Purpose

The HR Administrator role is an excellent opportunity for someone with HR or admin experience, who is interested in starting/progressing an HR career and looking to gain experience in a friendly but busy small HR team. The role provides a day-to-day HR admin service to employees and HR admin support to the part time HR team (two HR Business Partners and the Head of People & Development). The HR Administrator will be involved in using an HR and payroll system, ADP, and have an important role in the employee lifecycle processes e.g., DBS checks, recruitment, onboarding, compliance, payroll, appraisals, and have day-to-day responsibility for the HR and Recruitment Outlook mailboxes.

Main Responsibilities

Working in the HR team, reporting to a HR Business Partner, your main responsibilities will cover:

Contribute towards the achievement of CUK and its strategic objectives

• Provide high standards of HR admin support to Citizens UK stakeholders.

• Play an important role in introducing new and improving existing HR processes for a better HR service delivery and employee experience.

• Be proactive in supporting the HR team in various streams of work to achieve the HR Business Plan.

Achieve work targets effectively

• New Starter Onboarding Process: creating documents for HRBP approval (offer letters and contracts), ensuring all starter paperwork is returned, requesting and tracking the return of references, right to work checks, and setting up new starter compliance training.

• Leavers: leading on leaver admin process, ensuring it is completed in timely manner.

• Recruitment: becoming an expert user of Applied, our applicant tracking system.  Advertising jobs (on Applied and external jobsites), arranging interviews and supporting colleagues with recruitment queries.

• Invoicing and Credit Card Reconciliation: processing invoices on Finance system, Kissflow and the monthly credit card reconciliation for HR transactions.  

• Payroll - accurately updating and maintaining ADP, the HR & Payroll database. Uploading documents, running reports. Supporting HRBPs with payroll queries.

• Regularly updating and auditing other HR data to ensure information is up to date (e.g., pensions data, new starter training, wellbeing data).

• Employment checks: maintaining the DBS list and processing DBS checks for existing and new staff.

• SharePoint: maintaining HR Self Service folder, ensuring documents are up to date.

• Appraisals: ensuring appraisal forms are logged and uploaded to ADP.

• Probation: Managing the probation period process

• Minute taking at HR/relevant meetings and sharing with colleagues.

• Supporting the team with ad hoc tasks as required and undertaking any task that may be requested from time to time that may be consistent with the nature and scope of this post.

Develop and manage relationships across the organisation and externally

• Preparing contracts/offer/variation/probation letters for team to approve.

• Ensuring HQ team is informed of joiners/leavers e.g., Facilities, Finance.

Communications

• Day to day responsibility for the HR and Recruitment Outlook inboxes, responding to routine queries and forwarding queries to HR colleagues.

• First point of contact for recruitment queries from candidates, forwarding them to the appropriate HR colleague or hiring panel as necessary.

Knowledge Management

• Understanding, handling, and managing data GDPR compliantly and keeping up to date with new legislation.

Generate income and resources

• Taking responsibility for the careful use and stewardship of Citizens UK’s resources.

• Using admin systems to track income/ resources accurately e.g., HR credit card cost tracker.

Safeguarding, Health & Safety

• Reporting on potential risks as they emerge to the appropriate colleagues in line with existing procedure.

Job Purpose  

To develop and manage your own portfolio of existing trusts, community and individual donors, and research and prioritise new opportunities ensuring high quality stewardship to secure ongoing support. This role will focus on producing high-quality applications and reports to funders and by providing excellent account management and cross-team collaboration.     

Responsibilities  

Trust Fundraising  

• Develop, manage, and maintain a trust fundraising portfolio with a clear, scheduled pipeline of funding applications, coordinating opportunities and team resources to meet targets. 

• Cultivate strong working relationships with current and new trust and foundations, proactively seeking meetings. 

• Collaborate with colleagues to create compelling proposals and reports. 

• Work with monitoring and finance colleagues to inform impact and budgetary needs, ensuring timely reporting to donors in line with their grant conditions.

The roots of today's charity grew from one shop, on Battersea Park Road, opened in 1992. The shop's objective was to raise funds to support the Wandsworth Oasis AIDS Care Centre. Refugee Council – Stewardship and Events Manager

Refugee Council is seeking a Stewardship and Event Manager to lead on excellent stewardship and events at the charity.

Refugee Council is a leading charity supporting refugees and people seeking asylum to rebuild their lives in safety here in the UK.  Providing practical, hands on support, their award winning services include welcoming refugees into local communities across the country, providing specialist children’s services – with a particular focus on refugee children who arrive here alone, helping people to navigate the asylum system, and supporting people to access housing and employment.  Evidence from services is then used to also inform the charity’s leading policy and influencing work, including campaigning for a fairer and kinder refugee protection system.  The charity works with more than 14,000 men, women and children every year.

As a result of growing need and increasing interest in Refugee Council’s work, the charity has ambitious plans to make a leap in impact, with investment in their Philanthropy Team to raise increased funds from key high value audiences.

This role will be a critical part of the Philanthropy & Partnerships management team and represents a brilliant opportunity to support the growth and development of our major donor, trust and statutory and corporate partnerships portfolios.

Working with key stakeholders from across the organisation, the postholder will play a lead role in the development and delivery of an ambitious stewardship and events programme, offering a range of activities to engage and inspire supporters, and ensure that they are connected to, and inspired by, the work of Refugee Council.

The successful candidate will have experience in developing a special events programme to support cultivation and income generation, as well as of developing engaging and relevant donor and prospect communications. They will also have experience of leading on the conceptualisation, planning and delivery of a range of event types, from small, intimate dinners to large receptions and be adept at creating and managing a monitoring and evaluation framework to track activity and apply lessons learned to future activities.  They will also be comfortable working with senior leaders within Refugee Council, as well as corporate leaders, parliamentarians and other influential people, alongside having a sound understanding of the principles and impact of exemplary stewardship and cultivation of supporters and prospects.

Refugee Council will provide the most moving and diverse case for support. Cases that encompass innovative external affairs campaigns aimed at engaging policy makers and the public.

Refugee Council knows that step change takes time and planning, and they have put together a plan for growth that is ambitious but is also realistic and allows time for development and engagement. This plan also includes recruiting prospecting, stewardship, and communications expertise, so that growth is supported, planned and achievable.

The Fundraising teams based in communities across the UK are responsible for raising money, driving legacy sign ups, building event participation and profit and growing awareness and engagement of the need for and impact of the charity’s work amongst supporters and people who have the potential to support Marie Curie.  With all local relationships managed by this role’s teams, the post will ensure that supporters have a connected, seamless experience.

The ideal candidate will have senior leadership experience in a fundraising environment with a successful track record in increasing voluntary income or revenue. They will also have experience in developing both annual operational and three-year strategic plans, developing creative and innovative solutions and digital marketing and in working with working with volunteers and engaging local communities. This will be combined with a proven track record in managing large high-performing, geographically dispersed teams.

World Obesity Federation is seeking a Campaigns and Membership Coordinator to join their team. 

World Obesity Federation (WOF) is a worldwide federation with over 100 members and takes a holistic view of obesity from cause and prevention to treatment. WOF is a lead partner to global agencies on obesity, including WHO, and a member of the Global Obesity Coalition.

This position will lead on member communications and management, as well as the campaign management for World Obesity Day. Main purpose of the role:

The Deputy Service Coordinator splits their time between the office organising rotas, liaising with families, social services, and health care professionals, and providing a minimum of 20 hours a week of direct support, as well as one weekend a month on the rota, depending on the needs of the service. 

The role requires the postholder to take responsibility for being on call between the leadership team. There is an additional payment for on-call duty. 

You will deputise for and support the Service Coordinator in leading and managing a community group comprising of a range of services for people with a learning disability and a team of support assistants. 

The Deputy Service Coordinator supports the Service Coordinator in creating Community and leading the service delivery within the group in line with their values and standards and the requirements of the Care Quality Commission [CQC].

Key essential criteria:

- Openness to work with, and grow in relationship with, people with and without learning disabilities, and get to know their community life.
- Substantial experience of developing and implementing person centred and self-directed support for people with a learning disability.
- An ability to understand the value of faith based service provision and to articulate it to others outside of the organisation.
- Evidence of relevant continuing professional development.
- Practical knowledge of Microsoft Office, in particular Excel. 
- Organisational skills to support the creation and management of service schedules.

The Philanthropy Manager will manage and steward a portfolio of funders and donors – across trusts and foundations, statutory sources and major donors – to secure annual and multi-year gifts in support of Breaking Barriers’ vision. You will have a strong track record of high-value relationship management and fundraising, ideally specialising in Trusts, Statutory, Major Donor fundraising or a related area. We are looking for someone who can successfully secure and steward gifts of 5 figures and above – so evidence of stewarding high-value relationships and high-quality written skills are key. You will collaborate with additional fundraisers across Trusts, Statutory, Corporate and Major Gifts to coordinate approaches and maximise opportunities across all functions.

We welcome applicants with relevant transferable skills from other sectors and other areas of fundraising but a strong knowledge of the fundamentals of grant fundraising is essential. We are looking for a passionate individual who can get people excited about the work we do and who wants to make a difference in the lives of individuals from a refugee background.
