Job description

ISEAL is offering an exciting opportunity for a proactive and well-organised individual to support the ISEAL Innovations Fund.  The role will provide thoughtful administrative, logistics, and communications support, and will offer valuable exposure to ISEAL members’ work and ISEAL’s approach to catalysing global efforts to advance on critical social and economic sustainability issues.

The Coordinator will have a key role in the administration of grants provided through ISEAL´s Innovations Fund, supporting the grant making processes and the review of grantee project progress and learning. The Innovations Fund is ISEAL’s grant-making facility for collaborative projects to enhance the efficiency and effectiveness of sustainability systems.

To be considered for this role, you will be highly organised with great attention to detail and a committed approach to serving customers or stakeholders. With an ability to work efficiently and independently and the initiative to take things forward within an agreed scope, you are comfortable in your communications and interactions with colleagues and external stakeholders. You enjoy working on multiple tasks and activities at the same time, using or developing systems to prioritise tasks.  You will have gained a good level of experience already in roles focused on project administration and communication with customers or stakeholders, ideally in a non-governmental or membership organisation.

The key responsibilities we entrust you with

Innovation Fund administration

  • Provide administrative support for day-to-day operations of the Innovations Fund
  • Implement project processes, including preparing and finalising contracts, coordinating payments, and maintaining project-related systems (e.g., tracking deliverables, activities, and invoices and expenditures)
  • Coordinate project and grantee meeting logistics and agenda preparation; take notes and track and implement follow up actions
  • Monitor grantee compliance with reporting requirements and communication guidelines, reporting issues and coordinating appropriate follow up action
  • Support organisation and delivery of community events

Learning and Communication activities

  • Carry out analysis of grant project data and progress
  • Contribute to monitoring and learning activities, and keep records on appropriate systems
  • Support production of communication products (e.g. project summaries, case-studies)
  • Collect information on grant projects from existing project materials, and support with the implementation of specific activities to extract project learnings and insights in collaboration with other Fund staff
  • Collect/extract data, statistics from Innovation Fund grants and unsuccessful applications to support in identification of key lessons and trends 
  • Upload and keep up to date grant, contact and event participant records on Mondaycom, Salesforce, and other relevant systems 
  • Support the analysis of these and other databases, preparing data summaries, graphs and diagrams with Excel and other tools, and drafting presentations for internal learning and reporting

Experience, Knowledge and Attributes

  • Experience working in a support/administrative role, ideally in an international NGO, professional or membership organisation, or research/knowledge organisation
  • Strong administrative and organisational skills, and experience with project administration, meeting/event organisation, logistics, etc.
  • Skills and interest in information systems, data tracking and/or monitoring and evaluation, with some experience supporting on contact management and information/data tracking and analysis
  • Understanding of what standards systems are and how they help deliver change on sustainability issues
  • Confidence in communications with colleagues, customers and external partners, displaying professionalism & right level of tact and awareness of others
  • Good time management and ability to efficiently organise and deliver multiple tasks simultaneously
  • Able to work independently, including in a remote work environment, and to ask for clarification/direction when needed
  • Collegial and able to thrive in a dynamic work environment while supporting multiple colleagues
  • Excellent written and spoken English
  • Confidence in using IT systems, familiarity with virtual meeting tools (e.g. MS Teams, Zoom, etc), use of databases (e.g. Salesforce) and proficiency in MS Office
  • Desire to contribute to a more sustainable world

Additionally desirable

  • Comfortable in providing support in public speaking situations (e.g. webinars, workshops etc)
  • Experience in grant making or monitoring and evaluation

Other relevant information

Term: This is a permanent contract

Salary: £30,000-£34,500 p.a. depending on experience (full time, 37.5 hours per week)

Location: London is the preferred location. Applicants will need to provide evidence that they are entitled to work in the UK. An ability and willingness to work in a hybrid work environment is required.

International travel: The post holder may be required to undertake occasional international travel
