We are looking for a new team member to provide full administrative and programme support to the Employment & Careers team. The role will involve supporting the team in the day to day running of the service including the preparation of contract documentation (such as registration forms, as well as specified supporting evidence: ID proofs, Proofs of Address etc.) for submission to funding partners, uploading data spreadsheets and CMS systems, and supporting the team with promotion, outreach and engagement of our services. This includes conducting follow-ups and answering queries (by phone, email and in person) from both current and prospective participants on the programmes being delivered by High Trees. They will also be responsible for the preparation of finance related performance evidence for monthly/quarterly submission.
The successful applicant will have experience of providing efficient administrative support, be very organised and able to work to deadlines while maintaining a high level of attention to detail. Must also be flexible and excited about being at the heart of a small but fast paced team which is committed to providing an excellent service to High Trees’ users.

The role
As an Operations Manager, you will be responsible for;
- Leading front lone homelessness services supporting vulnerable women and young parents ensuring they work in line with strategy, resources and procedures to operate effectively and in line with agreed polices and plans.

Scope of the Job
The Finance Officer at Alfanar will play a crucial role in delivering an effective and efficient finance function across the organization's group structure. Reporting to the Head of Finance, the Finance Officer will be supporting various financial tasks, including budgeting, forecasting, financial reporting, cash and reserves management, accounting processes, and financial risk mitigation. The role requires a focus on continuous improvement, problem-solving, and development to ensure high-performance standards and exceptional finance services for Alfanar's teams.
Reports to: Head of Finance
Main Responsibilities
· Manage all receivables and payables following agreed processes and ensure timely payment.
· Prepare monthly payroll and set up salary payments
· Reconcile bank accounts on a monthly basis
· Producing Monthly Management Accounts with the help of the finance system and Excel templates.
· Review donor reports prepared by the country office for accuracy and cost allocation
· Claim gift aid on a regular basis
· Support organisation budget and proposal budget process.
· Support organisational audit process.
· Any other duties as agreed by the Head of Finance.
Financial accounting
· Be an integral part of ensuring effective and efficient financial control environment across Alfanar’s group structure
· Operate key financial controls including balance sheet schedules, intercompany and income reconciliations
· Support the continuing develop of effective financial management procedures, increasing automation and efficiency
· Ensure accurate and complete records for restricted funds
· Active involvement in payroll to ensure an accurate and up to date payroll
· Manage the payments process using Xero financial software ,review and set up payments at the bank
· Support Head of Finance in developing and implementing Finance processes across the Alfanar group.
· Ensure Alfanar is up to date and compliant with its statutory duties relating to Payroll, Pensions, VAT , Corporation Tax and other statutory submissions.
Reporting
● Support Head of Finance with the preparation of annual accounts in line with financial reporting standards, including consolidation of future group entities, ready for Audit.
● Support Head of Finance during organisation’s external audit
● Liaise with external accountants, including on all filing requirements
● Prepare financial information for the trustees annual report and liaise with the communications function on presentation
Financial management reporting and finance business partnering
● Support budgeting and reforecasting process led by Head of Finance. Ensure relevant team members receive guidance notes and documentation in relation to the budget and forecast processes and templates
● Manage the month end close procedure, including preparing journals to record the required accruals and fund transfers
● Prepare, review and analyse management accounts, seek variance explanations, prepare commentary and summaries based on budget holder responses, and ensure management understand any required actions.
● Continue to develop monthly management reports and budget Vs actual reports for budget holders.
● Work with the fundraising team to ensure that income data flows are documented, and finance and fundraising metrics are clearly defined and accurately calculated and reported
Tax, cash, risk and reserves management and group operations
● Working with the Head of Finance, manage, review and improve Alfanar’s (online) banking arrangements and relationships, across the group structure
● Prepare monthly cash flow forecasts and requirements and ensure appropriate cash management and transfers across the group structure.
● Should it be required, support with Alfanar’s registration for VAT, set up and operate the required changes to the accounting systems, and prepare and file VAT returns, including other entities within the VAT group
Qualifications & Experience
Essential
● Experience of supporting in accounting, payments, transaction processing, financial reporting, tax, and cash management with international operations ideally in a growing group.
● Experience of automating financial processes and developing reporting functionality from accounting systems
● Knowledge and experience of using Xero or other cloud-based accounting software.
● Experience of providing financial management support/business partnering to managers/budget holders, who may not have a financial background.
● Qualified affiliate accountant or working towards a qualification (UK ACA, CIMA, ACCA ,AAT or equivalent)
● Knowledge of data protection legislation, risk management and other governance regulations including confidentiality.
Desired
● Bachelor or Master's degree in accounting or finance.
● Experience in Finance Function in a not-for-profit setting, whether gained in a paid or voluntary capacity

RESPONSIBILITIES
People (HR)
- Manage and maintain HR policies, procedures and practices including the employee handbook, ensuring they are up to date, recorded, filed and adhered to (i.e. personnel contracts, DBS, volunteers, holidays, sick leave)
- Develop and implement new systems, policies and processes that support anti-oppression, care and inclusion.
- Ensure that Wen is compliant, abiding by relevant legislation (including GDPR) and arrange training for staff as needed
- Oversee recruitment, onboarding, staff development and all other people processes
- Ensure appropriate support and supervision is in place for all staff, including overseeing training for all staff
- Promote improvements in internal communication, ensuring staff, volunteers and interns are informed of organisational developments and have opportunities to give feedback that will help shape our ways of working for the better.
- Oversee the co-ordination of all-staff events, meetings, socials and team building.
- Monitor and evaluate staff wellbeing, taking steps to address as needed.
- Ensure appropriate and compliant documentation and record maintenance for all HR processes across the organisation including absence management.

Places (Office management and IT)
- Ensure smooth running of Wen’s main office to ensure it provides a welcoming, efficient and safe space to work in, ensuring health and safety procedures are implemented and maintained with help from the Operations Assistant.
- Utilise the Core Operations budget with help from the Operations Assistant to ensure Wen is maintaining photocopier, stationary supplies, liaising with our landlord about rent, maintaining phones, health and safety, fire procedures, utilities, rates and insurance.
- Oversee the IT Coordinator to ensure licenses are up to date, IT issues are solved promptly and IT developments and changes across our two sites and hybrid team are tracked
Finance
- Work with Finance Manager and Head of Organisational Development to establish strong financial processes and policies and ensure staff are aware of the relevant ones
- Liaising with our Finance Manager on day-to-day accounting as and when necessary
- Managing the Core Operations budget including approval of expenditure (as a signatory) and cashflow preparation for the coming financial year
- Checking and collation of monthly payroll information
People Support
- Managing the Operations Assistant and IT Co-ordinator.
- Supporting volunteers as required and oversee managing our volunteer database.
- Supporting Wen team with HR and other Operations-related matters.
Along with any other reasonable tasks and duties deemed relevant to the role.

To support the Programme Finance Manager in running efficient and effective programme financial accounting, programme financial management and programme financial reporting processes in relation to AKF (UK)’s programmes and grants. To provide support to the full life cycle of grants: from donor concept notes/proposals to final reports. To maintain a close working relationship with AKF (UK) finance and programme teams and relevant staff from across the Aga Khan Development Network (AKDN) agencies and external donors as required.
Programme financial planning, management and reporting
In close consultation with the programmes/partnerships team:
• Support the design and implementation of effective quality controls to ensure compliance with donor requirements and to maintain appropriate donor stewardship, including through manuals, checklists, templates, and other tools
• Monitor spending and activity implementation and ensure regular scheduling of grants management meetings, alerting the Programme Finance Manager and Programmes/Partnerships team about significant under or overspend on a timely basis
• Maintain internal tools that track active grants, cost recoveries and cash balances and ensure they are kept up-to date
• Maintain internal tools tracking pipeline and secured funding (Awards Information Management System -AIMS) and ensure they are kept up-to-date
• Prepare financial information for internal reporting purposes, including (but not limited to) the quarterly CEO report, monthly dashboard and quarterly cash balances (co-finance) report.
Grants management and compliance
• Maintain the grants management tracker so that grants are properly recorded and monitored, ensuring that input from the Programmes/Partnerships team and the Programme Finance Manager are incorporated on a timely basis
• Undertake administrative tasks related to grants, including setting up of grant codes (pipeline and secured), collecting and forwarding information to different units and executing follow up tasks as required
• Review budgets for concepts/proposals, ensuring the inclusion of AKF(UK) costs, make recommendations for improvements and liaise with the programme/partnerships team and field units to ensure these are complete, accurate, consistent with the narrative, compliant with donor requirements, and correctly formatted for presentation to donors
• Support the preparation, review and submission process for donor financial (and narrative as relevant, e.g. ECHO) reports to ensure compliance with donor requirements; ensure reports are produced on time to a high standard and are consistent with the narrative
• Ensure timely submission of cash requests as required by donor contracts and internal sub-grant agreements
• Prepare donor and internal sub-grant agreements with AKDN agencies, field units, and implementing partners, including (but not limited to) those with co-financing
• Ensure that donor and AKDN rules are being adhered to regarding procurement, accounting, project expenditure, and implementation of activities through regular reporting, engagement with the field, and remote spot checks
• Carry out monitoring visits and audits on specific projects as necessary
• Assist in the preparation, support, and follow up of internal or external grant audits and expenditure verifications of AKDN field units, including direct liaison with auditors as required, and ensure that management (programmes and finance) is apprised, including through maintaining and updating the audit and disallowance summary
• Develop and deliver relevant training and reference material on grants management, including procurement, donor regulations, IATI, finance and reporting for Programme, Finance, and other field-based staff; act as a resource for agencies/field units on donor regulations and compliance
• Ensure all AKF (UK) direct grants are reflected on the IATI system, and update the required information on a quarterly basis
Audit, internal controls and risk
• Contribute on programme finance to all audits and statutory compliance in line with UK and AKF/AKDN regulations and compliance requirements
• In collaboration with field units, prepare due diligence assessments for potential new partners or donors and ensure these are refreshed periodically
• Troubleshoot financial, donor compliance and procurement-related queries identified through monitoring grants or as raised by management or field units
Carry out any other duties as assigned by the Programme Finance Manager or the Head of Finance and Operations. The role will involve travel to countries in which we operate grants. Normally this could be 2 – 3 trips per year.
Qualifications
• CCAB qualified accountant (desirable).
Experience
• 3 years relevant experience in financial accounting and financial reporting

The Head of Finance is a new role which supports the growth of the global finance team in line with the rapid organisational growth and spread internationally. The key duties of this Head of Finance are as follows:
- Prepare annual global organisation budgets by entity, business unit and project.
- Prepare multi-year forecasts and financial plans built on known and likely projects, activities, expected growth and blue-sky scenarios.
- Prepare regular financial performance reports for the Executive Committee and Board.
- Have critical oversight of the global results consolidation.
- Lead the Global Finance team with 3 direct reports and outsourced local relationships for each office jurisdiction.

The role

MLMC is now looking for a part-time Finance and Administration Officer. The successful applicant will manage MLMC’s day-to-day finances providing financial information to the Charity Coordinator and other staff as needed. Additional duties include administration/governance support to the Charity Coordinator and to manage the day to day running of the office (this does not involve any people management). This role calls for an individual with accounts and/or book keeping experience, the ability to run an end to end payroll using a computerised system including HMRC and year end reporting, and excellent administration skills. It is crucial that you will be able to communicate politely, professionally, effectively and clearly with all stakeholders (e.g. fellow staff, customers etc.).
All of the charity’s roles require individuals who show a passion for empowering, working with, and raising the voices of people with learning disabilities.
We need a self-starter who enjoys a challenge, can hit the ground running and is able to work with minimal supervision.

The Ukraine Humanitarian appeal raised £426 million and helped an estimated 6.9 million people in Ukraine and neighbouring countries. The Grants Manager is integral in working closely with DEC colleagues and members to build and sustain, a solid understanding of the evolving humanitarian context. The Grants Manager will maintain strong oversight of the DEC funded programme including the reporting cycle, adaptive programming and facilitate strong and relevant engagement with DEC member charities and local partners and external briefings over the duration of the response.
Key responsibilities:
Communication and Collaboration
· Key programmes point of contact regarding the DEC funded programme, responding to enquiries from member charity programmes and other related staff, facilitating timely and accurate communication.

· Coordinate the team’s surge capacity to deliver points above, which may involve managing and inducting a team of external consultants and training them in the use of our knowledge management system [Box].
· Coordinate with the Programme Quality, Accountability & Learning team to ensure monitoring, learning and accountability initiatives are timely and appropriate to the response.
· Support with real-time reviews, community perception studies and other related MEAL activities.

The Role
As a key member of the Institute’s growing nature team, you will be working specifically international nature markets. You will be working on a funded project of work, to support COP15 signatories to understand and implement models and markets that unlock private sector capital into nature restoration and conservation and help them meet their Target 19 commitments. This role will be part of a three-person team within the broader nature team.
You will gain exposure to a range of stakeholders including policy makers, project developers and the private sector across multiple countries. Your responsibilities will include organising stakeholder convening, undertaking research and analysis, developing content, and managing sub-projects autonomously.
Collaboration with industry, government, civil society and academia internationally is a key element of this role and we are looking for team members who will thrive in a dynamic environment where creative thinking, communication and time management skills are essential.

This is an exciting role for someone who has already gained relevant experience within the international development and/or environmental or sustainable finance sectors, looking to continue a career in the emerging area of nature-based investing and natural capital.
The Institute’s nature team is in growth mode and as such this role would suit a versatile project manager who is focused on timely delivery. You are expected to have some stakeholder management skills and strong research and writing skills.
You will be expected to grow your project management and stakeholder management skills and be confident in taking initiatives to manage relationships with potential and existing partners. Ability to co-ordinate multiple projects will be important, and you must be comfortable working in a flexible way. You will grow your expertise in selected areas regarding the content and structure of nature-based revenue models. You will manage one junior role with possibly short-term consultants to oversee from time to time.
