Role Context and purpose
Following recent and projected growth of the organisation, Gaddum is looking to recruit additional resource within the Central team to bolster support; ensuring delivery of safe and high-quality services. Gaddum acts as an administrator for smaller trusts and charities, who do not have internal finance teams, and this role will act as the key point of contact for those trusts in delivering financial support. In addition to this, Gaddum also redistributes grant funding – this role is to act as the Finance lead for the financial management of the funding.
The post holder, line managed by the Finance and Resources Director, will join the finance team and work alongside another Finance Assistant responsible for Accounts Payable and Receivable. This is a 28 hours per week role, working flexibly to suit the needs of the organisation and individual.
Main Duties and Responsibilities
Trust Funds
• Key point of contact for trusts
• Administration of trust fund applications against agreed policies between Gaddum and the associated trusts
• Coordination and administration of trust meetings on behalf of the organisation and trusts
• Maintaining accurate, timely and relevant written and financial records, pertaining to the administration of the trust funds
• Respond to enquiries and requests by phone, email and in person as required
• To assist with collating and inputting of data, e.g. accounts for reporting periods
• To liaise with referring organisations, referrers and beneficiaries where necessary during the day-to-day administration of trust funds
Grant Funding
• Working with the existing Grant Coordinator in ensuring the regular invoicing of grant funding
• Accurate and timely processing and payment of this funding to organisations within the region
• Maintaining accurate financial information for statutory reporting
• Finance contact for all grant related enquiries
Other Duties and Responsibilities
• To support the Finance Assistant (Accounts Payable & Receivable) in periods of absence
• To meet regularly with Finance & Resources Director for supervisions
• Undertake additional duties within competence of post holds as required by the Finance & Resources Director
• Flexible approach to working patterns and in-office working days

You will provide clinical leadership of this UK-wide programme, empowering young people, hospices and system partners to overcome the inequities of care experienced by patients and families throughout this transition.
You will become a crucial part of the Programmes Directorate at Hospice UK. This team is responsible for areas of real relevance and importance to our hospices’ membership, including: commissioning support; data, research and evidence; clinical and non-clinical projects; learning platforms: sharing good practice; and a well-regarded and commercially successful portfolio of conferences, including our flagship national conference.
You will bring the clinical leadership needed to deliver this exciting new programme. You will lead our young person’s forum and provide invaluable mentorship to hospices. Supported throughout by our Senior Programme Manager and Team Administrator, you will further develop our Transition Community of Practice and help us collate and share programme data across the sector. You will lead on partnerships and strategic relationships, with Together for Short Lives and other decision-makers across our sector. When representing Hospice UK and our programme externally, you will offer clinical expertise leadership within the field of Transition.
You will have senior palliative care experience, working in the field of transition. You will have led clinical programmes across systems and/or regions, and experience supporting organisations with Quality Improvement projects. You will be an excellent and influential communicator, who embraces working with data while maintaining a strategic overview.

You will be responsible for the day-to-day office management, providing an office reception service, coordinating office services including site access, maintenance, cleaning, office equipment and supplies, maintaining and servicing meeting rooms, dealing with incoming and outgoing post, deliveries and courier services.
You will also support with managing Health and Safety including setting up, reviewing and maintaining up to date procedures and processes, being a designated fire warden and Emergency first aider, providing staff/volunteers with induction and training on Health and Safety and office procedures. You will deal with office facilities and support queries, as well as support the wider Finance and Resources teams with HR and IT support as required.
To be the right candidate for this role, you will:
- Be experienced in office facilities management
- Have experience in supporting workplace Health and Safety
- Demonstrate experience in an administrative or business support role
- Be a good communicator with excellent interpersonal and customer service skills
- Have excellent organisation and time management skills
- Have proficient computer skills with experience using Microsoft Office

About you
You are an experienced administrator who enjoys working with senior leaders and supporting them with a variety of tasks on a day-to-day basis. This will suit you if you have experience as an Executive Assistant or business administrator with secretariat knowledge and ability to work with senior stakeholders. Your new role
This is a part-time position which can be over 3 full days or 4 shorter days. As an Administrative Assistant, you will provide essential support across multiple areas, including charity administration, accounts and events management. You will assist with the grant and prize administration, support accounts with various tasks and help organise and manage a variety of events throughout the year. Additionally, you will contribute to the smooth operation of the office by managing equipment and supplies.

What you'll get in return
You will receive a salary of £21,000 (60% of the pro rata £35,000 FTE) for 21 hours per week. Additional benefits include an employer's pension contribution of 15% of salary after the first year, a 15-day annual holiday per annum (pro rata 25 days for FTE), plus a 2-week Christmas closure period, health cover and Death-in-Service cover from the day you start. This is an office-based role with some flexibility to work remotely after a successful probation period.
