JOB PURPOSE 

The Administrative Assistant role provides a range of proactive administrative support to the Director of Fundraising of UK for UNHCR, as well as to the wider fundraising team. This role is therefore a key support in growing funding for refugees and displaced communities.

ROLE RESPONSIBLITIES 

• Proactively manages the Fundraising Director’s calendar: scheduling and rearranging internal and external meetings and liaising with key internal and external stakeholders.  
• Helps schedule meetings for the various fundraising teams.   
• Books meeting rooms for internal and external meetings, ensuring any required technology is set up. 
• Ensures briefings for Director of Fundraising are received in advance of meetings. 
• Registers in-person external guests to the office and ensures they are welcomed. 
• Books travel arrangements for the Director of Fundraising and heads of fundraising.  
• Minutes meetings, including documenting and sending out summary of decisions made and next steps from internal meetings. 
• Updates partner information in our database (Salesforce). 
• Maintains files and records on SharePoint. 
• Manages invites and guestlists for donor events.  
• Leads on organising logistics for twice annual fundraising all staff strategy away days. 
• Coordinates with colleagues to secure content and information for donor materials (newsletters, proposals, reports).   
• Helps create template documents for donors (for example, thank you emails/letters). 
• Collates documentation for purchase orders and invoices.  
• Builds and manages positive relationships with internal and external stakeholders. 
• Identifies any administrative processes that could be simplified or made more efficient. 
• Appropriately manages any confidential information. 
• Supports other directors and fundraising colleagues on administrative activities. 
• Performs other appropriate tasks or duties as required.  

PERSONAL ATTRIBUTES AND EXPERIENCE

Essential Experience 

• Previous experience in an administrative role. 
• Previous experience with diary management.

• Proficient in the use of Microsoft Office platforms: including Outlook, PowerPoint, Excel and Word.

Summary of the role:

As the Trust and Foundation Coordinator, you will support the International Programmes Department (IPD) by:

• Programme Development: Enhancing institutional funding to raise essential funds for Muslim Aid’s international humanitarian and development programmes through Trusts, Foundations, and Partner Offices.
• Quality Assurance: Assisting the MEAL Manager in developing and implementing effective MEAL systems to ensure quality service delivery across all programmes.

You will play a crucial role in this newly formed unit, working closely with partners, country offices, and donors to improve systems within the IPD and support the dynamic global programme portfolio of Muslim Aid.

About the Role:

1.  Lead donor mapping process for Trusts and Foundations. Continuously, update this mapping document regularly based on engagement with prospective donors.
2. Lead the proposal/concept development process for T&F and MA Partner offices submissions.
3. Support the Global Programme Development and Quality Assurance Manager in managing a portfolio of institutional donor grants relationships and implement donor engagement strategies for prioritised donors (including FCDO, UN agencies, USAID, SIDA, START Network, etc.).
4. Support the Monitoring Evaluation Accountability and Learning (MEAL) Manager to strengthen MEAL system globally. This includes ensuring high-quality data tracking progress, analysing data, and generating knowledge and documentation of best practices.
5. Work with Country Offices, Global Programme Development and Quality Assurance, Humanitarian and Programme units to support on disaster responses and associated appeals.
6. Support the unit in providing the development and implementing capacity development workshops for the IPD team, country offices, and partner offices either face to face or virtually.

About You:

To be successful in this role, you will need:

1. Educated to bachelor’s degree level.
2. Experience of successfully fundraising and dealing with institutional donors and international donors with a focus on Trusts and Foundations.
3. Experience and understanding of monitoring and evaluation of programmes; using quantitative and qualitative research data collected in support of programme development.
4. Significant experience and knowledge of effective budgetary control and grant management.
5. Good interpersonal and communication skills and ability to liaise effectively with people at various levels. Good tact and diplomacy at all times.
6. Strong and well-developed analytical skills coupled with strong bid and report writing skills.

About the Role 

This is the primary role with responsibility for the delivery and assurance of core digital, data, technology, and related functions at the Royal College of Anaesthetists, at both a strategic and implementation level. The post-holder will report to the College’s CEO, sit on the Executive Team, and contribute across the College via staff engagement and through a range of committees and boards, including the Board of Trustees.

Key to the role are three functions:

1. Ensuring the security and fitness for purpose of College’s digital, data and technology estate.

6. Support the organization of Human Resources events including staff development and training activities in coordination with the Staff Development and Learning Unit and maintain updated records.

Procurement:

7. Assist to evaluate ongoing support requirements of the office, adapt service provision to meet changing needs and resolve as required.

8. Support and follow-up on the maintenance and repair of office facilities, including preventive maintenance. Contribute to the establishment of maintenance agreements with competent service providers when it is feasible and determined to be cost effective.

9. In coordination with relevant parties, contribute to the timely submission of asset, procurement and other reports within IOM UK office to Regional Office and relevant HQ departments, as appropriate.

10. Contribute to the review of the procurement requests, identify service providers, and evaluate information regarding vendor's performance in terms of quality, prices, and timely delivery of goods and services. Maintain a pool of qualified vendors.

11. Assist in maintaining up-to-date inventories and tracking systems for fast-moving goods and for fixed assets.

12. Perform such other duties as may be assigned.

Purpose of the post:

Ensuring the delivery of high quality financial transactional services and operational reporting across the Group combining strong financial control with a service culture approach to delivery. This post will provide leadership of our key operational services across income and expenditure. In addition, this role oversees the procurement function at LSBU.

Increasingly these services will be provided across the LSBU Group, encompassing the University (LSBU), South Bank Colleges (SBC) and South Bank Academies (SBA) and this role will support the transition to more shared financial systems, policies, processes and services over the next few years.

• ensuring that payments to staff, suppliers and other payees are processed accurately and on time

• A good honours degree or equivalent qualifications/experience
• Significant experience in the design and delivery of financial services at a large and complex organisation. Experience in HE or similar sector preferable but not essential
• Proven track record of service delivery and customer service excellence
• Strong understanding of credit control processes and commercial and more collegiate approaches to debtors and recovery of funds due
• Experience of commercial negotiations and delivery of change projects for the provision of new or improved financial services, finance partnerships and/or transactional assistance

The successful candidate will be responsible for managing our fundraising portfolio and supporting the delivery of a fundraising strategy. Main Purpose of Job:

We are seeking an experienced fundraiser with excellent relationship management skills to help build resilient and profitable income streams for the Somerset Cricket Foundation (SCF) and extend the reach of the charity’s profile. This will include working with existing and new corporate relationships, individuals and Trusts & Foundations.

You will develop and use stewardship tools to guide donors and partnerships through their giving journey; including cultivation plans, proposals, and reports. You will be involved in sourcing and presenting tailored information, making appropriate financial and non-financial requests.

Main Responsibilities:

• Agree an annual high-value fundraising strategy for SCF, in collaboration with the Somerset Cricket Foundation Fundraising Committee and Managing Director.
• Take overall responsibility for the development, growth, and implementation high-value relationships.
• Develop and create new fundraising opportunities that raise the profile of SCF and attract new partners and donors.
• Nurture and maintain long-lasting positive relationships with corporate contacts and individual supporters to build a loyal supporter base.
• Collaborate proactively with the SCCC Commercial team and associated fundraising partners, to broaden the reach and impact of the work of SCF and promote the wider club.
• Promote the work of the SCF at networking events, through associated media and literature.
• Input into the creation of the annual SCF Impact Report, ensuring it is shared with new and existing supporters.
• Monitor and evaluate the annual impact that fundraising is bringing to the Foundation through effective reporting.
• Work collaboratively with the SCF Programme leads to identify opportunities in raising awareness and essential additional revenues.
