HR Officer

We are looking for a HR Officer to join the team supporting the HR function, in this part-time, hybrid working role.

This role could also be full-time incorporating the operations support function, which at the moment is as separate standalone part-time role.

Position: HR Officer

Hours: 22.5 hours per week (0.6 FTE) (22.5 hours split between Monday – Friday) or full time hours for the HR and Operations Officer role combined

The Role

As HR Officer you will provide support and specialist HR knowledge to all of the operational functions. This includes supporting the Finance Manager and other members of the Senior Leadership Team (SLT) on the delivery of various projects, maintaining employee records, and advising on compliance with UK Employment and Health and Safety Laws.

Main areas of responsibility include:

• Maintain up to date employee records
• Support health and safety compliance and training
• Support and coordinate staff training
• Training new staff on systems and day-to-day procedures
• Day-to-day management of the HR management system, BrightHR
• Assist in the preparation of monthly payroll instruction for accountants
• Working closely with the Finance Manager to ensure operational expense is accurately reported and logged
• Recruitment and induction of new staff and staff exits
• Assist with compliance of legal policy frameworks related to employment and health and safety
• Provide HR guidance and support to employees on employee relations and workplace policies
• Contribute to the development and continuous improvement of HR practices and procedures

We are advertising this as a part-time permanent role but would welcome applications for this post and the Operations Administrator post as a full-time position, HR and Operations Officer, £29,000 annual salary 1.0 FTE.

About You

With experience in a HR role OR equivalent experience in a role with evidence of transferable skills, you will have experience of overseeing administrative systems and the ability to manage a varied and busy workload.

With excellent organisational skills and time management, you will have knowledge and understanding of key HR functions and UK Employment Law.

The British Museum seeks a Supporter Data Assistant to contribute to its mission of offering an exceptional supporter-centric experience. The Finance manager who will look after the range of book-keeping, reporting and accounting activities that are essential to its functioning. Summary job description

They liaise with the Director in order to prepare the annual budget for Finance Committee and Council. They also monitor the institute's bank accounts, administer and prepare the Pay Roll, process invoices, maintain the ledgers, prepare and submit the accounts to the Charity Commission, liaise and prepare the institute's accounts for its annual audit, and prepare the relevant summary section for the annual report. Summary duties therefore include to:

• Process payments and receipts, monitor all accounts regularly
• Enter financial transactions on Sage Accounts and reconcile bank statements.
• Issue AIO and some other invoices and send reminders re outstanding invoices
• Keep staff salary information up-to-date, and prepare monthly payroll, work out and upload pension contributions
• Prepare annual accounts for main company and for three Trust Funds, and liaise with auditors
• Prepare annual budgets together with Director and Hon Treasurer
• Prepare quarterly VAT returns and file online
• Prepare and submit quarterly returns to Inland Revenue for VAT, and annual returns to Charity Commission for four charities.
• Organise and attend four annual meetings with investment fund managers and monitor investments
• Assist the Director in all financial and statutory matters, as required
• Grant applications/ reporting: assist staff as required and monitor reporting schedules

About the role

The Creative Minds Programme funded by the National Lottery, is designed to enhance mental health and wellbeing for adults in West Kent through engaging in creative activities.

These 24-week programmes are held in various locations across West Kent and are conducted in collaboration with professional artists, local arts organisations, and supported by the West Kent Mind community wellbeing team.

Open to adults (over the age of 18) in West Kent, the programme offers inclusive, free sessions in a wide range of artforms.

Key Objectives include boosting confidence, fostering connections, enhancing life skills, and increasing participants' ability to manage their mental health and support others. 

Now in its second year, the programme aims to support 864 adults over three years, with a focus on those with mental health challenges or feelings of loneliness. In addition to creative workshops, the programme offers leadership training to select participants, empowering them to become "Creative Agents." These agents lead "Creative Places" to engage the wider public in community-based creative activities. 

The programme is set to conclude in March 2026.

Who you are

All previous experience may be paid or voluntary, full, or part-time, in the UK or overseas.

 · Ideally, you will have previously supported people with their mental health and wellbeing.

· You know how to quicky and effectively process referrals.

· It is desirable that you have experience using a client content database (CRM). We use Beacon.  

· You are happy working as a team but equally can work independently.

· It is essential that you know your way around working in ways that are compliant with policies and procedures, for example, safeguarding, risk assessment, confidentiality and GDPR.

· Having a good working knowledge and understanding of other local services, for example health, social services, drug and alcohol support, benefits and related support.

· It is desirable that you would have some experience in co-ordinating meetings and events, including working with external contractors.

Key Responsibilities

· Together with the Community and Partnerships Manager, you will be setting and completing work objectives.

· You will be putting your administration skills to use to keep accurate records and in line with GDPR processes.

· You will be managing incoming communications from clients, partners, and agencies via calls, emails, texts, and possibly letters; responding to enquiries, taking messages, and ensuring timely follow-ups.

· You will play a key role in tracking and reporting programme outcomes on a regular basis to the Community and Partnerships Manager and our funder, The National Lottery. 

· You will be required to attend team meetings.

· You will be monitoring and evaluating all aspects of the work for the purposes of continuous improvement.
