Overview

JOB TITLE: Programmes Officer 

LOCATION: Home-based with bi-monthly team meetings in London. Some travel within the UK will be expected. 

SALARY: £26,471- £28,683 (depending on skills and experience) 

CONTRACT: Full time, 35 hours per week (requests for 0.8 FTE will also be considered).

Main duties

Programme Support 

• Provide support across Causeway's broad portfolio of programmes, such as online mentoring, insight days, work experience weeks and university and employer outreach schemes

• Organise programme-related events, such as workshops/webinars 

• Deliver workshops to students and stakeholders, alongside other members of the Programmes Team 

• Look after our shared inboxes and share queries with relevant team members 

• Support the collection of information as part of programme reporting requirements

• Support in the design and creation of new programme resources

• Support other team members with management of external communications including the Causeway website, Twitter account and newsletters 

• Develop and implement strategies to promote student engagement with Causeway’s programmes (for example, student 1-1 calls and emails)

• Provide administrative support to other members of the organisation as required

JOB DESCRIPTION

Job Title: Book-Keeper/administrative responsibilities /HR

Part-time: 21 hours per week

Reports to: Director

Salary: 27,500 PA for full-time (pro rata salary)

Job Purpose:

The Bookkeeping/admin role include Managing and coordinating monthly reporting, budgeting and reforecast processes. Answering the telephone, ordering stationary. Providing back office services such as accounts payable, collection of time sheets and payroll. Monitoring cash flow, petty cash handling, paying invoices, communicating with local government finance team, HR and funding application /budgets and monitoring.

Experience of working in a medium size charity and can be work as part of a team friendly cooperative.

Key Responsibilities:

Bookkeepers are responsible for several duties related to managing financial records these responsibilities may include:

· Processing payments, invoices, income and receipts and entering data into accounting software (QuickBooks online) or databases then filing hard copies

· Preparing financial statements showing organisation income and expenditure

· Paying vendor invoices and tracking bank account balances

· Completing VAT returns (if related)

· Verifying the accuracy of business accounts and alerting the management of errors

· Recording any inconsistencies to help the Accountants reconcile inaccuracies

· Developing monthly financial statements including cash flow, profit and loss and balance sheets

· Work with purchasing to enter all PO driven invoices.

· Track employee purchases – ensure appropriate use of company credit cards.

· Work with and support Leadership Team to ensure all expenses are tracked and costs reduced

· Prepare weekly financial reports and correspondence for internal or external review

The Assistant Management Accountant will report across a variety of events, providing management information and budgetary support to department managers.

About this role

The Bookkeeper is a new role at Pembroke House. You will work closely with the Director of Finance to form a team of two managing the financial activities of the charity (turnover approx £1 million). You will need good communication skills to cater to the differing needs of each team, have excellent attention to detail to ensure that high-quality financial information is produced and be firm with others in applying the charity’s financial regulations.

Main Duties

PURCHASE LEDGER

• Maintain the Purchase Ledger on online accounting software (Sage 50).

SALES LEDGER

• Maintain the Sales Ledger on online accounting software.

• Prepare and issue sales invoices. 

• Handle customer account enquiries.

• Calculate recharges within the charity, for example photocopier usage and record these on accounting software.

BANK AND CASH

• Monthly reconciliation of all bank accounts, resolving any discrepancies.

• Process, manage and bank income via cheques and cash.

• Monthly reconciliation of all petty cash tins and, with the Cafe Manager, cafe till sales.

• Reconcile monthly company cards statements, flagging to and resolving with the card holder when there are discrepancies.

FUNDERS AND DONORS

• Using information provided by others, make Gift Aid claims annually on behalf of the charity.

• Generate financial reports and invoices from online accounting software for funding claims to trusts and foundations.

OTHER FINANCE TASKS

• Assist budget holders to understand and resolve queries relating to income and expenditure transactions.

• Monitor and act on emails received to the charity’s finance email address.

Job Description

The Financial Controller (FC), reporting to the Chief Administrative Officer (CAO), will manage all accounting functions within LightEn and related entities, making sure that all accounting records are appropriately kept and that accounting procedures and reports are compliant with all relevant standards and legislation. The FC will coordinate and manage the preparation of budgets and financial forecasts, prepare monthly accounts, dashboards, forecasts, and other regular financial, regulatory and compliance reports. The FC will ensure that the finance team operates within a robust control environment and will support the CAO in preparing for and coordinating preparations for external audits. The FC will support the development of all internal control policies, contribute to ensuring all financial systems are fit for purpose and maintained, and be able to identify any potential areas for improvement. 

The primary responsibilities will include:

• Day-to-day management of accounting operations for one or more complex corporations or nonprofits, during periods of significant growth and change, including application of compliant accounting treatment for: income recognition including for grants receivable, grants payable, and other forms of charitable giving; accounts payable; general ledger; full cost recovery; inventory accounting; administration of payroll, pensions, and other staff benefits; and any other related accounting and operational tasks.
• Preparation of budgets and financial forecasts and reporting any variances.

Terms and Conditions

Main purpose of Post

The Finance Executive will work as an integral part of the Finance Team, providing a high-quality finance function and supporting fundraising activity with accurate processing of income from a range of sources.

The Finance Executive will support the Head of Finance and Resources with the day-to-day financial management of the charity, including annual budgeting and monthly management accounts.

What you do

Income:

• Ensure all income including cash, cheques and online platforms is processed accurately into the fundraising CRM (Raisers Edge) and accounts package (currently Aqilla).

• Ensure gift and donation income is accurately coded with the correct campaign, appeal and fund.

• Complete the reconciliation of income between the bank

and the fundraising CRM.

• Support the Finance Assistant to ensure all funds are banked in a

timely fashion.

• Liaise with fundraising colleagues to support timely donor care and producing donor gift recognition letters within agreed timescales.

• Coordinate the preparation, claiming and recording of gift aid submissions.

• Raise invoices as required and respond to invoice queries.

• Chase outstanding debtors and ensure payments are received in a timely fashion.

• Take a lead on processing, coordination, and administration of legacy income

Expenditure:

• Ensure that purchase invoices are properly authorised, coded and processed accurately into the accounts package.

• Ensure company credit card expenditure is reconciled and processed into the accounts package accurately.

• Assist staff with expenses queries and ensure expense claims are processed in a timely manner.

• Prepare payment runs for approval and upload to banking system

• Ensure creditor accounts are reconciled with payments matched against invoices.

• Respond to purchase and invoice queries as required

Bank and cash:

• Reconcile all bank accounts at the month end, including online donation platforms (e.g. Just Giving, PayPal, etc)

• Process all non-income from the fundraising/donor package in a timely manner

• Process all non-creditor payments in a timely manner

• Respond to banking queries

• Support with management of Bank Mandates

• Support the Head of Finance with management of investments

Month end:

• Support the Head of Finance in the production of the month end accounts pack

• Support the Head of Finance in the production of the year-end accounts and audit

• Manage the monthly accruals and prepayments process

• Update the grants spreadsheet with expenditure during the month.

 Budget:

• Work with the Head of Finance to review budget lines on a monthly basis, identifying any variances, in preparation for monthly meetings with Budget Holders to review expenditure

Events:

• The finance team are involved in major fundraising events, and you will be required to work ad hoc evening and weekends to support the finance function.  This will include processing donations, including cash.

General:

• Deal with ad hoc tasks as and when they arise

This is a permanent opportunity to join our Finance Team as an Accountant, working within a team of 4 Accountants, based in our Head Office, Birmingham.

As a Finance Team we are committed to working collaboratively and are looking for someone with great communication skills and who is a team player. 

Reporting into the Finance Business Support Manager, you will provide support to the 4 Finance Business Partners in delivering accurate and insightful financial reporting and planning for the Fund. Alongside this, you will provide support to colleagues to ensure there is cover across all processes in the Finance Team. This role is responsible for the development and delivery of our people processes, systems and administration, ensuring that they are fully fit for purpose. You will be joining a highly supportive and friendly People Team, committed to working together collaboratively to provide a high quality and responsive service to the organisation.

Your main focus will be our UK people operations. However, you will also engage with our country offices around the world, developing an understanding of their people operations and working with them towards maximising efficiency across the organisation.

The role is varied and includes optimising people processes, leading on the global roll-out of our HRIS (HiBob), including its Applicant Tracking System (ATS) and performance review module, ensuring a high-quality information and reporting service to internal stakeholders, overseeing UK and international payroll and benefits administration, and working on global people projects and initiatives. 

You will have excellent people management skills and substantial experience developing, implementing and managing people systems, processes and administration relating to all stages of the employee life-cycle. You will be experienced in HRIS management and optimisation, mapping and streamlining processes, developing, running and analysing reports to aid decision-making and working with providers to solve technical issues. Experience in rolling out a global HRIS would be an advantage.

You will have a methodical and rigorous approach to work and a meticulous attention to detail. Excellent numeracy and data analysis skills are essential, as is knowledge of data protection legislation and relevant UK employment and immigration law.

You will enjoy collaborating and consulting with others to understand the needs of our stakeholders as we strive for continuous improvement and your excellent interpersonal and communication skills will enable you to build positive, productive working relationships with colleagues at all levels across Fauna & Flora.  Fluency in spoken and written English is essential.

Action Village India (AVI) is a small UK based organisation that since 1989, has been supporting Indian partner organisations who work alongside villagers in some of the most remote parts of rural India so they can improve their lives, livelihoods and resilience. We work towards an India which is just, fair and inclusive, where all people regardless of sex, gender identity, ethnicity, caste, religion can benefit from the country’s economic development and lift themselves out of poverty.

At the heart of our work, are our partnerships; many of which have spanned decades.  Our partner organisations are led by Indians and whether these are large or small organisations, or social movements, all work directly at the grassroots level across rural India – from Bihar and Jharkhand in the North, in Odisha and down to Tamil Nadu in the South. The communities they work with, are some of the poorest in India. Job Purpose: To keep our office functioning smoothly. This is a multi-faceted role working closely with two other members of staff. This is a great opportunity for an organised self-starter who is interested in getting more experience in international development and the charitable sector.

Reports to: Executive Director

Salary: £26,000 pro rata

Hours: 14 hours per week (equivalent to 2 working days) – ideally Wednesday and Thursday.

By agreement there is an option to work an additional 7 events days over the full year. This is related to WOMAD and our other events. This is revised annually based on the agreed workplan.

1 SPECIFIC RESPONSIBILITIES

1.1         Office Management

• Oversee the day to day running of the office, including communication with enquirers and supporters.
• Ensure office is compliant with Health and Safety requirements. Ensure compliance with data protection requirements.
• Ensure resources, IT and communication equipment is appropriate and available for staff and volunteer needs.
• Maintain office equipment, stationery and supplies.
• Be the point of contact for the landlord and any other tenants in the shared building.

1.2       Finance (record keeping)

• Managing Petty Cash
• Recording financial expenditure and income from events for the book-keeper
• Recording donations both online and offline
• Maintaining records by keeping the scanned copies of receipts and payments in the designated files both offline and online.
• Any other record keeping work as agreed with the Executive Director.

1.3       Administrative support to Fundraising events

• Administration of sponsorship fundraising events – registration of runners/riders/walkers and their donations.
• Helping set up donation pages for sponsorship online.

1.4       Communications

• Using online tools to design and distribute Action Village India’s e-newsletter.
• Uploading information on Action Village India’s website.
• Maintaining and servicing the donor and members’ database.
• Correspondence with supporters and donors.
• Production and printing of leaflets, advertisements and maintaining records of appeals.
• Distribution of mailings for appeals, newsletters and to our membership – including email groups.
• Managing all donations to the organisation, including CAF, standing orders, Just Giving and other internet sites and correspondence with individual donors.
• Any other administrative and communications work based on the organisations’ requirements and as agreed with the Executive Director.

1.5       Information Technology

• Maintaining IT equipment including updating anti-virus software.
• Maintaining Action Village India’s filing systems (hard copy, soft and back-up files).
• Liaison with Action Village India’s website designer/manager, editing and uploading documents and photos to website.

1.6       AVI Activities

• Management of office-based volunteers as agreed with the Executive Director.
• Booking rooms and other support for Action Village India’s trustees’ meetings, AGM and other events.

Responsibilities

Donor financial budgeting, reporting and monitoring

· Gather, manipulate and present data on Young Lives budgets and forecasting including those for ongoing projects, new funding proposals, re-budgeting exercises and partner organisation budgets, working closely with the Young Lives Programme Manager, Programme Officer/s and Collaborating Partners.

· Liaise with the Programme Manager to review the financial position on Young Lives projects and advise on solutions to problems relating to expenditure on projects whilst maintaining the auditable standards on the project. Check research budget set-ups for accuracy on Oracle, deal with issues arising, analyse grant spend on a monthly basis, highlight variances and take follow-up action, and facilitate updated X5 to re-cost salaries on awards and identify any over or under spends on salary budgets.

· Coordinate the quarterly financial reporting processes used by Young Lives partners. Check reports against budgets. Coordinate the preparation of Young Lives financial reports and invoices to FCDO and other Young Lives funders in line with contractual requirements. Prepare budget and quarterly forecasts for the Department.

· Process partner payments required under partner collaborative agreements and consultancy agreements, as agreed by the Young Lives Programme Manager.

· Monitor Young Lives project expenditure against approved budgets and donors’ terms and conditions. Gather, manipulate and present data to produce regular financial reports showing income, expenditure and forecasting against budgets.

· Assist with audits of Young Lives, as required.

· Represent and present on finances externally to funders, as required, and maintain an up-to-date knowledge of Young Lives’ funding bodies’ terms and conditions

General Financial Management

· Ensure full recovery of expenses on the e-expenses system (SAP Concur), reviewing on-line ready for departmental approval, ensuring that expenditure remains within set budgets and complies with the grantor’s terms and conditions and University financial guidelines, giving guidance to claimants where necessary.

· Arrange for and monitor travel advances, and pre-paid MasterCards, issued to YL staff and clear the advances on their return. Check and process project credit card statements and receipts and deal with any queries that arise;

· Raise pre-requisition orders ensuring that procurement policies are followed;

· Undertake transactional processing as necessary in the Oracle Financial system, including invoices for payment, accruals and prepayment and dealing with anomalies. Check figures for errors and omissions. Ensure all Young Lives financial transactions are carried out in accordance with the University and external financial regulations.

· Monitor the Young Lives general ledger account (non-project funded) and ensure effective reconciliation and reporting of all transactions.

· Maintain good working relationships with Young Lives staff, partners and suppliers and with Departmental finance and administrative staff and the University's central finance office and be proactive in resolving issues.

· Proactively undertake continuous improvement of finance processes and systems and of reporting provision to support changing requirements and improve management information. Communicate and support the implementation of these improvements effectively.

· Develop and refine financial systems and procedures for Young Lives to ensure strong financial management and control. Respond to enquiries, and provide advice on financial procedures and policies.

Selection criteria

Essential

• Have achieved or be working towards an accounting qualification
• Educated to degree level or equivalent and at least two years’ experience in a similar role.
• Good accounting skills; experience of preparing financial reports, budgets and forecasts
• Knowledge of the purpose, use and application of financial controls
• Excellent numeracy skills, thoroughness and attention to detail, resulting in the ability to produce accurate, detailed work
