THE ROLE

• This is a key role in the Northern Ireland Operations team to assist in developing and delivering practical conservation and projects within Mourne Park, assist in data collection for people and engagement monitoring, be the public face for the Woodland Trust at our flagship site in Northern Ireland.
• Assist in the delivery of community engagement, a volunteer programme including training and practical tasks, public events programme and education projects, site management to budgets and timescales.
• Carry out data collection, surveys, research, appraisals and information gathering, producing monitoring reports.
• The Assistant Estate Ranger will be responsible for building collaborative and impactful relationships with internal teams and external stakeholders, contractors, neighbours and interested parties, alongside managing groups of dedicated and passionate volunteers.
• Raise the profile of Mourne Park and engage with visitors to enhance their experience of ancient woodlands and natural green spaces.
• To support the volunteer programme at Mourne Park that will engage communities in practical biodiversity and environmental projects and programmes of work.

THE CANDIDATE

• You’ll need experience working in the land management sector, preferable in forestry or woodland conservation, engaging with a wide range of stakeholders including landowners, statutory and public bodies and local communities.
• You’ll have experience leading delivery of practical conservation projects.
• Supervising volunteers and volunteer groups, being responsible for Health and Safety in a practical working environment.
• Assisting in  project delivery, managing and prioritising deadlines.
• Knowledge of wildlife legislation.
• You must have a proactive ‘can-do’ attitude, excellent communication skills, be commercially aware and able to build effective partnerships internally and externally. 
• The role is based in Mourne Park in Northern Ireland and will require the successful candidate to undertake travel across a wide area. A full driving licence is required.

Role Requirements

Site wide general housekeeping service – ensure that the housekeeping services is of an acceptable level and is consistent across site.

• Carry out a cleaning service in allocated buildings/rooms/areas ensuring that daily tasks are completed according to the standard operating procedures in relation to the cleanliness/hygiene standards.
• Follow infection control procedures whenever carrying out duties and ensure procedures are followed should there be an infection control outbreak.
• Liaise with the Housekeeping Supervisor and House Staff on a daily basis – carrying out special requests in relation to Housekeeping.
• Ensure safe storage of cleaning materials and equipment and sufficient stock is maintained – informing the Housekeeping Supervisor of stock requiring ordering.
• Assist in the cleaning of communal areas on a daily basis and cleaning of carpets, curtains and high dusting on a rotating schedule.
• Ensure that any repairs required to fixtures and fittings are reported to the designated Facilities Helpdesk as soon as possible and any issues are reported to the Housekeeping Supervisor.
• Assist in routine housekeeping audits as outlined in the planned preventative maintenance (PPM) schedules and ensure any works are to agreed service levels.
• Prioritise work to complete assignments in a timely manner.
• Assist other members of the Site Services and Facilities teams as required.
• Undertake other or additional duties that are within your skills and abilities, as the organisation may reasonably require from time to time.

You will assist with incoming calls and enquiries from our clients and volunteers whilst supporting our team members with recurring daily tasks and stand-alone projects with minimal direction and supervision. 

The successful candidate will be a key player in facilitating our mission by providing exceptional administrative support and contributing to the overall effectiveness of the organisation. Role overview

This key role manages our flagship and award-winning project supporting refugees with IT Hardware. The project collects IT Hardware, refurbishes and repairs it through our network of technicians, matches it with a suitable recipient through our referral process and then distributes it to charities and individual refugees and asylum seekers at no cost to the recipient. The project is in its third year, in which it will grow to overseeing e-waste collection and tech re-sale.

This role has two central arms: project management and volunteer management. 

Overall management of the project includes key decision-making on tech refurbishment and distribution, building and maintaining key partnerships, impact reporting, staff management, external representation, developing and recording institutional memory and supporting the project's strategic growth with support from the Director. The postholder will be responsible for working with their team to maintain the smooth running of the project and deliver the project outcomes. They will deputise for the Director where necessary.

Volunteer management predominantly looks like the recruitment, coordination, training and retention of technical volunteers, many of whom are asylum seeking graduates of our tech training course. The post holder will be the go-to person for the volunteers and provide technical and management support with the help of our Technical Lead. 

We know good project managers have a variety of skills and experience. We are not running a personal specification, but the strongest applications will indicate staff management experience and basic knowledge of IT repair.

Outcome 1 - Manage the Digital Access project and the team working to deliver its outcomes 

• Oversee the logistics and operations involved in collecting, storing and redistributing large quantities of IT Hardware, including the distribution of Data SIM cards to recipients with support from your team.

• Work with the Engagement Manager to identify and communicate with businesses, individuals and other sources of IT Hardware to explain our process and the impact of the project.

• Oversee the smooth running of and improvements to the referral process through which charity partners and individual refugees apply for and receive devices.

• Ensure the project goals are delivered on time and within budget.

• Provide thoughtful and kind management of the Operations Coordinator and Operations Assistant, meeting regularly and supporting their development.

• Record the institutional memory of the project through a digital guide to the processes and learnings which constitute the Digital Access programme. 

• Ensure everyone at Screen Share who engages with the project does so in line with our safeguarding and privacy policies.

Outcome 2 - Monitor, evaluate and communicate the impact of our device provision 

• Collate and present service user and device data (e.g use-case, age, geography) on a monthly and quarterly basis which represents our impact on the ground for internal and external audiences.

• Lead on the measurement of our impact through collection of case studies and distribution of our feedback form.

• Critically analyse and improve our impact measurement process to ensure it is ethical and fit for purpose.

• Work directly with service users, the Director and Communications team to produce compelling stories of the impact of Screen Share’s provision, with particular focus on our annual impact report.

Outcome 3 - Coordinate tech volunteers, external repair partners and technical staff (tech agents) to secure a regular flow of repair and refurbishment

• Oversee the process by which tech agents request and receive parts for the refurbishment process (hardware, software and tools).

• Work with our Technical Lead to ensure tech agents are provisioning devices consistently across our suite.

• Ensure the smooth implementation of changes to our technical provision.

• Critically analyse and improve the way in which the repair and refurbishment process is technically facilitated and recorded.

• Design and Deliver a tech volunteer retention strategy.

• Ensure our repair and refurbishment costs do not exceed our budget.

• Conduct in-person reviews with tech agents to monitor their progress and provide quality assurance. 

• Explain our process to prospective repair partners and onboard them onto our system.

Outcome 4 - Recruit, train and support new technical volunteers

• Design and implement a nationwide technical volunteer recruitment and retention strategy which establishes a regular flow of technical volunteers into Screen Share, including and especially volunteers from an asylum seeking background and those who have graduated from our training course.

• Facilitate tech volunteer onboarding including external references, interviews and safeguarding.

• Coordinate and lead monthly volunteer tech team meetings. 

• Explore partnerships with local tech businesses or refugees for paid refurbishment.

• Run basic laptop refurbishment refresher training for new volunteers in need of support.

Outcome 5  - Ensure Screen Share tech agent records are kept up to date

• Ensure the tech agent base is kept up to date at all times with all necessary details to facilitate refurbishment 

• Ensure contact logs are maintained for each tech agent in accordance with GDPR legislation and that holidays/preferences/issues are recorded

• Ensure the right staff can access notes on 1:1’s with tech volunteers 

• Analyse tech agent data thematically, implementing adjustments on a regular basis 

Outcome 6 - Contribute to the strategic development of the project and ensure the Director receives appropriate support 

• Represent the project to prospective partners, local councils and at public events, increasing its visibility within the refugee and tech sector.

• Design and implement experiments to test assumptions, minimise risk and scale the project.

• Deputise for the Founder and Director in internal and external settings where necessary.

RESPONSIBILITIES

People (HR)

• Manage and maintain HR policies, procedures and practices including the employee handbook, ensuring they are up to date, recorded, filed and adhered to (i.e. personnel contracts, DBS, volunteers, holidays, sick leave)
• Develop and implement new systems, policies and processes that support anti-oppression, care and inclusion. 
• Ensure that Wen is compliant, abiding by relevant legislation (including GDPR) and arrange training for staff as needed
• Oversee recruitment, onboarding, staff development and all other people processes
• Ensure appropriate support and supervision is in place for all staff, including overseeing training for all staff
• Promote improvements in internal communication, ensuring staff, volunteers and interns are informed of organisational developments and have opportunities to give feedback that will help shape our ways of working for the better.
• Oversee the co-ordination of all-staff events, meetings, socials and team building.
• Monitor and evaluate staff wellbeing, taking steps to address as needed.
• Ensure appropriate and compliant documentation and record maintenance for all HR processes across the organisation including absence management.
• Designated Safeguarding Lead for the organisation.

Places (Office management and IT)

• Ensure smooth running of Wen’s main office to ensure it provides a welcoming, efficient and safe space to work in, ensuring health and safety procedures are implemented and maintained with help from the Operations Assistant.
• Utilise the Core Operations budget with help from the Operations Assistant to ensure Wen is maintaining photocopier, stationary supplies, liaising with our landlord about rent, maintaining phones, health and safety, fire procedures, utilities, rates and insurance.
• Oversee the IT Coordinator to ensure licenses are up to date, IT issues are solved promptly and IT developments and changes across our two sites and hybrid team are tracked

Finance

• Work with Finance Manager and Head of Organisational Development to establish strong financial processes and policies and ensure staff are aware of the relevant ones
• Liaising with our Finance Manager on day-to-day accounting as and when necessary 
• Managing the Core Operations budget including approval of expenditure (as a signatory) and cashflow preparation for the coming financial year
• Checking and collation of monthly payroll information

People Support

• Managing the Operations Assistant and IT Co-ordinator.

We’re looking for someone who can lead, manage and develop a UK wide Personal assistance grants programme, including emergency grants, that supports people living with Parkinson’s in the greatest financial need, providing items, services and home adaptations that help  people live better with Parkinson’s or help them access activities that increase their physical activity or improve their well-being. 

About the role 

You will be responsible for all aspects of communicating about, operational administration of and monitoring, evaluation and reporting for the programme.  Using data and insights to analyse the efficiency and impact of the awards made, you will recommend development of programme principles, criteria and operational delivery processes.

What you’ll do:

• Lead the operational management and delivery of the end to end Personal Assistance Grants programme process whilst maintaining excellent customer relationships
• Manage all required records and systems for grants awarded including financial requirements
• Lead and develop sustainable volunteer grants panel involvement that is representative of the communities the charity aims to support
• Manage and develop systems to monitor, review and evaluate the efficiency of the grants process and impact of grants awarded and recommend ongoing improvements
• Create relevant and appropriate communications, marketing and reports for the programme for a range of audiences and purposes

What you’ll bring:

About the role

As the new Community and Events Fundraising Manager, you will play a pivotal role in shaping and executing The Passage's Community Fundraising strategy, designed to inspire and engage both existing and new supporters, ultimately building a stable and sustainable income pipeline.

Main duties

• Help deliver the teams’ existing events and community fundraising products, growing net income and actively seeking new opportunities for expansion.
• Act as an ambassador for The Passage with community groups, personally delivering talks and presentations to build relationships and promote our work.
• Manage and oversee a programme of station and street collections, ensuring that volunteers are trained and equipped to represent The Passage with the public.
• Manage current community and events fundraising relationships with individual supporters and groups by providing outstanding, tailored stewardship to generate income.
• Help deliver and develop a range of The Passage owned and third-party events and activities.
• Produce and manage the Community Fundraising income and expenditure annual plan and budget.

Desired experience

• Developing and implementing community fundraising plans and activities and a proven track record in growing income.
• Experience of recruiting new fundraisers and providing excellent stewardship.
• Direct experience of working with community groups or local organisations such as schools, churches and universities, generating new leads and managing partnerships.
• Experience of planning, organising and delivering new projects and/or events.
• Recruiting and supervising volunteers. 

Desired knowledge

• Community Fundraising products, events and trends.
• Developing effective fundraising propositions.
• Digital fundraising and online fundraising platforms.

St Barnabas House, Martlets and Chestnut Tree House are seeking a Community Engagement Assistant to join the Community Engagement team.  This newly created role will provide vital support to our Events Fundraisers and Community Fundraisers enabling them to go above and beyond for our incredible supporters who go out of their way to raise crucial funds for adult and children’s hospice care in Sussex and beyond.

This role offers flexibility in location, with hybrid working and offices in both Brighton and Worthing.  There will be some travel required between sites.  Whilst this role is advertised at 37.5 hours per week, part-time hours (minimum 4 days a week) will be considered.
