· Leading on SCIE’s annual external audit, including the preparation of our statutory accounts, ensuring compliance with all relevant charity legislation, regulations and financial reporting standards

What we are looking for:

· Achievement of a recognised, fully qualified professional Accountancy qualification (for example, ACA, ACCA, CIMA or equivalent) 

· A dynamic and experienced individual, with proven experience in a senior financial management role, ideally within the charity sector

· Proficient in preparing, analysing and presenting financial statements (income statement, balance sheet and cashflow statement).

· Excellent communication and interpersonal skills, including the ability to explain financial processes to non-financial staff.

· Strategic thinker with a proactive approach to problem-solving and decision-making

· Proven IT skills, including a high-level proficiency in Microsoft Office packages, with a strong knowledge of Excel’s functions and formulas

· Proficient in financial management software and tools

Working closely with colleagues across the Philanthropy team you will support the team in the Patrons, Legacy and High-net-worth individual (HNWI) income streams and manage your own portfolio of Legators and HNWIs. You will focus on the administration and stewardship of the Patrons Circle and Legacy programme, account management for your portfolio of donors, data management and supporting the wider team on identifying and approaching new potential donors.

You will work closely with colleagues in the Philanthropy team and wider Development Group across varied income streams whilst also building successful working relationships with colleagues at all levels across the Museum. You will maintain a high level of organisation and excellent communication to build meaningful relationships with donors to the greatest value for the whole Museum.

The role will be line-managed by the Patrons Manager with guidance from the Philanthropy Manager (Legacies & HNWI) and Senior Philanthropy Manager.

Main tasks and responsibilities

Patrons Circle

· Support the Patrons Manager with the administration of the Patrons Circle, including delivery of the events programme, drafting newsletters, event invitations, renewal reminders, thank you letters and welcome packs.

• Support the Patrons Manager to monitor the Patrons inbox for queries and event RSVPs, resolving any requests from Patrons, logging RSVPs or escalating them to the Patrons Manager as appropriate.

· Laise with Membership and Marketing teams to integrate Patron, Member and Visitor communications and benefit delivery.

Legacy and HNWI administration and pipe-line development

• Support the Philanthropy Manager (Legacies & HNWI) with the delivery of Legacy events programme and day to day administration of the Legacy programme, including administering new bequests via Smee and Ford notifications.Steward and cultivate a warm portfolio of 50 Legacy pledgers and lower-level donors by drafting day-to-day communications, marketing emails, writing stewardship reports and sending event invitations.

· Support the wider team by planning and cultivating prospective Legators and lower-level donors under the supervision of the Philanthropy Manager (Legacies & HNWI) and Patrons Manager.

General

· Ensure that Raisers Edge is updated regularly and in line with the requirements for each event or activity and work closely with key database managers to ensure records are kept up to date.

· Support the Senior Philanthropy Manager and wider Philanthropy team with meeting, visit and event organisation, including, supporting the delivery of events and writing briefings ahead of donor meetings.

· Support the wider Philanthropy team with Raiser’s Edge data- inputting and gift administration, including gift processing, acceptance and due diligence forms.

· Deputise for Patrons Manager and Philanthropy Manager (Legacies & HNWI) on designated accounts in order to handle day-to-day requests and flow of information, arrangements for meetings and thanking.

Homeless Link are the national membership charity for organisations working directly with people who become homeless in England. We work to make services better and campaign for policy change that will help end homelessness.

Kids in Need of Defense UK is a collaboration between four award-winning, UK based not for profits that specialise in children’s immigration and asylum law. We partner with lawyers and law firms across the UK to provide the highest quality legal advice and representation for free to undocumented children and young people. Central England Law Centre (CELC) is the UK's Largest Law Centre and the lead partner in the KIND UK collaboration. This is a key role for which we’re seeking a suitably qualified and experienced immigration adviser. They will be responsible for providing an excellent frontline service to KIND UK clients, leading on all matters relating to the assessment and triage of new referrals to the service.

To support the Programme Finance Manager in running efficient and effective programme financial accounting, programme financial management and programme financial reporting processes in relation to AKF (UK)’s programmes and grants. To provide support to the full life cycle of grants: from donor concept notes/proposals to final reports. Programme financial planning, management and reporting

In close consultation with the programmes/partnerships team:

• Support the design and implementation of effective quality controls to ensure compliance with donor requirements and to maintain appropriate donor stewardship, including through manuals, checklists, templates, and other tools

• Monitor spending and activity implementation and ensure regular scheduling of grants management meetings, alerting the Programme Finance Manager and Programmes/Partnerships team about significant under or overspend on a timely basis

• Maintain internal tools that track active grants, cost recoveries and cash balances and ensure they are kept up-to date

• Maintain internal tools tracking pipeline and secured funding (Awards Information Management System -AIMS) and ensure they are kept up-to-date

• Prepare financial information for internal reporting purposes, including (but not limited to) the quarterly CEO report, monthly dashboard and quarterly cash balances (co-finance) report.

Grants management and compliance

• Maintain the grants management tracker so that grants are properly recorded and monitored, ensuring that input from the Programmes/Partnerships team and the Programme Finance Manager are incorporated on a timely basis

• Undertake administrative tasks related to grants, including setting up of grant codes (pipeline and secured), collecting and forwarding information to different units and executing follow up tasks as required

• Review budgets for concepts/proposals, ensuring the inclusion of AKF(UK) costs, make recommendations for improvements and liaise with the programme/partnerships team and field units to ensure these are complete, accurate, consistent with the narrative, compliant with donor requirements, and correctly formatted for presentation to donors

• Support the preparation, review and submission process for donor financial (and narrative as relevant, e.g. ECHO) reports to ensure compliance with donor requirements; ensure reports are produced on time to a high standard and are consistent with the narrative

• Ensure timely submission of cash requests as required by donor contracts and internal sub-grant agreements 

• Prepare donor and internal sub-grant agreements with AKDN agencies, field units, and implementing partners, including (but not limited to) those with co-financing

• Ensure that donor and AKDN rules are being adhered to regarding procurement, accounting, project expenditure, and implementation of activities through regular reporting, engagement with the field, and remote spot checks

• Carry out monitoring visits and audits on specific projects as necessary

• Assist in the preparation, support, and follow up of internal or external grant audits and expenditure verifications of AKDN field units, including direct liaison with auditors as required, and ensure that management (programmes and finance) is apprised, including through maintaining and updating the audit and disallowance summary

• Develop and deliver relevant training and reference material on grants management, including procurement, donor regulations, IATI, finance and reporting for Programme, Finance, and other field-based staff; act as a resource for agencies/field units on donor regulations and compliance

• Ensure all AKF (UK) direct grants are reflected on the IATI system, and update the required information on a quarterly basis

Audit, internal controls and risk

• Contribute on programme finance to all audits and statutory compliance in line with UK and AKF/AKDN regulations and compliance requirements

• In collaboration with field units, prepare due diligence assessments for potential new partners or donors and ensure these are refreshed periodically

• Troubleshoot financial, donor compliance and procurement-related queries identified through monitoring grants or as raised by management or field units

Carry out any other duties as assigned by the Programme Finance Manager or the Head of Finance and Operations. The role will involve travel to countries in which we operate grants. Normally this could be 2 – 3 trips per year. 

Qualifications

• CCAB qualified accountant (desirable).

Experience

• 3 years relevant experience in financial accounting and financial reporting

• Experience of designing and managing effective administrative systems and procedures

• Experience of budgeting, forecasting and cash-flow management

• Experience working in international organisations or donor agencies including field-level implementation highly desirable

The Finance Manager & Company Secretary role is a dual role where you will ensure efficient and effective planning and management of the charity’s finances and take charge of secretarial duties. Within this role, you will develop and maintain accounting systems, control and records, while ensuring the charity is compliant with statutory and regulatory requirements. The postholder will ensure appropriate financial policy and procedures are in place, to deliver effective financial management and decision making. You will produce management accounts, oversee financial reporting and assist with legacy administration. You will manage relationships with a variety of external financial advisors and insurers.

You will play a key role managing the charity’s secretarial duties. These responsibilities include submitting information to Companies House and the Charity Commission. You will work closely with the Executive Management team, maintaining legal and financial documents, while ensuring they are filed securely, providing regular information/documentation. You will attend Board and committee meetings, ensure processes and regulations are followed and take minutes in these meetings.

To be considered for this role, you will have a professional accountancy qualification – ACCA, ACA or equivalent. You will have demonstrable experience overseeing preparation of statutory, management accounts and audit processes. You will have experience of charity accounting, reporting and legacy administration. You will have experience using accounting software and Microsoft Office. You will also have the ability to explain financial processes to non-finance staff.

This role supports the delivery of NHS Providers’ public affairs strategy in the interests of NHS trusts and foundation trusts, including parliamentary, government and stakeholder relations.

Job Description 

The Finance Manager is responsible for the management and technical support of the Finance function and acts as advisor to the Chief Executive Officer (CEO) and assists in the development of the organisation’s financial strategy, modelling new projects, preparing budgets and reporting on financial performance. 

You will also be responsible for maintaining accounts on Xero and all related bookkeeping tasks.

Main duties and responsibilities

• Responsibility for bookkeeping on the organisation’s accounting system (Xero);

• Preparation of accurate and timely monthly management accounts for the organisation and individual cost centres, including variance analysis and reports for the Board. This information should include a short narrative on the current position, future prospects, and financial risks and opportunities. The reports will be tailored as necessary for the Board and management; 

• Provide robust financial information including accurate balance sheets and a rolling cash flow forecast; 

• Act as key point of contact for project budget holders on financial matters;

• Carry out regular reviews of spending under various grants, alerting budget holders and CEO to any actual or potential over or underspend;

• Work with CEO and managers on fundraising bids and financial reports for funders;

• Produce statutory accounts, files and schedules, in partnership with the3million’s accounting firm; 

• Monitor records of all funding and funding sources and the appropriate allocation of incoming funding;

• Monitor monthly accrual of income and expenditure, deferral of income, maintenance of reconciliation to Xero, balance sheet changes and undertake bank reconciliations;

• Monitor the accounts mailbox and ensure invoices are included in the accounting system, answering internal and external queries as they arise;

• Act as main point of contact with banks, service providers, suppliers (when appropriate) and auditors;

• Other duties as requested by the CEO.

Person Specification

The post requires the holder to:

• Have an appropriate accounting qualification – in full or part (AAT, ICAEW, CIMA or ACCA);

• Have a minimum of three years of professional experience, including experience of operating within a not-for-profit organisation (managing accounts for restricted and unrestricted funds);

• Be proficient in Xero Online accounting software and Excel spreadsheets, including experience in using Power Query;

• Be comfortable with the financial systems typical of a small organisation, including financial monitoring and reporting to a range of different funding sources;

• Have some experience of projects finances and understand the financial implications behind an efficient delivery strategy;

• Be honest and reliable;

• Ability to work on own initiative when appropriate and seek guidance when necessary;

• Commitment to the values of a small organisation that works on social justice issues;

• In support of EU citizens in the UK;

• Have the right to work in the UK.

We have created this new role to support the organisation’s growing finance functions. Working alongside the Treasurer and Co-Directors, the individual will play a vital role in managing the organisation's financial resources. PURPOSE OF THE JOB:

As a Social Welfare & Digital Support Adviser, you will play a key role in providing comprehensive advice, casework support, and digital support to the residents of Tower Hamlets. As a dedicated and empathetic Social Welfare Advice & Digital Support Adviser, your role will be essential in empowering individuals with complex and multiple needs, helping them navigate the intricacies of the welfare benefits system and access the financial support they deserve. Additionally, you will provide vital digital support to enable clients to manage their welfare claims online, enhancing their digital confidence and independence. Through a holistic approach that incorporates social, cultural, financial, and digital issues, you will address the diverse needs of our clients, ensuring they receive well-rounded support and are equipped to navigate the online systems essential to managing their welfare benefits.

KEY DUTIES AND RESPONSIBILITIES:

• Holistic Client Assessment and Support - Conduct detailed, confidential interviews with clients, applying a holistic approach to assess their needs for advice and support, including digital needs.
• Comprehensive Needs Assessment - Assess various aspects such as financial situation, social welfare entitlements, debt, digital literacy, and other significant issues affecting clients and their families.

• Application Assistance - Assist clients in completing application forms, mandatory reconsideration, appeals, and other paperwork related to social welfare benefits, money and debt, funding, and grants, both in person and online.
• Tailored Client Support - Ensure that services are adapted to the needs of each client, considering communication, digital abilities, understanding, and vulnerabilities, while supporting their navigation through online platforms.
• Financial Advice & Support - Provide advice on income maximisation, debt management, budgeting, savings, and accessing financial support, empowering clients to achieve financial independence, including offering digital tools to help manage finances.
• Client Involvement - Through clear communication and consultation, ensure clients are involved in resolving their social welfare issues, including welfare benefits, debt, and money management, and are kept informed on the progress of their case, particularly regarding digital aspects.

• Digital support and Case Management - Use the Lamplight database system to organise and manage client support, including digital support case recording and compliance with LHP’s case management procedures.
• Monitoring and Evaluation - Contribute to project monitoring and evaluation by providing data on digital support & financial outcomes and also producing evaluative reports for the Advice Services Manager, focusing on digital engagement and success.
• File and Data Management - Maintain accurate digital records of client interactions and stay updated on social welfare policies, regulations, and digital support systems.
• Community Engagement and Partnerships - Liaise with local authorities, health services, and community organisations to support clients, including digital outreach and awareness-raising activities.
• To liaise with other agencies and develop strong working relationships to support clients effectively, including partnerships with GP surgeries.

· Deliver advice sessions at the LHP office, GP surgeries, and other outreach venues, raising awareness of available support services.

· Participate in borough-wide forums and activities to develop relationships with other organisations and enhance community awareness.

• Client Relations and Safeguarding - Build trustful relationships with clients, ensuring safeguarding and digital support considerations are fully met.
• Professional Conduct and Team Participation - Maintain confidentiality, adhere to equal opportunities, and observe LHP policies, including digital inclusion strategies, while participating in team meetings to share knowledge and best practices.
• Health and Safety - Ensure adherence to health and safety regulations, particularly around digital workspaces and client interactions. 

GENERAL RESPONSIBILITIES:

1. To support the Limehouse Project’s overall goals and vision.

2. Carry out day-to-day general administrative duties that are vital to the smooth running of the services and specific project-related work such as responding to letters, doing follow-up work, etc, and its online appointment sheets for LHP and external partners.

3. Attend Limehouse Project staff meetings regularly.

4. Carry out such other duties, as the LHP manager and management committee shall from time to time require.

5. Keep up-to-date by undertaking further study or training, as may be necessary or which may be required by LHP and which contributes to the provision of an effective service.
