Casework Administrator

We are looking for a Casework Administrator to work as part of the Casework Support Team offering excellent

customer service to stakeholders and cover administrative functions within the organisation.

Position: Casework Administrator

Location: Reading/hybrid

Hours: Full-time, 35 hours (part-time and job share working considered)

Salary: Starting salary of £27,589 (salary progression based on performance within Grade 2 £27,589 – £32,127)

Contract: Permanent

About the Role

The primary focus of the role is to provide casework support. This will include being the point of contact for students and will require the successful applicant to maintain accurate records on the progress of complaints through our review process.

Key responsibilities include:

• Casework administration, including handling emails and telephone enquiries from complainants and educational institutions, determining what response is required and responding where appropriate
• Logging complaints forms
• Conducting an assessment of eligibility of complaints for review and notifying students of the outcome
• Monitoring university compliance with recommendations/requests made
• Handling a variety of incoming and outgoing calls, using good communication and questioning skills, to ensure that the appropriate information is provided
• Dealing with a range of service users in challenging situations and modifying the approach to best suit their needs
• Recording accurate information on our database and spreadsheets

About You

You will have excellent interpersonal and communication skills, including on the telephone.   Customer Service experience including dealing with a volume and variety of telephone enquiries and a general understanding of complaints handling would be beneficial.

You will be comfortable with technology and with the ability to adjust to new and changing IT systems and processes with strong and recent experience of using Microsoft Word, Excel and Outlook.

About The Role

You will develop our data and analytical capabilities, to give us a more in-depth understanding of our visitors and supporters, enabling their supporter journey to maximise income and engagement.

As our Senior Data Executive you will work in partnership with colleagues across WWT to:

• Improve our data warehouse, helping us get the most out of our data
• Ensure we have the data and processes to optimise our visitor and supporter journeys.
• Evaluate the impact of campaigns in the short and long term
• Analyse patterns of giving from members, visitors and other donors
• Create and manage data metrics, dashboards and reporting mechanisms through Power BI

We are a small team so you’ll be able to get involved in a lot of different projects.

This is a fixed term, project funded position for 18 months. The role is based at WWT Slimbridge but is suitable for hybrid working, with a minimum of two days a month in the office.

We are investing in this new position in order to centralise those diverse admin responsibilities, with the Income and Finance Liaison Senior Officer taking full ownership of the associated processes and deliverables, and helping to establish "best practice" to support the Charity in our next growth phase.

The Income and Finance Liaison Senior Officer will contribute to the growth of upReach by working across the Income Generation and Finance teams contributing to a wide range of income and finance related activities. You will support the teams to meet income targets and deliver the 2024-27 strategic plan.

CORE RESPONSIBILITIES

Reporting to the Director of Income Generation and External Engagement you will work closely with the Director of Finance, CEO, Finance and Programmes teams, and colleagues across the income generating and external engagement team;  supporting them to meet financial targets, provide excellent stewardship and to  implement key administrative and financial processes. 

The core responsibilities include: 

Income generation and External Engagement

• Ownership of a range of administrative tasks, including stewarding of donors and partners and support of the Development Board.

• Promptly addressing incoming queries from supporters and partners, including email, telephone and post; assist the team by managing;

  • Departmental email inboxes

  • Prioritising requests and responding where appropriate

• Oversee the management of contracts with partners and funders; generate, issue and follow up in a timely fashion.

• Support the timely production of monthly management reports.

• Play a key role in the complaints procedures for the department and conduct full investigations where needed.

• Work with the team to ensure all relevant data is created and maintained regularly and accurately on the CRM (Customer Relationship Management) database.

• Keep on top of developments, changes in trends and patterns, new techniques and legislation. 

Finance

• Act as the key liaison point between the income generation and finance team.

• Work with Finance to identify and find solutions to bottlenecks in the purchase order, invoicing and payment process.

• Ensure that money coming into the charity can be identified and coded accurately on the CRM database and finance systems.

• Create and maintain accurate records in the finance system, including billing values, timings and dates.

Team Working

• Work with colleagues across the department and organisation.

• Lead and support rotatees (Team members on the Graduate scheme) and volunteers as required.

• Ensure upReach promotes a high performance culture and professional integrity.

• Support the implementation of business improvement and people development initiatives.

• Commit to the annual appraisal process, including deadlines and develop stretching, SMART OKRs (objectives and key results) to meet our strategic goals. 

Other

• Occasional out of office work may be required in order that the organisation is able to deliver on its commitments to its stakeholders

upReach is recruiting for our unique Future  Charity  Leaders  Programme (FCLP). About the FCLP

upReach’s Future Charity Leaders Programme (FCLP) is a graduate programme combining delivery work (supporting our Associates) with exposure to a range of aspects of charity management. 

As a Programme Coordinator on the FCLP you will be delivering personalised employment-focused support to a cohort of approximately 80 Associates, helping transform their lives by equipping  them with the necessary skills to secure a top graduate job. During a typical week, you should expect to be working across a range of projects including 1:1 undergraduate coaching, group workshops, webinars (we refer to them as Video Forums), partnership management (both with university partners or employer partners) and more!

In addition to this, the programme offers the opportunity to develop skills in key areas of charity management by participating in 3 rounds of six-month rotations. After your initial 18 months and the completion of 3 six-month rotations, you will have the opportunity to undertake an apprenticeship to further develop your leadership skills.

Throughout the programme, you will receive dedicated internal training developing your leadership skills building your confidence in the role.

Through our partnership with The Circle Line, you will be part of a supportive peer group, offered regular personal development training workshops online and in-person on their '12 Tools for Life'. You will also be able to choose your own practitioner to support you with 1:1 sessions throughout the programme to help you unlock more of your unique potential.

What will I be doing?

The FCLP is a fast-paced but rewarding role. Programme Coordinators spend 80% of their time (4 days per week) working directly with associates to enhance their career knowledge and skills and 20% (1 day per week) on a charity management rotation (or an apprenticeship after 18-months). No two days are the same, but your responsibilities may include:

• Building and maintaining strong relationships with Associates, helping them to achieve their career goals 

• Developing and delivering professional development-focused support

• Individual and small group work with Associates 

• Assisting Associates with their applications to undergraduate positions and graduate jobs 

• Developing sector and/or employability skill knowledge while building resources to aid all Associates 

• Developing and maintaining strong relationships with university and/or employer partners 

• Delivering informative workshops to enhance sector knowledge and employability skills

• Planning, delivering and reporting on events and workshops with partners

ABOUT THE ROLE 

The Community Education Officer plays an important role in both collaborating with communities to take part in shared learning and disseminating findings to wider audiences throughout the project, informing how it develops and boosting its impact. You will work in partnership with individuals and their communities, under the supervision of the Senior Project Manager as part of the education and advocacy programme. This will include cooperative identification of changes to the food system in Knowsley in the last century, engaging project participants in discussing those changes and raising awareness to wider audiences, supporting the project to achieve its aim of creating a shared understanding and celebrating Knowsley’s heritage and influencing strategies to shape the future of the borough, through sustained, quality engagement. You will support the Community Research Coordinator to capture qualitative and quantitative data that will inform reporting and contribute project monitoring and evaluation, participant outcomes and signposting groups & individuals to project activities with the aim of improving community participation & influence in our work.

The post holder will need to be proactive, working both independently and as part of a team, whilst managing and prioritising a busy workload.

The main strategic aims this role is responsible for:

 

Aim 8: FAIR ACCESS TO GOOD FOOD  

By the end of 2025, low-income communities in the UK will have secure, dignified access to nutritious food with low environmental impact, challenging the supermarket redistribution and food bank model

By the end of 2025, regional, participatory, celebratory food economies anchored in place and community will grow, challenging the corporate food model.

Key Responsibilities 

• Primary responsibility for leading the collaborative learning process with community stakeholders in Knowsley (e.g., community groups, local schools).
• Work with individuals, groups and communities to explore the food and farming heritage of Knowsley, creating a shared understanding of what came before Knowsley’s establishment as a Metropolitan Borough.

This role sits within our Youth Impact Domain, which provides direct services to children young people and families who need support.  Your role will be to help us develop innovative youth practice across Central Bedfordshire.

Our new Director of Finance will play a lead role in developing and implementing financial management and reporting strategies to help meet our financial objectives. 

Reporting to the Chief Operating Officer, your key responsibilities will include;

• Developing strategy, challenging assumptions, and providing financial analysis and guidance on all activities, plans, targets, and business drivers
• Setting, monitoring, and overall delivery of the Finance Department operational plan and targets
• Leading the annual budget-setting process, providing a comprehensive business partnering service to budget holders across the organisation
• Proactively managing cash, banking activities, investments, and funding needs, ensuring that the organisation’s cash flow is accurately forecasted and properly managed
• Leading and managing the production of statutory accounts and reports for all Group companies and other returns
• Supporting and developing high-performing teams and processes

We are looking for an inspirational leader who will drive improvements to create a ‘best in class’ finance function.  You will be able to demonstrate relevant experience of financial strategy, budgeting and forecasting, reporting and compliance, gained within similarly complex organisations. 

You will have exceptional communication skills which will allow you to support and influence the senior leadership team on all financial matters.  You will also have a keen interest in digital technology, being instrumental in the delivery of the digital transformation.
