Grants Manager-Ukraine Humanitarian Appeal

Salary: £40, 560 per annum.
Contract status: Full time to December 2025, with the potential to extend
The Ukraine Humanitarian appeal raised £439 million and helped an estimated 6.9 million people in Ukraine and neighbouring countries. The Grants Manager is integral in working closely with DEC colleagues and members to build and sustain, a solid understanding of the evolving humanitarian context. The Grants Manager will maintain strong oversight of the DEC funded programme including the reporting cycle, adaptive programming and facilitate strong and relevant engagement with DEC member charities and local partners and external briefings over the duration of the response.
Key responsibilities:
Communication and Collaboration
- Key programmes point of contact regarding the DEC funded programme, responding to enquiries from member charity programmes and other related staff, facilitating timely and accurate communication.
- Maintain strong understanding of response context.
- Manage and provide timely, response briefings to internal and external audiences, key stakeholders including the Foreign, Commonwealth and Development Office [FCDO] and, other key stakeholders.
Analysis and Reporting
- Review, evaluate, and advise on member charity plans and reports for consistency, trends analysis and coherence of data across submitted documentation.
- Contribute to the review and analysis of plans and reports submitted by member charities in response to DEC appeals.
- Share timely and relevant information and analysis from plans and reports with DEC member charities and local partners.
- Manage external reporting requirements including preparation of stakeholder reports and infographics.
Management and Leadership
- Coordinate the team’s surge capacity to deliver points above, which may involve managing and inducting a team of external consultants and training them in the use of our knowledge management system [Box].
- Coordinate with the Programme Quality, Accountability & Learning team to ensure monitoring, learning and accountability initiatives are timely and appropriate to the response.
- Support with real-time reviews, community perception studies and other related MEAL activities.
If you have recently worked in any of DEC’s 15 member charities, and have demonstratable humanitarian experience of Ukraine, with the competence to prepare timely/accurate reports and deliver credible presentations to diverse audiences, then you will be perfect to join an incredible team and organisation.
We cannot predict the need for a future appeal, but should one occur during the contract for this role, the successful applicant may be asked to stay on for an extended period.

ABOUT THE ROLE
We are looking for a Project Assistant to support INQUEST’s National Lottery Heritage Fund project, Unlocking the INQUEST archive: memorialising death and resistance. This project encourages engagement with the INQUEST archive and memorialises state-related death and resistance through creative outputs including: 12-month consultation, artist’s residency, banner making, small scale events, archival research, film screenings and a podcast series.
Organised, motivated by logistics, system-orientated, able to react efficiently to pressure, change and multitasking, the ideal candidate will possess outstanding communications skills necessary to liaising with a varied audience, including bereaved families and other key project stakeholders. They will be experienced in handling telephone calls, email correspondence, administration systems, and key IT software packages. Working closely with the project manager and project staff, they will support all components of our heritage project, including organising events and travel, liaising with key stakeholders, project social media and general administration. The Senior Programmes Manager: University Access will play a pivotal role in the University Access and Digital team, overseeing and managing the delivery of high-impact interventions, including UK Summer Schools, The Sutton Trust Fulbright US Programme and Teacher Champions, that support young people from underrepresented backgrounds in accessing highly selective universities. The role requires someone with a strong understanding of the barriers faced by young people from disadvantaged backgrounds, and a commitment to supporting them in reaching their potential.
With strong project management skills, key responsibilities include managing the programme partnerships, overseeing the marketing and applications process, monitoring and evaluating the impact of our programmes, continuously refining processes for improvements, and ensuring that the evolving needs of the target demographic are met. The post holder will also be expected to share best practice across the organisation and be a key contributor to the development of the Trust’s strategy for engaging schools, teachers, and students.
Main duties
Ongoing Programme Management
- Leading on the day-to-day project management and delivery of the Trust’s Higher Education access programmes with oversight and support from senior staff, including UK Summer Schools, The Sutton Trust Fulbright US Programme and Teacher Champions.
- Oversee the performance of 12 UK universities delivering the Sutton Trust’s Summer School programmes, the US-UK Fulbright Commission, Causeway Education, and other external partners. This includes:
- Managing partner performance against contractual obligations, including reporting and invoicing.
- Building and maintaining effective and enduring relationships, including the onboarding and training of new partners.
- Establishing a culture of collective learning through planning and delivery of events and best practice sharing.
- Overseeing the monitoring and evaluation of university access programmes in collaboration with external evaluation partners and internal teams; collating data and producing reports, ensuring the effective dissemination of findings and using these to refine programme design.
- Ensuring effective tracking, reporting, and management of programme data for university access. This includes using Salesforce (our CRM) for tracking partner performance, participant data, and programme outcomes.
- Managing programme budgets and reporting on financial status internally.
Programme innovation/development
- Proactively developing strategies to enhance programme delivery, ensuring programmes maintain their quality and reach, with a focus on continuous improvement.
- Managing the development, implementation, and evaluation of special projects designed to evolve and improve university access programmes.
- Development and implementation of the school and teacher engagement strategy to support our programme aims and contributing to trust-wide strategy in this area, with support from senior leadership.
- Helping to develop new programmes, including contributing to the drafting of funding bids by Development colleagues.
Team Management & Organisational Duties
- Line management of the Senior Programmes Officer: Marketing and Communications and the Programmes Assistant: University Access and Digital
- Contributing to the leadership of the University Access and Digital team, working closely with the Head of University Access and Digital and other senior programme managers to ensure effective and coherent management of all access-focused programmes
- Representing the Trust at external speaking engagements, as well as contributing to fundraising and donor-related activities when required

Person Specification
We welcome applications from individuals who have experience in:
- Strong project and stakeholder management skills, with experience in managing partnerships, overseeing programme delivery, and financial control.
- Experience line-managing staff and motivating and supporting teams to deliver successfully
- Proven experience in designing, managing, and delivering high-quality programmes ideally with a focus on young people facing barriers to Higher Education.
- A strong understanding of the widening participation sector and the challenges faced by young people in accessing top-tier universities.
- Experience working with schools, colleges, or universities,
- Demonstrated ability to analyse data to inform decision-making and to use insights to improve programme delivery.
- Experience of working with CRM systems (e.g. Salesforce)
- Excellent communication and interpersonal skills, able to effectively represent the Trust at all levels.
- Strong budget management and numerical skills.

Terms of Appointment

- Working location: Minimum of 2 office days per week
- Office location: The Sutton Trust, 9th Floor, Millbank Tower, 21-24 Millbank, London, SW1P 4QP. Our home working policy gives staff the option to work from home for up to 60% of the time, with approval from their line manager.

The Vacancy
The Programme Officer will work within the Conflict Advisory Unit (CAU). The CAU provides high-quality advisory and technical support to a range of aid actors across the humanitarian, development and peacebuilding sectors, including donor institutions, UN agencies, international and national NGOs, civil society organisations, financial institutions and the private sector to integrate conflict sensitivity principles and practices into their strategies, policies, and programmes. · Reconcile transfers and field expenditure data between UK and New York for all UK grants by end of each month.
· Raise all issues arising from the reconciliations with the Project Finance Lead for quick resolutions with New York and country offices by end of each month so the corrections can be made promptly.
· Ensure each grant is reconciled monthly and added to the main Grants Schedule.
· Prepare grant revenue recognition journals for Project Finance Lead review to ensure completeness and accuracy every month.
· Assist in fund balance reconciliations for all restricted grants and resolution of issues with Project Finance Lead.
· Assist in the reconciliation of UK ledgers with the donor financial reports.
· Work with AMU and IRC, Inc to collate donor financial reports, contracts and amendments for closed grants to ensure that Integra reporting is correct.

This is a fantastic opportunity to join our busy Talking Therapies service (previously known as IAPT), working alongside the Psychological Wellbeing Practitioners (PWPs) as well as supporting clients of the service with enquiries and bookings.
You will be working with the PWPs to set up and maintain effective office systems and procedures to ensure the smooth running of administration for Richmond Talking Therapies. You will be contributing to a well-established service with an excellent reputation.
The successful candidate will have experience in an administrative support role and will bring strong organisational, data handling and IT skills. The role will involve processing sensitive data as well as speaking to clients, so a strong understanding of confidentiality is essential. Therefore, experience of speaking to people with mental health difficulties in a helping role, and good knowledge and experience of safeguarding practices is desirable but not essential.
