Job Title: Business Administration Apprentice
Team: Finance
Location: Hybrid (split between home-working and our London office)
Contract: 2-year fixed term contract
Salary on appointment: £24,570 - £27,027 per annum*
*This role sits within a pay grade with a pay range of £24,570 to £31,460. Purpose of Role
The Business Administration Apprentice will play a crucial role in supporting functional teams, including Finance, People, Governance and Communications to deliver our strategy. The Apprentice will undertake a structured training program, combining work-based learning with academic study, to develop essential administrative and organisational skills.
The role will work rotationally across teams, resolving issues as requested. The post involves developing, implementing, maintaining and improving administrative services.
Key responsibilities
- Perform general administration duties
- Manage and respond to emails, phone calls, and other forms of communication
- Schedule and coordinate meetings, appointments, and travel arrangements
- Maintain and update databases, records, and files
- Assist in preparing reports, presentations, and spreadsheets

- Maintain the standards of the Apprenticeship provider including completing all assignments/assessments as required and ensuring availability for all scheduled learning sessions as required
- Willingness to complete a Level 3 Business Administration Apprenticeship throughout the duration of your employment.

Purpose of Role
This role takes a data-led approach to maximising the impact of our communications to raise the profile of the organisation and achieving business outcomes through strategic communication and marketing efforts.
The role holder will work alongside the wider Communications & Campaigns team to deliver agreed GB-wide communications and manage nation-specific communications as part of an integrated and coordinated programme of communications.
The role holder has an innate connection and understanding of the Welsh context and can adapt and deliver national issues to local audiences, as well as bringing our work in Wales to a national audience across multiple channels.
Key responsibilities
Communications planning
- Work closely with the Ramblers Cymru team to stay abreast of projects and local issues.
- Work with the Strategic Communications Manager to lead a structured communications planning process that ensures key audiences are receiving timely communications in line with their needs, via appropriate channels (GB-wide or nation-specific). A key part of this process will be sequencing to ensure that audiences are not overwhelmed by multiple/fragmented messages.
- Work closely with the broader communications team to develop strategically aligned messaging and campaign assets for both GB-wide and nation-specific communications activities and advocacy campaigns.
Communications Delivery
- Project manage and deliver GB-wide and nation-specific communications activities across owned, earned and (where relevant) paid channels, including managing timeframes and budgets, mobilising other teams, seeking collaboration opportunities with external partners, setting and measuring KPIs
Channel management
- Work in partnership with the Member & Supporter Experience team and the broader communications team to plan and deliver GB-wide and nation-specific member and volunteer communications.
- Work in partnership with the Social & Community Officer to present aligned messaging to our audiences, to drive engagement with our posts and to grow the reach of our GB-wide and nation-specific social media channels.
- Work in partnership with the Website Officer to present aligned messaging to our audiences and to maximise the impact of our website and digital marketing to grow our supporter base.
- Work in partnership with the PR & Media Officer to maximise the reach and impact of our public relations across our target audiences in England, Scotland & Wales.
Content Development
- Work in collaboration with the wider Communications & Campaigns team to source and produce communications materials and assets (photos, stories, videos, graphics etc) that can be used on GB-wide and nation-specific channels to help build the Ramblers brand and relevance to our target audiences
Data analysis and reporting:
- Monitor and analyse communications performance using key metrics and data insights.
- Prepare detailed reports and recommendations to inform future campaigns and strategies.
Innovation and improvement:
- Apply data insights to shape and improve channel strategy and tactics, using a test-and-learn approach.
- Stay current with industry trends, best practices, and emerging technologies to continuously enhance campaign effectiveness.
- Implement feedback and lessons learned to refine and improve campaign strategies.

The Person
Knowledge and Experience
- Ability to develop and implement effective communications activities aligned with organisational goals.
- Proficient in the Welsh language. As a minimum be able to review copy provided by a translator. Ideally able to write Welsh copy from scratch and conduct media interviews in Welsh.
- Proven experience in managing and executing successful paid and no cost/low-cost communications campaigns, preferably within a non-profit or advocacy/campaigning organization.
- Multi-channel communications and marketing experience including PR, social media and digital
- Experience of writing for different audiences ensuring key messages are delivered in the brand tone of voice
- Strong skills in creating engaging content across various media platforms.
- Proficiency in analysing campaign performance data and deriving actionable insights.
- Excellent verbal and written communication skills for effective stakeholder engagement and public relations.

Purpose of Role
This is a new role within the Strategy and Governance team, a team which supports delivery of the Ramblers’ strategy through business planning, project management and impact measurement, and oversees the management of governance matters.
The purpose of the Project Manager role is to:
- Manage project teams to drive delivery of key initiatives in the business plan using best practice project management approaches. (80% of time)
- Provide a Project Management Office (PMO) function, helping to raise standards and rigour in project management across the organisation. (20% of time)
Key responsibilities
- Oversee the end-to-end project lifecycle of key projects including:
- preparing a project mandate / business case and updating as required
- identifying and tracking a clear set of measurable outcomes / benefits
- establishing and overseeing appropriate project governance arrangements
- developing a project plan setting out activities, deliverables and milestones
- identifying and managing key risks, assumptions, issues and dependencies
- preparing and managing a project budget and a resourcing schedule
- developing and implementing communications and engagement plans, working with the comms team
- motivating and managing project teams to deliver the desired outcomes on time and on budget
- coordinating with external partners, suppliers and contractors to ensure project requirements are met
- updating stakeholders on progress through regular status reporting
- managing project closure, lessons learned and transition to business as usual
- Improve standards and rigour in project management across the organisation through the introduction of best practice approaches and by coaching project teams.
- Enable senior leaders to effectively support project delivery by providing a regular portfolio health report.

- Key strategic projects and programmes will be delivered on time and to budget and achieve the desired outcomes; standards of project management across the organisation will be raised and the confidence of the Executive Leadership Team in delivering the strategy will be enhanced.

Purpose of Role
- To understand Ramblers’ audience behaviours by analysing customer data
- To design and implement data solutions to drive revenue growth, supporter engagement, membership acquisition, retention and lifetime value from new and existing audiences
- To deliver secure, easily interpreted, and accessible information to staff members and volunteers about the Ramblers members, supporters, groups, walks and accounts.
- Democratise data by ensuring it is relevant, accurate and accessible.
- To create and improve existing processes within the Ramblers through the use of automations and technology to improve staff productivity and produce specialised outcomes.
- To support leadership in monitoring and reporting on the effectiveness of campaigns and initiatives.
Key responsibilities
- Drive the organisation to use data in its operations, using first party and third-party data sources to facilitate more informed and reliable decision making.
- Working in collaboration with teams across the organisation (particularly Income and Marketing) to develop and implement data driven approaches to income generation with a particular focus on quantitative modelling and testing.
- Working with internal Digital and IT teams, ensure information flows between systems (Salesforce, the Data Warehouse, Marketing Cloud etc) in an accurate and timely manner, to ensure our supporters receive the best possible service and we have a full view of their activities when planning our own.
- Ensure our data insights platform provides volunteers with understandable and easy to use information for all aspects of administering their Area(s)/Group(s).
- Lead on developing and improving new processes and automations to save organisational time and resources through digital technology to drive quicker and more optimised outcomes.
- Maintain accurate supporter information in an accessible and secure way through IT systems such as the CRM and Data Warehouse in accordance with data and charity legislation.
- Develop and present modelling an analysis of supporters through more targeted and personalised communication utilising modern statistical analysis techniques.
- Create and maintain processes allowing for self-service of simple or regularly scheduled selections by staff members.
- Develop a robust and efficient audience segmenting and selection process for more complicated selections in a timely manner, considering appropriate targeting, efficient messaging, and other comms activity.
- Work closely with marketing, operations, and other teams to provide data-driven insights and recommendations that inform campaigns, initiatives, and overall strategy.
- Track and report on the effectiveness of initiatives and campaigns, providing actionable insights and recommendations for improvement based on data analysis.

Required Skills and Experience
- Experience using a modern data reporting tool such as Power BI or Tableau
- Experience in using a marketing automation tool such as Mailchimp and or Marketing Cloud
- Expertise in programming languages such as Python
- Knowledge of SQL and data warehousing
- Excellent communication skills, able to explain technical terms and process in an appropriate way for a variety of audiences
- High capability to deliver and drive organisational or behavioural change, particularly in relation to the use of data to drive better decision making
- Strong analytical and problem-solving skills with the ability to translate complex data into actionable insights
Desirable Skills and Experience
- Experience working with data in the not-for-profit sector
- Interest in walking and/or being an advocate for the outdoors and natural environment.
- Experience of working with volunteers
- Experience in digital marketing/social media reporting, such as Facebook Ads, Google Ads or Sprout Social
- Experience in change management and supporting others to adapt new ways of working
- Experience of working with Salesforce or similar CRM
- A degree in a quantitative field (Maths, Physics, Economics etc) or equivalent experience

Purpose of Role
The Membership Marketing Officer plays a critical role in supporting the Membership and Supporter Experience Team by providing administrative support as well as a bit of creative marketing flair. This is the perfect role for someone looking for their first step in recruiting and retaining supporters.

This role involves handling administrative tasks, data management, and providing support for various multi-channel membership campaigns to help the Ramblers grow our supporter base and income.

Key responsibilities
- Support our key marketing projects including gift membership, private site, telemarketing, our annual member survey and renewal journey.
- Support the distribution and creation of promotional resources, regularly checking stock levels, and re-ordering or refreshing materials as needed, liaising with external suppliers such as print or mailing houses and delivering to budgets and deadline.
- Support the creation of e-communications, including emails to prospective members. This may include proofing content, sourcing images, checking data, building emails and reviewing content requests with support from the team.
- Provide regular impact communications and surprise and delight moments to our suppliers and fundraisers acting on our behalf
- Source inspirational stories from our walking groups and volunteers, to help support growth of our membership community.
- Check data from our Data Team and from our suppliers to ensure it is accurate and in the right format. Provide data as needed to suppliers.
- Co-ordinate across teams to ensure data is provided in a timely fashion
- Check data is lasered correctly on printed materials, raising any concerns appropriately with suppliers
- Coordinate call listening for our core calling programmes, liaising with our volunteers and providing summary of feedback to our suppliers.
- Handle inbound enquiries coming into the team, take simple actions from these enquiries, or escalate as appropriate
- Save relevant reports, track performance and report to the Head of Membership and Supporter Experience anything notable
- Send relevant reports and feedback to suppliers
- Update a weekly tracker sheet of performance across all channels
- Provide additional support as required in responding to Facebook comments on our acquisition adverts
