Community Fundraising Volunteer Roles

We’re looking for a motivated finance professional to provide financial direction to our local advice charity and help us improve our long-term financial sustainability. If you’re excited to help us grow and strengthen our resilience so that we meet the advice needs of the diverse communities we serve, we would love to hear from you.

The Treasurer is an officer of the Trustee Board and not a paid member of staff.  The purpose of the role is to ensure that the charity’s finances and supporting financial control systems are robust and comply with relevant regulations.

The role works closely with the Chair of the Trustee Board, the Chief Executive and the volunteer Financial Accountant.

The Treasurer is responsible for chairing the Finance sub-committee, including preparing the agenda and arranging for the production of the minutes of each quarterly meeting,

Treasurer main duties and responsibilities

Financial accounts

· Every quarter, review entries on Xero made by volunteer Financial Accountant (

· Review quarterly management accounts prepared by volunteer Financial Accountant before submitting report to the Trustee Board

· Ensure that year-end accounts are prepared to in compliance with SORP (Statement of Recommended Practice) Accounting for Charities and submitted by the deadline to Charity Commission and Companies House, and make arrangements for them to be independently examined as required

Budgets and planning

· Prepare annual budget and obtain Trustee Board sign off each March

· Review and update forecast of annual outturn

Financial control and compliance

· Comply with the charity’s financial policies and procedures

·Liaise with the CEO to prepare costings for any funding bid applications

· Ensure capital expenditure authorisations and limits are followed, and prepare expenditure justifications where appropriate

· Ensure that money received is spend only on the purposes for which it was given and ensure that reports and accounts demonstrating this are submitted to funders

· Submit regular financial reports to national Citizens Advice as required, and meet all financial obligations of the Citizens Advice Membership scheme

Relationship with Trustee Board

· Provide financial advice as required to the Chair and Trustee Board

· Explain, guide and advise the Board on the key assumptions and financial implications of the budget, operational and strategic plans

· Keep the Board informed about its financial duties and responsibilities

· Ensure that all Board members have a clear understanding of the accounts presented at meetings

· Ensure that the organisation has an appropriate reserves policy and a realistic budget that meets the service’s needs

· Provide input to the risk register process

· Present accounts at the Annual General Meeting in an accessible way

· Chair the Finance sub-committee, preparing the agenda and arranging for the production of the minutes for each quarterly meeting

Treasury

· Act as key contact on the charity’s bank accounts

· Transfer money between savings bank accounts to optimise interest income

· Maximise the interest on savings by comparing available interest rates

· Review investments (in conjunction with other trustees)

· Review and update cheque signatory and electronic payment authorisation

· Authorise salaries and PAYE payments to HMRC

 

Other (annual)

· Review reserves policy

· Prepare salary review (in conjunction with Personnel Committee)

· Review office insurance policy

· Review Gift Aid claim prepared by volunteer Financial Accountant

Global's Make Some Noise is the in-house grant-making charity of Global, the Media and Entertainment group. We harness the assets of Global to raise funds, awareness and skills for small charities supporting the people who need it most in their communities. 
We have proudly raised over £34 million for more than 400 UK charities since our launch in 2014. Last year we funded crucial work at 59 charities across the country, granting over £2.5m. The Role

What are the trustee time commitments?

The Board currently meets eight times each year with a mix of formal business meetings and seminars/workshops. While it is difficult to quantify the exact time commitments required, the annual requirements for a Board Member is 12 days per year. There are also potentially up to two away events each year to enable the Board to have strategic discussions outside of the formal board business and all Trustees are expected to attend.

Pecan is seeking an accountant and Christian to join the Board of Trustees as Treasurer and Chair of the Finance committee. See person spec.

Pecan is a community development charity based in Peckham. We work with the local community to help people find a way through seemingly impossible barriers to a better future.

Over the past 30 years, we’ve seen thousands of clients flourish through our programs, including: ex-offenders and their families, refugees and asylum seekers, young people and the long-term unemployed. We see our service users as people who need supporting – not problems which need solving.

We advocate for those we work with, challenging inequality and injustice at a local and national level to provide hope and belief in a better a future for our community.

Board meetings are held on 10-12 occasions annually on a weeknight at 6.30pm.

Meetings of the Finance committee are held quarterly at a time agreed between trustees and management.

 

The Treasurer, along with the other finance committee members and senior management, guides the financial and business matters of the charity in line with good practice and in accordance with our governing documents and legal obligations. There are no executive responsibilities within Pecan and the Treasurer will not be an employee.

Main responsibilities and duties - in addition to the general responsibilities of a Trustee and undertaken with other members of the Finance sub-committee

 - To scrutinise and recommend budgets, accounts, financial policies, management accounts and financial statements to the board of Trustees after discussions with the Chief Executive, other senior staff, and other members of the Finance Committee, where applicable.

- To ensure that proper accounts and records are kept, ensuring financial resources are spent and invested in line with the charity’s policies, good governance mechanisms, and legal and regulatory requirements

- To ensure that Pecan has appropriate reserves and investment policies.

- Liaising where applicable with appropriate members of the core management team responsible for the financial and operational activities of the charity.

- Attending and contributing to the work of finance committee in line with its terms of reference and reporting back to the board of Trustees verbally and in writing.

- Liaising with the charity’s auditors where appropriate and monitoring and advising on the financial viability of the charity.

- Ensuring that specific financial and organisational controls and systems are in place and adhered to.

- Advising on the financial implications of the charity’s strategic plans.

- Ensuring that sound financial management of the charity’s resources is maintained and that expenditure and investment are in line with the charity’s objects.

- Reviewing the financial aspects of the charity’s risk register.

The two residential centres offer a place for people to be real together through the lived experience of inclusive community.By providing retreats, workshops and a range of other events for groups, individuals and families Othona deepens peoples’ spiritual awareness. We have a talented board of trustees with skills, vision & faith.  We have good governance, robust policies & committed resident staff who run the centres.  Each centre has a local management committee.  We meet a minimum 4 times a year.  Our assets exceed £4 million & the Company made a surplus of £36,600 last year. The Trust's deficit was £20,000.

What are we looking for?

The Chair is a trustee of the Othona Community Trust and a Director of the Othona Community Company and both organisations enjoy working together as a team on behalf of the whole Community to operate the two centres.  As chair you will be leading a board of Trustees (some of whom are Link Trustees for the centres). 

Alongside your understanding and acceptance of the legal duties, responsibilities and liabilities of trusteeship, and commitment to voluntary public service you must be willing to uphold Othona’s inclusive Christian ethos; to think strategically and creatively; and lead the trustees forward, contributing your skills to our team.

If you have any of these experiences it would be great: 

• Previous Trustee or board experience or similar e.g. school governor 
• Strategic understanding of management in residential settings and/or the hospitality sector
• Ability to understand basic financial data and read spreadsheets.
• Experience of working within Charity Commission guidelines

All trustees have the following generic responsibilities.

· Ensuring that the organisation pursues its stated objects (purposes), as defined in its governing document, by developing and agreeing a long-term strategy.

· Ensuring that the organisation complies with its governing document (i.e. its trust deed, constitution or memorandum and articles of association), charity law, company law and any other relevant legislation or regulations.

· Ensuring that the organisation applies its resources exclusively in pursuance of its charitable objects (i.e. the charity must not spend money on activities that are not included in its own objects, however worthwhile or charitable those activities are) for the benefit of the public.

· Ensuring that the organisation defines its goals and evaluates performance against agreed targets.

· Safeguarding the good name and values of the Charity. 

· Ensuring the effective and efficient administration of the organisation, including having appropriate policies and procedures in place.

· Ensuring the financial stability of the organisation, and

· Protecting and managing the property of the charity and ensuring the proper investment of the charity’s funds

Time Commitment

The standard term for a Trustee is 3 years, with a maximum of 9 years (consecutive or non-consecutive). MediCinema's board currently meets five times per year, including one fully online meeting and four hybrid meetings held in a central London location. We strongly prefer that trustees attend at least 50% of the hybrid meetings in person.

Our April 2024 the charity ran its successful first main event, with 86% tickets sold and very positive feedback on the quality and range of the events. The festival comprised 19 events including a great children’s poetry competition. We’re planning for April 2025.

Skills we’re seeking

We’re strengthening our outreach capacity, diversity and enterprise. We’d especially welcome people with skills and experience in

1.Enterprise: fundraising and income generation

2.Working with Ealing (or equivalent) based networks and communities

3.Knowledge and experience of arts and culture

Trustees work collectively, using skills, knowledge and experience to help the Board of Trustees reach sound decisions.We offer induction and training.

The time commitment will vary but could be around 2-3 hours per week, flexed according to what you can offer. 

We welcome a wide range of background, to reflect the diversity of Ealing.

Our trustees play a vital role in achieving the Strata Florida Trust’s core aim – the restoration of the buildings of Mynachlog Fawr to create the Strata Florida Centre/Canolfan Ystrad Fflur as a place of heritage, culture and education. They oversee and steer the vision, strategy and progress of the Trust, drawing on their own knowledge, skills and networks.

As a small but ambitious charity we are seeking individuals for the role whose experience and skills will complement those of our existing board members and enable the Trust to continue to expand.

Remuneration: The role of Trustee is not accompanied by any financial remuneration.

Time commitment: Six Board meetings per year. Approximately 12 days in total including board meetings, and additional meetings, discussion and preparation. 

Reporting to Chairman of the Trustees  

Duties:

 

· Support and provide advice on the Strata Florida Trust’s purpose, vision, goals and activities.

· Approve operational strategies and policies, and monitor and evaluate their implementation.

· Oversee the Trust’s financial plans and budgets and monitor and evaluate progress.

· Ensure the effective and efficient administration of the organisation.

· Ensure that key risks are being identified, monitored and controlled effectively.

· Review and approve the Strata Florida Trust’s annual financial reports.

· Work with and support or challenge the Director of the Trust when needed.

· Contribute to regular reviews of the Trust’s own governance.

· Attend Board meetings, adequately prepared to contribute to discussions.

· Use independent judgment, acting legally and in good faith to promote and protect the Trust’s interests, to the exclusion of their own personal and/or any third party interests.

· Contribute to the broader promotion of the Trust’s objects, aims and reputation by applying your skills, expertise, knowledge and contacts.

As a small charity, there will be times when the trustees will need to be actively involved beyond Board meetings. This may involve leading discussions, focusing on key issues, providing advice and guidance on new initiatives, presenting externally, or other issues in which the trustee has special expertise.

What we are looking for

We are looking for people willing to bring energy, enthusiasm and commitment to the role, and who will broaden the diversity of thinking on our board.

An interest in supporting heritage, Welsh culture, education, tourism, rural communities, and traditional skills is essential. We are particularly interested in those who have experience of operational delivery and professional skills including accountancy and income generation.

Previous governance experience would be an advantage but is not essential.

Personal skills and qualities

· Willingness and ability to understand and accept their responsibilities and liabilities as trustees and to act in the best interests of the organisation.

· Ability to think creatively and strategically, exercise good, independent judgement and work effectively as a board member.

· Effective communication skills and willingness to participate actively in discussion.

· Enthusiasm for our vision and mission and willing to act as an ambassador for the Trust.

Terms of appointment

Terms of office

· Trustees are appointed for a 4 year term of office, renewal for 3 further terms to a maximum of 12 years.

· This is a voluntary unpaid position.

 

Time commitment

· Attending 6 Board meetings annually (bimonthly beginning in January). Currently meetings are held at Y Beudy, Strata Florida, with the option to join via Zoom if required.  

· Attending additional meetings or focus groups if required.
