Chair Of Trustees Volunteer Roles

Overall purpose:

· Oversee all financial aspects of the charity, on behalf of the board of trustees, to evaluate our financial position and associated risks.

· Assist the chair and the Executive Director (ED) in ensuring that the board of trustees fulfils its duties and responsibilities for the proper financial governance of the charity. 

Main Responsibilities & Tasks associated with the role

In partnership with the ED & Chair:

· Ensure that the charity operates within the financial guidelines set out in current legislation, by the charity commission, in the charity’s constitution and by the board

· To work with the Admin Manager and Book keeper to update and to test internally our financial management procedures to support strong governance and financial controls.

· Identify and bring to the attention of the board, any financial risks facing the charity

· Ensure that the charity’s financial resources are sufficient to meet our current and future needs, advise the board on the reserves policy, and to ensure that this policy is reviewed and monitored regularly

· Scrutinise the proposed annual budget, cash flow forecasts and financial reports and advise and guide the board accordingly

· Review longer term forecasts of capital resources and of income and expenditure, and to review and monitor financial trends within the charity and the sector within which the charity operates

· Contribute to the annual audit process, including meeting with external examiner.

To assist the chair, other trustees and the executive director:

· By ensuring that the board of trustees fulfils its duties and responsibilities for the proper financial governance of the charity

· By ensuring that GNS has satisfactory control systems and procedures for holding in trust for the beneficiaries all monies, properties and other assets and ensure that monies are invested to the maximum benefit of the charity, within the constraints of the law and ethical and other policies laid down by the board

· By keeping the board informed of its financial duties and responsibilities

· By advising the board on the financial implications and operational risks arising from board decisions, especially the board’s strategic and policy decisions

· Working with the chair to advise the executive director on the level, quantity and frequency of financial information and reporting required by the board to allow the board to fulfil its legal and statutory responsibilities.

Could you lead the local SSAFA services in your area? Ultimately accountable to the Chair of the Board of Trustees, through the National Chairman your role is to ensure that the branch is running in line with SSAFA’s Royal Charter Rules, Regulations, and policies. Also, to ensure that clients and volunteers are safe, all services provided are appropriate and effective and that the branch is financially sound. You will be the public face of SSAFA in your branch area.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan. More people than ever are contacting SSAFA for financial, practical and emotional support. To do this we need local branches and volunteers who can coordinate people, ensure the local population know about SSAFA and keep things running smoothly behind the scenes.

Our branches support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

When would you be needed and where would you be based?

This role is about leadership, coordination, and administration. As part of your local branch, you might have access to an office, but many volunteers are based at home. The role requires an ongoing time commitment, usually about 2-3 days per month. In addition, you would need to organise and attend regular meetings throughout the year.

What would you be doing?

• Providing leadership to the Branch and ensuring that all activities comply with SSAFA regulations both directly, and through the Branch Secretary, other Branch Officers, and Divisional Officers.
• Providing support and guidance to volunteers in office holder roles, and support with recruitment of volunteers into these positions to ensure the sustainability of the branch.
• Ensuring the financial integrity of the Branch, including the appointment of Treasurers and a local fundraising programme to meet branch running costs.
• Ensuring that all data is processed and held in accordance with SSAFA’s data management policies.
• Monitoring volunteer numbers against the demand for support and working with other volunteers, regional and central office staff to attract and recruit new volunteers as required.
• Ensuring that all volunteers are recruited, inducted, supported, and managed in line with SSAFA policies, such as the Volunteering Policy, Volunteer Code of Conduct, Data Protection Policy, and Safeguarding Policy.
• Building relationships with regional and central office staff, local voluntary organisations and, if applicable, SSAFA Service committees, local military establishments, prisons etc.
• Overseeing an appropriate programme of awareness raising so that potential clients, volunteers, and supporters know how to contact the branch.
• Providing timely reports and information to SSAFA’s Central Office
• Overseeing a programme of meetings including an AGM, branch meetings, committee meetings, training etc.
• Supporting any salaried branch staff and ensuring that their line management arrangements are working appropriately.
• Resolve any complaints that are suitable for local resolution in accordance with SSAFA’s Complaints Policy and procedures, referring upwards any that are not suitable for local resolution.

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

• Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

We’re looking for up to three new trustees to join our board from January 2025. Fully remote participation is possible.

We’re particularly interested in people with experience in campaigns and advocacy, policy and the policy-setting process, and comms.

We would also like to find trustees with experience of purpose driven finance, mainstream finance, regulators, and the workings of the financial system.

You'll use your expertise to help the Lab be more effective and impactful, while gaining insights into our work and experience of charity governance and leadership. 

During 2025, there may also be an opportunity to take on the role of Chair (or co-Chair) when the current Chair finishes their term.

The Community Farm just south of Bristol is looking for an accountant and a lawyer to join our Management Committee. You will be joining a strong team of energetic and enthusiastic committee members who work closely with our senior staff team. What will you be doing:

We are looking for a new Trustee to act as Company Secretary. This role is for someone who is organised and methodical, with an eye for detail. They will take minutes at Subgroups and Board meetings and be responsible for the completion of the official returns to Companies House. This Trustee will also participate fully in Board meetings and play an important part in in ensuring the effective governance of the organisation by supporting the Board of Trustees in fulfilling their legal, regulatory and fiduciary responsibilities.

Compliance and Governance

• To work with the Chair to ensure the Board of Trustees complies with the relevant charity and company regulations

• Acting as custodian of the constitution (articles of association and the memorandum of association), in liaison with the Trustees, reviewing its appropriateness and monitoring that the Charity's activities reflect the objects set out in the governing document

Support to Trustees

• To oversee the induction of new Trustees into the charity, including the undertaking of the Disclosure and Barring check (DBS)
• To fulfil such other duties as may be required from time to time by the Board of Trustees

Meetings and Annual General Meeting (AGM)

• Liaise with the Chair to organise the AGM in accordance with the organisation’s governing documents, including the preparation and distribution of necessary reports and documentation
• Ensure that proper notice is given, and all necessary legal requirements are fulfilled for the AGM
• To take concise and relevant minutes of meetings subgroup and board meetings, sending them to the board in a timely manner

Person Specification  - Essential

• Proven experience in a company secretary, governance, or administrative role, ideally within a non-profit or charity setting
• Be a Director of the company (limited by guarantee) Please check that you fulfil the conditions on the UK government website 
• Be willing to provide data required to be added to the Charity Commission website, Companies House website and the Financial Conduct Authority Register – your name only will be visible to the public. 
• Have a Disclosure and Barring Service check for Caspari Foundation (DBS check are not currently portable unless you have joined the update service)
• Regularly attend Full Board meetings (currently every 3 months)
• Be confident about our purpose and work and be an ambassador for Caspari Foundation

Wolfram Syndrome UK (WSUK)

WSUK is a small national charity based in West Sussex that supports children, young people and adults affected by Wolfram Syndrome (WS) and their parents/wider families. WS is an ultra-rare genetic disorder which causes a complex range of symptoms, including diabetes mellitus, vision problems, renal problems, deafness, and neurological problems. WSUK provides current, accurate and family-friendly information, raises awareness of WS among health professionals and the public, and helps to fund WS research. 

WSUK Treasurer

The WSUK Board is seeking to recruit a Treasurer to complement and extend the range of skills and experience of its current members. This voluntary role will maintain an overview of WSUK’s activities to ensure its financial viability and that proper financial procedures are maintained. Through active participation in quarterly Board meetings (on-line), this role will help WSUK to achieve its ambitions to continue to develop the activities and services it delivers to the WS community.

Skills and experience

WSUK is seeking a treasurer who is committed and motivated to help lead this small, but growing charity. Some financial experience and skills are needed, along with good independent judgement, an ability to communicate clearly and a team-oriented approach. You will become an important part of a dynamic charity, and you will be able to see how your involvement, skills and experience, directly benefit the people living with this challenging, ultra-rare condition.

Over 80% of the animal welfare work of the RSPCA is carried out through local Branches which are run by staff and volunteers, supported by the RSPCA National Society.

Preston & District Branch has been affiliated with the National RSPCA for 150 years!

A separately registered charity looking after animals in the local area and engaging with the local community. 

Our mission is to seek out safe homes for abandoned, neglected or abused animals who are  nursed back to health, rehabilitated and found forever loving homes.

Preston & District Branch is part of a network of 140  branches, and 1 of only 8 in the North of England with an animal centre. 

The rehoming centre is within the Preston area (close to JCN 31 of the M6). 

RSPCA Preston & District Branch is a well established Branch with approximately 20 members of staff and 75 volunteers across 4 locations and raises all its funds locally through supporters and other income streams.

To continue helping animals in need the Branch also operates 3 charity shops in Longridge, Chorley and Penwortham (within our specified branch area) which bring in a regular income to keep our animal centre open. 

Primary responsibilities of the Branch Chair

• Take the chair at branch committee meetings and direct the activities.

• Act jointly with all co-trustees and work closely with the branch secretary and treasurer.

• To act as co-signatory, if required, on branch cheques and ensure that proper financial procedures are always followed, in line with charity legislation.

• Ensure that all committee members are familiar with branch rules, national Society policy and their responsibilities as a charity trustee.

• Be instrumental in the production, monitoring and review of a branch development plan.

• Actively coordinate the activities of the branch, including the delegation of tasks.

• Ensure that a branch representative is appointed to the regional board and that the representative gives the committee a full report on the business conducted after each meeting.

• To ensure that all the essential roles within the committee are filled by suitable, appropriate trustees or volunteers.

What we are looking for in a volunteer:

Ideally you would have some level of knowledge in the following areas- finance, legal, fundraising, project management, business experience, awareness of employment and/or charity legislation. These all can be useful to help ensure we have a sound and robust business model and long term strategic development plan, however, they are not essential.

We are looking for people who are creative, innovative, who have experience of or are part of groups and communities we want to attract, who can bring new ideas, different experiences and fresh perspectives to the board and to help put those ideas into action.

Role Overview:
As a Trustee at The Hepatitis C Trust with a focus on the Treasurer role, you will play a vital part in ensuring the financial stability and integrity of The Hepatitis C Trust. You will work closely with the Board of Trustees and the Chief Executive to oversee the financial management of the charity, providing strategic guidance and ensuring compliance with all regulatory requirements.

Key Responsibilities

1. Strategic

· To assist and advise in the formation of the Charity’s strategy with particular regard to ensuring that the Charity has the resources to deliver the strategy.

· Ensure all strategic plans are financially appraised and budgets are aligned to both short-term and long-term objectives each year.

2  Financial Oversight

· To ensure that the Board receives appropriate budgetary and financial information on the activities of the charity including Annual Accounts

Trustee general responsibilities

In addition to the responsibilities outlined above, the Treasurer as a Trustee has the following general responsibilities:

· Contribute actively to the Board of Trustees' role in giving strategic direction to the charity, setting overall strategy and policy, setting targets and evaluating performance against agreed targets;

· Ensure the financial stability of the organisation and the proper investment of the Charity's funds;

· Ensure the Charity applies its resources exclusively in pursuing its objectives;

· Ensure the effective and efficient administration of the Charity;

· Safeguard the good name and values of the Charity;

· Declare any conflict of interest while carrying out the duties of a Trustee;

· Be collectively responsible for the actions of the Charity and other Trustees;

What is a Branch Chair?

There are SSAFA branches throughout the UK and overseas. Many are further divided into local areas called divisions. Each branch has a Chair to oversee all aspects of the branch. Ultimately accountable to the Chair of the Board of Trustees, through the National Chairman your role is to ensure that the branch is running in line with SSAFA’s Royal Charter Rules, Regulations, and policies. Also, to ensure that clients and volunteers are safe, all services provided are appropriate and effective and that the branch is financially sound. You will be the public face of SSAFA in your branch area.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan. More people than ever are contacting SSAFA for financial, practical and emotional support. To do this we need local branches and volunteers who can coordinate people, ensure the local population know about SSAFA and keep things running smoothly behind the scenes.

Our branches support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

When would you be needed and where would you be based?

This role is about leadership, coordination, and administration. As part of your local branch, you might have access to an office, but many volunteers are based at home. The role requires an ongoing time commitment, usually about 2-3 days per month. In addition, you would need to organise and attend regular meetings throughout the year.

What would you be doing?

• Providing leadership to the Branch and ensuring that all activities comply with SSAFA regulations both directly, and through the Branch Secretary, other Branch Officers, and Divisional Officers.
• Providing support and guidance to volunteers in office holder roles, and support with recruitment of volunteers into these positions to ensure the sustainability of the branch.
• Ensuring the financial integrity of the Branch, including the appointment of Treasurers and a local fundraising programme to meet branch running costs.
• Ensuring that all data is processed and held in accordance with SSAFA’s data management policies.
• Monitoring volunteer numbers against the demand for support and working with other volunteers, regional and central office staff to attract and recruit new volunteers as required.

OVERVIEW

Poltimore House Trust is a registered charity dedicated to the restoration of an historic mansion just outside Exeter. Despite an arson attack which caused severe damage to the House, the Trust Board’s commitment to restoration as a focal point for the arts, business, communities and wellbeing remains undiminished. A new Board has been recruited over the last two years, bringing a wide range of professional expertise and experience to the Trust.

In addition to the House, the Trust owns 13.6 acres of the historic estate and established a popular Café in 2022 which was unaffected by the fire. The Board is committed to developing a strategy for the Grounds which blends heritage restoration, biodiversity and a unique visitor experience.

The Grounds are maintained by a committed team of some 30 regular volunteers, and a campaign is currently underway to increase recruitment. Corporate volunteering has also grown recently and the Trust is seeking further opportunities to develop this valuable area of support further. The Board recognises that, as a volunteer-led organisation, we need to build a positive culture which delivers high levels of satisfaction for those who give us their time. 

We are therefore seeking a Trustee with appropriate skills to take the lead in the recruitment, care and deployment of our growing team of volunteers. This is a hands on role which will involve a presence on site for at least one day a week, as well as participation in Board and Committee meetings. In return, you will be a highly valued member of the Board, playing a key role in the restoration of this historic House and Grounds.

What the Finance Trustee role entails:

We are looking for a dedicated and passionate Trustee to join our Board and become a member and chair of our Finance Committee (FC), with specific skills and expertise in financial management, ideally bringing charity finance experience.

Our Trustee Board is the legal entity, which is ultimately responsible for everything that the Trust does and is accountable for the organisation's financial regularity and all other aspects of propriety. Trustee Council is made up a group of volunteers who hold the financial and legal responsibility for everything the Trust does. They bring a wide range of knowledge, expertise and experience to the charity and are responsible for approving our strategic plans, annual budget and Annual Report & Accounts.

The Finance Committee (FC) is a sub-committee of our Board that assures we have suitable financial systems and controls in place, that they are working effectively, and that risks are properly identified, managed, mitigated and reported. FC is currently chaired by a long serving member of the Board.

What we ask of you and your time:

Our Board meets at least every 3 months remotely/virtually via Teams. Board meetings tend to be held on weekday evenings lasting approximately 1.5 hours, normally starting at 6pm. Board papers are circulated 1-week prior to each meeting to enable plenty of time to read through and ask questions prior to the meeting.

Our Finance Committee meet at least every 3 months, around a week in advance of the Board. Again, these meetings are remote/virtual, generally lasting 1.5 hours, normally on a weekday afternoon.

The role is meant to be compatible with a full-time job and caring responsibilities, and we always aim for trustee input to be as flexible and time-efficient as possible. We are always open to new ideas to make our Board and Committee rhythm accessible and reasonable for our members.
