment of statutory requirements under Data Protection legislation.
This role will also be responsible for the regular and structured review of delegations and other documentation supporting the governance, risk and assurance framework along with the communication to colleagues, completing regulatory returns and other governance processes by proactively maintaining all governance records and registers.
Key Responsibilities
- Provide a cohesive secretariat function to support the smooth and efficient operation of all Board, Governance Committee and advisory group meetings.
- Be the central point for governance across Make-A-Wish ensuring that frameworks exist, are centrally stored and updated in line with agreed review points.
- Provide professional and confidential PA support and diary management to the Chief Executive and other Directors as required, managing logistics (diaries, travel, events, expenses, cross functional meetings, and communications with external parties), organising appointments and meetings to ensure effective time management.
- Deliver a high quality, responsive and proactive contact service to stakeholders, building and maintaining effective relationships across the Charity.
- Support the Director of Finance in their role as company secretary and /or the CEO with both business as usual and project work which may include internal or external governance reviews.
Essential Criteria
- Education - Maths & English GCSE (Grades A to C / 9-4 or Scottish Standard Grades) or equivalent.
- 2+ years’ experience in a similar role.
- Excellent organisational skills with the ability to organise resources, and plan and progress work activities.
- Experience in governance support.
- Ability to produce accurate and concise minutes.
- Able to operate at Board, leadership and team level.
- Extensive experience of diary management and organising meetings using electronic diary management systems.
- Ability to prioritise own workload and that of others and to handle conflicting demands.
Desirable Criteria
- Qualifications – Certificate in Charity Governance. Secretarial qualifications.
- Experience of providing personal assistant services or similar.
- Experience working with a board of trustees.
- Strong written skills able to produce outward facing documentation to a high standard.
