We hold a position in the UK’s cultural landscape as a diverse-led company that is internationally renowned, award-winning, and making transformative theatre through a collaborative devising process we’ve refined over 18 years. 

Our purpose is to highlight complex but urgent socio-political issues through theatre which is entertaining and accessible. We create ambitious, experimental productions that contribute to national conversations and provide opportunities for audiences to engage, respond and contribute to lesser heard perspectives on universal themes.

Looking towards an exciting future, our current trustees wish to further transform and develop the board. Through broadening the skills, knowledge and lived experience of the trustees we will ensure Ad Infintum's board is representative of the work we make and the people we make work with and for.

In 2024-25, we wish to recruit new trustees to our board from across the following sectors and areas of expertise:

• Artists and freelancers working in the cultural sector

• Teachers or people working in other professions in the education sector

• People with finance, organisational development, fundraising or governance expertise working in the public or cultural sector

• People with experience of working with and in communities, particularly in Bristol and the surrounding area

• People who have experience of working in policy-making, diversity and inclusion, social activism or human rights

The lived experience of our trustees is of equal importance to their professional achievements. We want our board to represent and give a voice to the collaborators we work with, our core team, our city and our audiences. We believe that a diverse board will lead to stronger and more effective governance.

As a Front Desk Volunteer, you will be the welcoming face of Historic Croydon Airport, responsible for ensuring visitors have a smooth and enjoyable experience. You will manage visitor check-ins, handle donations, and support merchandising activities. 

Responsibilities: 

Reception Duties: 

1. Visitor Reception: 

• Greet visitors warmly at the front door or Reception desk. 

• Check if visitors have pre-booked and verify booking details. 

• Keep the Reception Desk attended at all times. 

1. Booking Management: 

• Obtain booking sheets from Graeme and update them throughout the day. 

• Set out and supervise the donation box. 

• Maintain a supply of hand sanitisers, leaflets, and other materials. 

• Re-stock leaflet holders in the Main Entrance lobby. 

1. Visitor Handling Procedures: People with a Booking: 

• Check the Lead Name off the booking list and confirm the number of visitors in the group. 

• Request a donation of £8 per adult on entry, payable by cash, credit card, cheque (to Historic Croydon Airport Trust), or QR code. 

• Ensure the donation process is completed. 

• Inform visitors of the location of toilets and answer any questions. 

• Ask visitors to wait in the Waiting Area until their Guide collects them. 

• Manage additional visitors, ensuring tour groups do not exceed 12 people, including the Tour Guide. 

People without a Booking: 

• Politely inform visitors that entry is by pre-booking online. 

• Check the booking list for vacant slots and inform visitors of available times and spaces. 

• Advise visitors to book and return at the specified time, noting they cannot wait inside AH. 

• Allow visitors to wait outside for potential "no-shows" if they wish. 

• Be polite, sympathetic, but firm if turning people away, and provide the date of the next Open Day and booking details. 

• Seek assistance from Graeme or Mike if needed. 

1. Visitor Departure: 

• Thank visitors for coming and say goodbye. 

• Encourage visitors to review their experience on Tripadvisor (Croydon Airport Visitor Centre). 

Merchandising Duties: 

1. Merchandise Stall Management: 

• Set up and take down the HCAT Merchandise stall. 

• Retrieve and replace sale items from/to the cupboards under the model in Reception. 

• Run the merchandise stall, selling items to visitors. 

1. Cash Handling: 

• Manage the float, monetary takings, cashing up, and recording total takings at the end of the day. 

• Ensure cash takings are not left unattended and hand them over to a Trustee at the end of the day. 

1. Stock Monitoring: 

• Monitor stock levels and advise Jeff if stocks are running low.

1. Conducting Tours:

   • Lead groups on an informative tour comprising the exterior of Airport House, the Booking Hall/Reception area, up the rear stairs, and terminating at the 2nd Floor AH rear landing/entrance to the Croydon Airport Visitor Centre (CAVC).
   • Ensure the tour follows the flow and timings outlined in the Open Day Flow Chart, arriving at the CAVC at the allocated time.

2. Knowledge Building:

   • Develop and maintain a comprehensive understanding of the history of Croydon Airport.
   • Utilize the Tour Guide Guidance Notes to cover key topics and manage the timing of your tours.

3. Visitor Engagement:

   • Speak clearly and engage visitors, aiming to make the tour interactive and enjoyable for all ages, especially children.
   • Answer visitor questions and provide additional information as needed.

4. Safety and Procedures:

   • Briefly mention the Airport House evacuation procedure to visitors at the start of each tour.
   • Be mindful of visitor safety throughout the tour, particularly when crossing kerbs, roads, or using stairs within Airport House.

5. Additional Support:

   • Assist with other roles and tasks when not conducting tours, contributing to the smooth operation of Open Days.

6. Setup and Close Down:

   • Arrive on time for Open Days to help with setting up and closing down activities.

Bright Shadow is a creative organisation where people with dementia and our supporters live well and enjoy making our own high-quality art in Kent and Medway. As we continue to build upon and develop our ambitious work, we are seeking a new Chair of Trustees to join our existing board, alongside new trustees including those living with dementia. 

Who are we looking for?

In conducting a wide search, we’re hoping there will be people who put themselves forward that we may never otherwise have been in touch with. So, if you don’t see yourself represented here, please do put yourself forward; this is in no way an exhaustive list. We are keen to hear from people with lived experience of dementia, whilst also recognising that other life experiences may give you insights and understanding that could help the organisation to develop. 

• Do you have experience of working in or supporting larger charity structures, the health and social care sector, or fundraising and philanthropy?
• Are you an artist or arts sector leader?
• Are you living with dementia, or supporting someone with a dementia diagnosis?

Length of service: This is typically an initial three-year appointment; you may choose to stand down or be re-appointed after this time.

Time commitment: There is a board meeting each quarter, one of which is also our AGM. We’d anticipate contact between meetings, typically via email. We will also have an annual away day.

Recompense: This is a voluntary position; Bright Shadow reimburses expenses incurred whilst carrying out trustee duties.

Are you passionate about making a difference? We're looking for a dedicated Honorary Treasurer to oversee the financial well-being of our charity.

The Honorary Treasurer will monitor the financial standing of the charity and support the Board in the review of all financial matters and the overarching strategic management of the organisation’s financial resources.

They will Chair the Finance & Resources Sub-committee and feed into the charity’s financial risk-management process, reporting financial health to the Board of trustees at regular intervals. They will also advise on fundraising, income, and development of unrestricted funds of the charity.

The Treasurer will act as a counter signatory on payments and applications to funders, and work with the Accountants and Executive Team to ensure that annual accounts are submitted to all relevant regulators in a timely fashion.

They will provide input to ensure the organisation’s finances are responsibly managed and invested for the betterment of the organisation’s work and for the beneficiaries it serves

Qualities of a Treasurer

Essential

• Qualified accountant
• Knowledge of charity SORP
• Competent use of IT skills
• Proven ability to communicate and explain financial information to members of the Board and other stakeholders
• Analytical and evaluation skills, demonstrating good judgement
• Understanding and acceptance of the legal duties, responsibilities and liabilities of trusteeship
• Good communication and leadership skills

Desirable

• Demonstrated knowledge and experience of charity fundraising and finance practices
• Committed to our cause and objectives and willing to act as the charity’s ambassador to external bodies, charities and companies
• Skills and experience in one or more areas of non-executive governance and management e.g. strategic planning, business management, financial/accountancy, understanding of HR issues, experience of Trusts or other grant giving bodies particularly fundraising and legal knowledge
• A team-oriented approach to problem solving and to management

Time commitment and location

• Currently the Board meets at least six times a year and the Treasurer is expected to be available at key points in the accounting cycle
• Board meetings are every 2 months (2-3 hours approx. per meeting)
• You will chair the Finance & Resources sub-committee which meet at least quarterly, online (1-2 hours approx. per meeting)
• Ideally meetings will take place in person although online and hybrid options are available
