*This role sits within a pay grade with a pay range of £24,570 to £31,460. Purpose of Role
The Business Administration Apprentice will play a crucial role in supporting functional teams, including Finance, People, Governance and Communications to deliver our strategy. The Apprentice will undertake a structured training program, combining work-based learning with academic study, to develop essential administrative and organisational skills.
The role will work rotationally across teams, resolving issues as requested. The post involves developing, implementing, maintaining and improving administrative services.

About the role

We are looking for a Giggle Doctor Programme Administrator to join our busy programme team, to support the day-to-day operations of our Giggle Doctor programme for hospitals.

Job Description
Key Tasks and Responsibilities
Administration
· Act as first point of call for artists regarding their visits to hospitals, overseeing sickness, cover and changes to their schedules
· Support artists with hospital administration and contracts
· Keep artists updated with changes in Theodora Children’s Charity’s policies
· Process changes to the Giggle Doctor schedule on our internal systems
· Liaise with hospitals and keep them up to date with information about their programme of Giggle Doctor visits
· Set up meetings with hospitals, artists and Theodora Foundation colleagues as required
· Book long-distance travel and hotels for artists for hospital visits and training events when required
· Support the Finance Manager and Giggle Doctor Programme Manager with collecting and filing timesheets, invoices and receipts for payment
Training and Events
· Support the Giggle Doctor Programme Manager with events, including booking rooms, resources and catering
· Attend training events for Giggle Doctors, setting up and packing down as needed
Impact and Programme Monitoring
· Support the Giggle Doctor Programme Manager with monitoring Trainee and Junior Giggle Doctor’s progress and keeping records of their observation notes

The role
We're looking for an experienced administrator to join our People team.
You will provide administrative support to our Recruitment team and deliver great customer service.
We need someone who is flexible and happy to support the wider People team as required.
You will:
- Manage and respond to emails to the recruitment inbox.
- Sort and distribute the People Teams post at Here East.
- Support hiring managers, applicants, and candidates with recruitment processes.
- Support recruitment administration to the team and line managers, ensuring smooth communication.
- Manage the weekly recruitment panel process, maintain databases and provide regular reporting.
- Assist with DBS applications, Visa, and DBS renewals.
- Support monthly recruitment reporting and statistics.
- Schedule interviews and update roles in our system.

About you
Previous administrative experience is essential, but we're willing to train the right candidate.
You will have:
- Previous administrative work experience in a HR or recruitment team.
- Ability to provide excellent customer service.
- Strong written communication skills.
- Experience using Microsoft Office packages (outlook, excel, word).
- Good organisational and interpersonal skills.

About the role
This is an exciting opportunity to play a key role in the development and delivery of a 3-year train the trainer pilot programme in the chosen pilot locations in England or Scotland.
The pilot will train and equip local health care professionals, health promotion workers and local community workers with the knowledge and resources to promote breast awareness, breast screening and risk reduction messages in their own communities.
Supported by a public health development officer, train the trainer (1 based in England and 1 based in Scotland), who you’ll also line manage, you’ll lead on the development and delivery of the in-person programme, including marketing materials, resource packs and ongoing support for trainees. You’ll also identify opportunities, agree timescales and associated logistics for training delivery within the pilot areas.

We’re looking for someone who is experienced in leading on the development and delivery of insightful and engaging workshops or public health focused projects, to a range of audiences from health or community-based organisations. The right candidate will have a good understanding of health inequalities, the challenges they present to health behaviours and outcomes, and be passionate about addressing these challenges. This is a new role at the DEC and developed as a key part of the DEC’s 2024-2029 strategy. The DEC has a wide range of established relationships with trusts and foundations, many of which give 6- and 7-figure sums to DEC appeals. The Trusts & Foundations Manager will be responsible for providing excellent stewardship to our portfolio of trusts and foundations. In addition, the role will also be responsible for cultivating new relationships for the DEC through thorough research, and through the prospect development cycle, to raise money for DEC appeals. In addition to appeal fundraising, the Trusts & Foundations Manager will be responsible for delivering on a new core cost fundraising strategy, in close partnership with the Head of Philanthropy & Partnerships.
Demonstrable, transferable trusts and foundations experience and knowledge, (preferably within the humanitarian & charity sector), will hold you in good stead for this exciting new role.
Key responsibilities include:
Strategic Development: Develop and manage the trusts and foundations portfolio and create compelling proposals for future appeals and core costs income. Showcase new ideas and innovative approaches for growing and developing a pipeline of new prospects. Develop engaging stewardship plans.
Administrative Compliance: Lead and manage, robust and professional grant management, ensuring systems and processes are fit for purpose, streamlined and accessible. Remain compliant with grant terms and conditions, ensuring you are clearly communicating the unique contours of the DEC model whilst providing comprehensive and inspiring impact reporting.
Relationship Management: Maintain regular contact and collaboration with internal teams to collate a high-quality suite of communication materials and stewardship plans specific to a trust and foundation audience. Proactively reach out and build long-lasting relationships with funders to reach ambitious fundraising targets.
Monitoring and Evaluation: Monitor, measure and evaluate progress against the DEC’s strategic goals and funds raised from trusts and foundations.
