Title: Senior Administrative Manager

Location: Haywards Heath, with a preference for 1-2 days per week in the office       

Contract: Three-year fixed term contract

Salary: £31,644 to £39,000 per annum

About the role

The primary purpose of the Senior Administrative Manager will be to support the NTD (Neglected Tropical Disease) Department in functioning effectively and efficiently. This role involves coordinating administrative and support systems, procedures, and sub-teams essential for the management of the NTD portfolio.

Background

Sightsavers’ NTD directorate oversees projects funded by various donors to control and eliminate five PC-NTDs: onchocerciasis, lymphatic filariasis, trachoma, schistosomiasis, and soil-transmitted helminths in 28 countries. These projects are executed by country office teams, ministries of health, and partners, with operational and technical support from the NTD Department.

Principal Accountabilities 

• Oversee the creation and renewal of requested consultancy agreements with Human Resources, ensuring appropriate procedures are followed and records are kept updated.
• Manage the contractual organisation of the team of internationally located technical consultants and work with the relevant Global Disease Advisor to coordinate all aspects of support missions undertaken by the them 
• Ensure professional meeting support for all external NTD meetings with donors and international partners as requested by the NTD SMT.  This includes logistics, room bookings, agendas, slides, recording, virtual participation where required and minute documentation and distribution. 

• Assemble information as required for presentations, communications and reports, and manage internal document storage systems (Microsoft SharePoint and Teams). 

• Support the Grant Directors and IFT to compile key donor milestone reports and ensure a fully functional and accessible external ShareFile system for key donor groups where required

• Support communications both within the NTD Department team and with external stakeholders through dissemination of newsletters and maintaining contact lists. 

• Using all members of the admin team, coordinate the support for all regular internal PDU calls (recurring invites, agenda sharing and minute taking).

• Provide travel support to the SMT and Grant Directors where requested. 

• Manage/supervise NTD Dept Coordinator

• Undertake additional ad-hoc administrative duties as required.

About you

About the role

This is an exciting opportunity to play a key role in the development and delivery of a 3-year train the trainer pilot programme in the chosen pilot locations in England or Scotland.

The pilot will train and equip local health care professionals, health promotion workers and local community workers with the knowledge and resources to promote breast awareness, breast screening and risk reduction messages in their own communities.

Supported by a public health development officer, train the trainer (1 based in England and 1 based in Scotland), who you’ll also line manage, you’ll lead on the development and delivery of the in-person programme, including marketing materials, resource packs and ongoing support for trainees. You’ll also identify opportunities, agree timescales and associated logistics for training delivery within the pilot areas.

We’re looking for someone who is experienced in leading on the development and delivery of insightful and engaging workshops or public health focused projects, to a range of audiences from health or community-based organisations. The right candidate will have a good understanding of health inequalities, the challenges they present to health behaviours and outcomes, and be passionate about addressing these challenges. This role comes at an exciting time with the opportunity to lead the growth of MQ’s Development Team as we expand our capacity across all these areas of income generation. MQ currently has at least one role under each area and there is desire, supported by the board of trustees, for further recruitment to strengthen each as needed.

Here's a summary of your key responsibilities:

• Provide inspirational leadership to the MQ Development Team, managing the current team of five to deliver our £3m 2025 budget

About you:

This role is for you, if you have fundraising experience with grants and foundations as well as corporate fundraising and/or new business acquisition experience. This means you will have experience in stewarding and securing new gifts from foundations as well as researching new opportunities to apply for funds.

You will also be skilled in understanding and translating complex information and turning it in to compelling written proposals, for grants, corporate partnerships and major donors.

You will be driven to ensure that projects are delivered to the highest possible standards and be a sophisticated communicator with the confidence to build relationships with and inspire colleagues and donors.

We do require someone who is proactive, hardworking and results-focused.

Experience of Blackbaud’s Raiser’s Edge/NXT is desirable but not essential.

The Role:

We have a newly created opportunity for a Head of Income Generation to join ELF as a senior leader within our charity. The Person:

The successful candidate will have substantial experience of working in a fundraising position and driving an income-generation strategy. You will have demonstrable success in securing gifts from a range of donors and in building excellent relationships, with colleagues, donors and beneficiaries. You’ll come with substantial experience in applying for grants from a range of sources and in securing legacy pledges.

The ideal candidate will have a proven knowledge of fundraising principles and of the Fundraising Regulator and Charity Commission guidelines. You’ll be experienced in using fundraising databases and data segmentation to identify and develop prospect lists. Exceptional attention to detail and a good working knowledge of GDPR and data protection principles are required.

As our Head of Income Generation, you will be highly motivated with the ability to find pragmatic solutions, seek improvements and adapt to changing situations. You’ll share ELF’s passion in supporting cancer patients and their families.

Experience working in a medical charity would be desirable, but we will consider candidates from a variety of charitable backgrounds. Team leadership experience would be beneficial. A fundraising qualification would be useful, although not essential.

This role can is offered on either a full-time or part-time basis. We can be flexible with how the hours sit across the week to fit in with your schedule, however we do ask that the role holder works during core hours and has some flexibility to occasionally attend events and fundraisers outside of working hours. This is a hybrid position with a minimum of two days per week based in the Marsh Barton office.

Our Intelligence Team research and produce our Exploitation Analytics service – a suite of reports containing actionable insight that our clients utilise to find potential bad actors operating within their transaction monitoring systems. The Head of Programmes is a critical role for the organisation, responsible for ensuring DEC funded programmes meet programmatic standards, are fully traceable, routinely monitored and comply with organisational procedures and institutional donors’ requirements. In addition, the Head of Programmes is also appointed as the Serious Incident Reporting (SIR) Officer, serving as the first point of contact for member agencies to report incidents regarding safeguarding, financial misconduct and reputational risk.

Externally, the Head of Programmes liaises with the Foreign, Commonwealth and Development Office Senior Response Officers, UN OCHA, Charity Commission, Emergency Appeals Alliance, Member Agencies including Humanitarian Directors and in-country colleagues.

Key responsibilities:

Communication and Collaboration

• Key point of contact with member colleagues regarding programmes finance, adaptive programming and DEC compliance, facilitating timely and accurate communication.
• Contribute to DEC functional and advisory groups, Board sub-committee meetings and Board meetings including participation in Humanitarian Directors meetings.
• As a key point of contact with FCDO SROs, develop and maintain a positive and collaborative relationship, and ensure timely delivery of all UK Aid Match MOU obligations.
• Strengthen and maintain colleagues understanding of DEC’s ways of working both internally and externally (DEC HQ members, in-country colleagues and local partners and key stakeholders).

Analysis and Reporting

• Provide oversight to the review and analysis of member charity appeal budget plans and financial reports with a focus on compliance with DEC policies and good practice guidelines to assess unusual variances and value for money considerations.
• Deliver and contribute to timely and high-quality infographics, reports and briefings for key stakeholders and institutional donors including Board of Trustees, FCDO and BBC.
• Manage & maintain investment in public transparency and demonstrate DEC’s contribution to the humanitarian sector, including reporting to IATI and UN OCHA Financial Tracking Service (FTS).
• Continuously develop, improve and manage DEC’s Knowledge Information Management systems (KIM), as user-friendly collaborating platforms that enhance learning and enable data analysis, visualisation and high-quality reporting.
• Collect, analyse and present accurate and timely data to help inform a rapid assessment of appeal Criteria 2 for both rapid onset and evolving protracted crises and contribute to the development of the Case for Appeal.

 Management and Leadership

• Holistic and flexible approach to any given scenario/context, whilst ensuring a robust process is followed, recorded and documented.
• Deputise for the Director of Humanitarian Programmes and Accountabilit
• Effectively line manage and provide leadership to Grant Managers and Programme Officers, contributing to the high performance of the Programmes & Accountability team.
• Manage the Appeal Surge Roster (external consultants) including overseeing recruitment and necessary training.
• As Serious Incident Reporting Officer, manage processes and support with onward reporting to key stakeholders including FCDO and Charity Commission.
• Manage service providers as required.

RJ4All is looking for an innovative UK Operations Director who will drive impactful social justice projects and community initiatives while fostering strategic growth and income generation. You will oversee our dynamic UK-based operations out of the Rotherhithe Community Centre, work closely with the Director, and lead our Centre-based team. 

Restorative Justice for All (RJ4All) is a charitable, user-led international institute with expertise in preventing and addressing harm at the individual, community and inter-state levels. We are one of the world’s leading experts in transferring complex criminological and social justice concepts into practice through real-life pilots and community projects. 

The UK Operations Director will lead on the delivery, coordination, monitoring and evaluation of RJ4All’s UK-based services, and especially those run from the RJ4All Rotherhithe Community Centre. It is expected that they will generate income for the UK operations and contribute to new ideas for UK-based projects that fall within RJ4All’s agreed strategy. Finally, the post holder will act in place of the Director when they are unavailable or for any other agreed reason.

This post requires leadership and strong ethical commitment to RJ4All’s core values and vision, independence balanced against organisational priorities and focus. Key Tasks 

• Lead on the management of RJ4All’s UK Operations especially those run from the Rotherhithe Community Centre, ensuring its facilities meet government regulations and environmental, health and security standards.

• To lead on drafting applications for funding from government, trusts and foundations, donors and sponsors for UK programmes and services. 

• To lead on managing and delivering of all services running out of the Community Centre including the RJ4All Sports branch, Community Gym, YouthClubs+, Foodbank, and Community Library 

• To lead on creating and monitoring the UK Operations’ Theory of Change on annual basis, and review it against available data and individual projects’ Theory of Change. 

Qualifications 

Essential 

• Bachelor's Degree in Social Sciences or related

• Minimum of 3-5 years’ experience working in a relevant field such as equalities or crime prevention 

• Experience in non-profit, CIC, or small business environment

• Experience in managing paid and volunteering personnel

• Demonstrated experience in fundraising 

• Experience in writing and monitoring budgets 

• Strong written and verbal communication, including the ability to contribute to decision-making and planning 

• Willingness to learn and develop as a leader, inspire others and self, motivate and set own priorities

JOB PURPOSE

The Grant Management and Finance Advisor role is based in the Finance Team and works closely with the Resource Mobilisation and Programme teams. The role contributes to the effectiveness and impact of our work by supporting the sound financial, grant management, and administrative practices across Start Network. The post holder will ensure that the financial and administrative systems and procedures for the programmes and budgets are of high quality and compliant with donor and legal requirements.

JOB PURPOSE

This role is based in the Finance Team and works closely with the Resource Mobilisation and Programme teams. The role contributes to the effectiveness and impact of our work by supporting the sound financial, grant management, and administrative practices across Start Network. The post holder will ensure that the financial and administrative systems and procedures for the programmes and budgets are of high quality and compliant with donor and legal requirements.

KEY ACCOUNTABILITIES

GRANT MANAGEMENT & REPORTING

The role will be responsible for the end-to-end grant management cycle for a number of large and / or complex grants from institutional and corporate funders. This includes the following accountabilities:

• Work with fundraising and programme teams to manage the smooth running of donor preliminary assessments, start up and close out processes

• Support grant monitoring calls working with Programmes, Resources Mobilisation and Operations functions.

• Support the development of specific subaward grant processes where appropriate. Manage sub-grants to member and non-member organisations from contracting to reporting, recording, compliance, and managing financial risk as appropriate.

• Manage donor financial reporting, set up systems and process to ensure reporting is compliant, timely and accurate.

• Compile donor financial reports and payment requests ensuring accuracy with Start Network financial systems and work with finance team to develop a consistent process for reconciliation of donor financial reports.

• Support in advising Resource Mobilisation, Finance, Programmes, and Operations teams on best practices in grant management processes as required.

• Review and provide advice on donor agreements to ensure feasibility from an operations perspective.

  GRANT ADMINISTRATION AND TRAINING

• Support on grant tracking processes, establishing and managing a grant management tracker and calendar. Work closely with the resource mobilisation team to maintain trackers and to communicate key dates.

• Support for financial reporting and grant management training for Start Network peers and members.

  FINANCIAL AND BUDGET MANAGEMENT

• Manage complex grant budgets, ensuring all stakeholders are accurately informed and  grants are drawn down appropriately

• Support on the development of grant management procedures

• Develop processes to ensure smooth payment to grantees. Work with the Finance team to support implementation of these processes.

• Support preparation of team specific and project budgets as required for presentation to prospective donors and or governance committees

• Support on development of grant specific management reports to inform financial decision making.

• Meet regularly with budget holders for financial monitoring of grants, to advise on and take decisions on reallocation of funds where required.

• Monitor income and fund transfers from donors and where relevant- grant custodians.

• Work with the resource mobilisation teams to support donor-related internal and external audit requirements

• Working with the finance team, support on development of processes to ensure consistency of  grant financial management (ICR, FX rates, salary postings)

• Support  on monitoring of financial risk related to exposure on sub-grant agreements. Support with preparation of policies and papers to be presented to the FAC and R&C committees.

• Support and advise from a grant management perspective on wider finance team initiatives.

PERSON PROFILE

QUALIFICATIONS, EXPERIENCE AND TECHNICAL SKILLS

• Working knowledge of institutional and international donors, grant management, compliance and audit processes

• Proven ability to develop and manage complex budgets, and to draft high quality financial reports for colleagues and donors

• Knowledge of and ability to work with financial systems, and experience of setting up and implementing administrative and financial processes

• Demonstrable experience of managing multiple deadlines requiring attention to detail.

• Experience of capacity building of colleagues and or partner organisations

• Experience of building relationships across diverse teams and geographies

• Excellent communication skills in English; ability to communicate complex technical issues information to a range of audiences

Youth Action Wiltshire (YAW) is the youth arm of the award-winning charity Community First. We are looking for someone to manage the suite of YAW services, including Young Carers services, Splash, employability work, Youth Clubs Support and young people’s mental health programmes including BeMindful. You will oversee operations, plan, develop and implement a strategy for operational growth and development across Youth Action Wiltshire services. As part of the Community First Leadership team you will also contribute to the strategic development of Community First to meet the charity’s objectives and Business Plan.

You will have relevant experience of successfully managing high quality youth support services, experience of motivating and supervising staff and volunteers. A successful track record of fundraising, service development and delivery, budget management and report writing. We are looking for someone who is creative, flexible and able to relate to and inspire young people, staff, partners and funders.

The role will include some evening, weekend and school/college holiday working.
